About Brightspace Capture Encoder
Brightspace Capture Encoder comprises a set of webcasting tools that enable you to create CaptureCast presentations.
CaptureCast presentation formats are a combination of media from camera, microphone, and computer sources. As a
presenter, you can schedule an event, webcast to an audience in real-time, interact with attendees through chat, and publish
it later for on-demand viewing.
Setup your Brightspace Capture
Automate your Brightspace Capture Station
The Brightspace Capture Station edition of Brightspace Capture Portal has an automated scheduling feature that enables you
to control multiple Brightspace Capture stations from Brightspace Capture Portal without the need for an operator to be on
location. Presenters simply have to be on location at the automated recording time to present, and they do not have to
manually manage the Brightspace Capture Station or the Brightspace Capture Portal. Automation is most ideal for
webcasting presentations from multiple locations within a building, across a school campus, or at large conference events.
Before you begin: You must log in from the Brightspace Capture Station at least once to ensure it is added to the Brightspace
Capture Portal's list of available room locations. Ensure the Brightspace Capture Station is always powered on, and that there
is a network connection via ethernet cable to the Brightspace Capture Station at all times. This ensures live events are
streamed, stored, and published successfully to Brightspace Capture Portal at all times. If you are using a version of

Setup your Brightspace Capture
Brightspace Capture Station without built-in touchscreen, make sure to enable your external monitor or VGA-compatible
touchscreen and connect it to the Brightspace Capture Station.
1.
From the Brightspace Capture Station's main Brightspace Capture Encoder screen, click Options.
2.
In the Profile tab, in the Station ID field, enter a unique station name (e.g. building name; classroom number). This name
appears in your Brightspace Capture Portal's automation management area as a location option in the Room drop-down
list. Station IDs are case-sensitive. You cannot use special characters except hyphen ( - ) and underscore ( _ ).
3.
Close the Options window.
4.
On the main Brightspace Capture Encoder screen, click Switch to Automated Mode and minimize or hide Brightspace
Capture Encoder.
5.
Ensure that your Brightspace Capture Portal time and Brightspace Capture Station system time are in sync so
automation occurs at the intended time.
Monitor Brightspace Capture Station hardware status
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Automation section, click Capture Stations.
3.
You can click the name of a Brightspace Capture station to view a detailed list of its status history and resolved issues.

Create a EULA file in Brightspace Capture Portal
You can now create and enable an end-user license agreement (EULA) for Brightspace Capture Portal to ensure that each
time users publish CaptureCast presentations, they must accept the institution's conditions before uploading content for

general viewing. You can enable it for the specific portal by creating a community key that points to the file. After the EULA
file is enabled from Brightspace Capture Portal, any Brightspace Capture Encoder or Brightspace Capture Station associated
with the portal will require users to accept the EULA agreement each time they publish a CaptureCast presentation.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Customization section of the Manage Server area, click Settings.
3.
To expand the editor area, click Documents.
4.
In the drop-down list, select Create New Document.
5.
In the empty field enter a name for your EULA file. The file format for your EULA must be .txt.
6.
In the editor box, enter your EULA text.
7.
Click Save Changes.
Add a EULA file to your Brightspace Capture Portal
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Customization section of the Manage Server area, click Settings.
3.
Expand Advanced Settings.
4.
Do one of the following to add a community key (this enables the EULA message):
 In the Settings XML text box, enter the following code between < communitySettings > and <
/communitySettings >:

Pre-roll and post-roll video clips
You can add MP4 files to CaptureCast presentations to create pre-roll and post-roll video clips that display specific
information to viewers before or after a presentation. For example, disclaimers, copyright notices, terms and conditions of
video use, or reminders about presentation follow-up activities are types of information you can show.
Pre-roll and post-roll video clips may not play in some web browsers that neither fully support
HTML5 nor properly revert to Adobe Flash formats.

Upload pre-roll and post-roll video clips to Brightspace Capture
Portal
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Pre-roll/Post-roll section, click Manage Clips.
3.
Click Upload File.
4.
Select the MP4 file you want to upload from your computer.
Set default pre-roll and post-roll video clips for the Manage Live
Events area
You set default pre-roll and post-roll video clips for all live events in the Manage Live Events area.
When you set default pre-roll and post-roll video clips for the Manage Live Events area, only new live events are affected by
the default setting. You must manually add pre-roll and post-roll video clips to existing live events in the Manage Live Events
area if you also want them to have pre-roll and post-roll video.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Pre-roll/Post-roll section, click Settings.
3.
To add a pre-roll video clip, select a file from the Pre-roll clip drop-down list.
4.
To add a post-roll video clip, select a file from the Post-roll clip drop-down list.
5.
If you want to allow users the option to skip the video clips, select the Users can skip pre-roll and post-roll video
clips check box.
6.
Click Save Changes.
Set default pre-roll and post-roll video clips for a published
presentations folder
You can set default pre-roll and post-roll video clips for all published presentations as you add them to specific folders.
When you set default pre-roll and post-roll video clips for a published presentations folder, only new published
presentations are affected by the default setting. You must manually add pre-roll and post-roll clips to the folder's existing
published presentations if you also want them to have pre-roll and post-roll video.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Content area, in the On-Demand section, click Manage Folders.
3.
Click the folder that you want to set default pre-roll and post-roll video clips for.
4.
To add a pre-roll video clip, select a file from the Pre-roll clip list.
5.
To add a post-roll video clip, select a file from the Post-roll clip list.

