ACCEPTABLE USE Summary of Acceptable Use of the Victorian Maternal and Child Health (MCH) Child Development Information System (CDIS) The CDIS system is fully auditable and the Family and Children’s Services Manager, MCH Co-ordinator or the System Administrator will be required from time to time to monitor use to confirm compliance with approved use of CDIS. A MCH Co-ordinator or Manager or the System Administrator can check at any time to see that users have been using the system as approved to do so. The MCH Co-ordinator or Manager will be able to see when users are accessing CDIS and whether they have accessed CDIS within their approved hours of work. Outside of work hours access must have approval in writing from your Manager or MCH Co-ordinator. The MCH Co-ordinator or Manager can also see whether users have accessed client records that they have approval to access. All users need to be aware of and ensure that all information accessed in CDIS is in accordance with the Privacy and Data Protection Act 2014 – Victoria. All users must follow their local government’s security procedures relating to the use of systems that contain client data. All users must only access CDIS on a device provided by their place of employment, or a device that has been approved for CDIS use by their place of employment. At the end of the day or working period, laptops and mobile devices must be stored securely. All users will need to have signed an Information Technology Acceptable Use Policy Agreement at the local government of their place of employment. This policy will need to include and cover (as a minimum) these areas regarding acceptable use. General security: All users must: Not disclose their password to anyone or allow others to access CDIS. Change their password if they believe it has been compromised in any way and they believe someone else knows it. Activate the screen saver or if they leave their workstation they must lock their computer (Ctrl + Alt + Delete). Always log out when finished using CDIS. Ethical Use: Respect the privacy of others and observe the provisions of the Commonwealth Privacy Act 1988 and the Privacy and Data Protection Act 2014 – Victoria.
