Deleting Sets You can delete a single portfolio set from the Sets window or delete multiple portfolio sets using the Batch Delete Portfolios Wizard. Deleting portfolio sets allows you to keep your list of sets manageable and current. When you use the Batch Delete Portfolios Wizard you also have the option to copy the portfolio sets you are deleting into another established dataset for retention purposes. Manually deleting a portfolio set from PortfolioCenter does not delete the individual portfolios and/or groups in the set. On the other hand, deleting portfolio sets via the Batch Delete Wizard will delete the individual portfolios and/or groups within the set. The following document walks you through deleting a single static portfolio set, a single smart portfolio set, and batch deleting portfolio sets. Deleting a Single Static Set If you no longer need one of your Static Sets, follow these instructions to delete it from your list of sets. 1 Click the Portfolios tab. 2 Click the Sets button, located to the left of the Portfolios list. 3 Select the Static Set you want to delete. Note: The icon for a Static Set is3 heads. 4 From the system menu at the top of the screen, select Edit | Delete. 5 Confirm by clicking OK. Your set no longer appears on the list of sets. DocumentID: SPT010320 Last Updated: September 27, 2010 Deleting a Single Smart Set If you no longer need one of your Smart Sets, follow these instructions to delete it from the Set Builder list and from your list of all sets. 1 While on the Portfolios tab, select the Sets button at the upper left. 2 Click the Set Builder button, located below the list of sets. 3 Select the Smart Set you want to delete, and click the Delete button on the right side of the screen. 4 Confirm the deletion by clicking OK. 5 You set no longer appears on the Set Builder screen or on your list of sets on the set screen. Batch Deleting Sets Important Before deleting portfolio sets, make sure: ♦ You are in the dataset with the portfolio sets you want to delete ♦ The dataset you want to copy the portfolio sets to already exists On the Web If you are unsure of the dataset you are in or the name of your destination dataset, see Changing the PortfolioCenter Dataset for more information about checking dataset names. Important Using the Batch Delete Wizard to delete a set also deletes the portfolios, groups and underlying portfolios that are members of the groups within the set. To delete portfolio sets from the current dataset and copy them into another: 1 If necessary, click the Portfolios tab to switch to the Portfolios page of the main window. 2 From the menu bar, select Tools | Batch Delete Portfolios to start the wizard 3 Choose Select Set and all members 4 Click the Set Browse button, and select the set that you want to delete. 5 Click Next Deleting Sets Page 2 of 4 6 Select Copy portfolio and groups if you want to copy to the information to another dataset. If you uncheck this box, the sets will be permanently deleted from the database. It is strongly recommended that you either copy the sets to another dataset or that you backup the database before proceeding. 7 Click the Database Browse button, and select the dataset to receive the copied portfolio set(s). 8 Click Next. 9 To copy price files along with the portfolio sets, check the Copy Prices box. 10 Indicate whether to overwrite or append prices in the target dataset. Overwriting replaces duplicate price records with prices from the source dataset. Appending adds only price records for securities that do not exist in the target dataset price files. 11 Click Next 12 A summary of the portfolio set, portfolios and portfolio groups that you are deleting is displayed for you to review. To save a copy of this list for your records, select the Export List button. 13 Save the text file to a location on your computer. 14 Click Finish The selected portfolio sets and its members are copied to the specified dataset and deleted from the current dataset. A progress window tells you which portfolio set is being copied and deleted. Note If the portfolios or portfolio groups you select in the wizard are the only members of a separate static or smart set from the one you selected for deletion, PortfolioCenter also deletes those sets during the batch delete process to avoid leaving empty sets. The sets that will be deleted appear in the final screen of the batch delete wizard even if you did not select the particular set to be deleted. Even if a smart set has been deleted from PortfolioCenter, the view is still available if you need to recreate the set. Deleting Sets Page 3 of 4 What Data Is Copied Along With Copied Portfolio Sets? When you copy portfolios sets from one dataset to another, more than just the set details are copied into the new dataset. The list below shows the other data that follows portfolio sets into the receiving dataset. The portfolios, portfolio groups and their underlying portfolios that are members of the portfolio sets Models associated with copied portfolios, portfolio groups and their underlying portfolios that are members of the portfolio sets Targets associated with copied portfolios, portfolio groups and their underlying portfolios that are members of the portfolio sets Billing Specs associated with copied portfolios, portfolio groups and their underlying portfolios that are members of the portfolio sets Billing Forms associated with copied portfolios, portfolio groups and their underlying portfolios that are members of the portfolio sets All transaction data, billing history, and interval history for copied portfolios and portfolios within portfolio groups that are members of the portfolio sets All Custom Portfolio Fields associated with copied portfolios, portfolio groups and their underlying portfolios that are members of the portfolio sets (default values will be assigned to these fields for all of the existing portfolios and portfolio groups in the receiving dataset) Deleting Sets Page 4 of 4