Create a Brightspace Capture Portal user
It is recommended that you assign instructors the Publisher access level. This access level enables them to create, publish,
manage and edit content only for what they individually publish to Brightspace Capture Portal or Brightspace Capture
Central from their Brightspace Capture Software. This ensures they cannot modify each other's content.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Users and Groups section, click Manage Users.
3.
Click Create User.
4.
Enter a user name and password.
5.
You can also enter the user's first name, last name, and company name.
6.
Enter the user's email address.
7.
From the drop-down list, select a user Role type.
8.
If you want to add the user to an existing group, click the Groups field, and select a group.
9.
If you want the user to receive emails about Brightspace Capture Station or Brightspace Capture Portal issues, select
the Receive system emails? check box.
10. If you want the user to receive and manage caption requests, select the Receive caption request emails? check box.
11. Click Save Changes.
Edit a Brightspace Capture Portal user’s settings
You can edit user settings such as changing the password or editing personal information.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Users and Groups section, click Manage Users.
3.
Click the user that you want to modify settings for.
4.
Make any required changes.
5.
Click Save Changes.
Export Brightspace Capture Portal user list to a CSV file
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Users and Groups section, click Manage Users.

Export to Excel (csv), and select where you want to save the file on your computer.
About Brightspace Capture Portal groups
You can create groups in Brightspace Capture Portal to temporarily assign a group of users to higher ranking access levels
without changing their individual user statuses one at a time. For example, if multiple users have Basic access level

permissions, you can create a group with Publisher access level permissions and assign users into the group, allowing them
to view, schedule, and publish CaptureCast presentations.
You can also associate Brightspace Capture Portal groups with LDAP groups, automatically placing users from an externally
managed group into a Brightspace Capture Portal group when they log in to Brightspace Capture Portal.
If you place users into groups that have lower ranking access levels than their individual access levels, users always maintain
their highest ranking access levels. For example, a Brightspace Capture Portal Admin access level user placed into a group
with Basic access level permissions will maintain the Admin access level because the group has an access level with fewer
privileges. Likewise, if User A is given Basic access level but later is enrolled in Group B, which has Publisher access level, then
User A now has Publisher access level for all enrollments.
Create a group
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Users and Groups section, click Manage Groups.
3.
Click Create Group.
4.
Enter a group name.
5.
If you are using LDAP groups, enter an external group name.
6.
From the Group Role drop-down list, select the group access level.
7.
Click Save Changes.
Edit groups
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Users and Groups section, click Manage Groups.
3.
Click the group that you want to modify.
4.
Make any required changes.
5.
Click Save Changes.
Delete a group
1.
In the Brightspace Capture Portal, click Admin.
2.

Creating and editing portals
Creating and editing portals
Portals enable you to organize events and customize their presentations to different groups of users. If you have multiple,
distinct groups that need to access CaptureCast presentations and live events (e.g. a Math department, an English
department, and a Business Studies department), creating individual portals ensures that:
 Each group can only access its own events.
 Each portal can be customized with its own look and feel.
Only users with Super Admin access rights can see and access the Portals section of the Manage Server area.
Create a portal
1.
In Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Portals section, click Manage Portals.
3.
Click Create Portal.
4.
Enter a portal name.
5.
Enter an alias (the name that appears in the server URL).
6.
Enter an admin password. By default, the administrator's Username is set to "admin", but a user with Admin or Super
Admin access rights can change the default username in Manage Users once the portal is created.
7.
Select the check box beside each platform you want the portal to support.
8.
Click Save Changes.
You can view the portal at http://< serverURL >/< alias >.aspx, where "serverURL" is your server's base URL, and "alias" is the
name you entered in the Alias field.
Edit a portal's details
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Portals section, click Manage Portals.
3.
On the Edit Portal page, click the portal that you want to edit and then make your changes.
4.
Click Save Changes.
Preview a portal
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Portals section, click Manage Portals.

Visit portal icon beside the portal you want to preview.

Delete a portal
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in Portals section, click Manage Portals.
3.

Delete icon beside the portal you want to delete.
Purge deleted CaptureCast presentations from Brightspace
Capture Portal
After CaptureCast presentations are published to Brightspace Capture Portal, you have the option to delete presentations
and playlist segments from Brightspace Capture Portal's Manage Presentations area. However, although they no longer
appear in Brightspace Capture Portal, deleted recordings are not permanently removed and continue to reside in the server.
Brightspace Capture Portal users with SuperAdmin access rights have the option to permanently purge these deleted
CaptureCast presentations using Brightspace Capture Portal's Data Purge action.
Important: If your portal contains sub-portals (portals created from a portal), purging your portal will automatically purge
deleted recordings in all sub-portals.
1.
Log in to Brightspace Capture Portal or Brightspace Capture Central.
2.
In the Manage Server area, in the Portals section, click Data Purge.
3.
Click Start Data Purge.
Brightspace Capture portal reporting
Brightspace Capture Portal enables you to monitor user visits to Brightspace Capture Portal, live events, and published
CaptureCast presentations. Information such as usernames, IP addresses, access dates and times, chat logs, and visit
duration is tracked and reported in the Brightspace Capture Portal Manage Server area.
If D2L hosts your institution's Brightspace Capture Portal, users with Super Admin access can also view usage reports to track
their portals' monthly bandwidth and storage usage.
View a Visits report
The Visits report displays the following information: the Name of the CaptureCast presentation viewed (presentations are
labeled Live if viewed during a live webcast, and Recording if viewed after they were published), the IP address of the user
who viewed the presentation, the date and time the user viewed the presentation, the name or username of the person who
viewed the presentation, and length of time the user spent viewing the presentation.

View a Live Events report
The Live Events report displays the following information for each live event: a unique identifier for a live event, the live
event's name, the time that the live event was created, and a CSV file of all public chat that occurred while users attended
the live event (private chat messages between users are not logged and archived).
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Reporting section, click Live Events.
View a Usage report
The usage report can give you information about your current and history bandwidth usage, as well as your current and
history storage usage.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Reporting section, click Usage.
Export a Visits report archive
Visits reports are archived monthly.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Reporting section, click Visits.
3.
Click
Export Archived Logs (zip) and select where you want to save the file on your computer.
Export a live event chat log
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Reporting section, click Live Events.

View Brightspace Capture Portal audit logs
The Brightspace Capture Portal audit logs enable you to view a record of site data modifications so you can monitor when
specific actions occur, and the users who made the changes.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Reporting section, click Audit Logs.
3.
On the Audit Logs page, do any of the following to search and view data:
 Sort the log by column headings.
 In the Search by Name field, enter a live event or published presentation name.
 Click Show advanced search options and use the drop-down lists to filter your search criteria.

Customize your portal
Customize your portal
Using customizations, you can give the Brightspace Capture Portal and Brightspace Capture Central interfaces an individual
look and feel.
Upload a header image
Your header image file can be a maximum of 760 pixels in width and 35 pixels in length. If the image width is more than 760
pixels, the image will be cut off to fit the page layout. You cannot undo an uploaded header image except by uploading an
image file to replace your current one.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Customization section, click Header.
3.
Click Select File and select the header image file from your computer.
4.
Click Upload File. If the new header image does not display, try refreshing the page or clearing your browser's cache.
Edit contact information
You can modify the text on the Contact Us page.
1.
In the Brightspace Capture Portal, click Admin.
2.
In the Manage Server area, in the Customization section, click Settings.
3.
Expand the Documents section.
4.
From the drop-down list, select contact.html.
5.
Edit the information in the text field. You can also enter HTML tags.
6.
Click Save Changes.
Purge deleted CaptureCast presentations in
Brightspace Capture Portal
After CaptureCast presentations are published to Capture Portal, you have the option to delete presentations and playlist
segments from Capture Portal's Manage Presentations area. However, although they no longer appear in Capture Portal,
deleted recordings are not permanently removed and continue to reside in the server. Capture Portal users with SuperAdmin
access rights have the option to permanently purge these deleted CaptureCast presentations using Capture Portal's Data
Purge action. If your portal contains sub-portals (portals created from a portal), purging your portal will automatically purge
deleted recordings in all sub-portals.

Restore your Capture Station to the default settings
 In D2L Learning Environment, from the course navbar, click Capture Central.
2.
In the Manage Server area, in the Portals section, click Data Purge.
3.
Click Start Data Purge.
Restore your Capture Station to the default settings
Important: The Brightspace Capture Station recovery process restores your Brightspace Capture Station operating
environment to default settings by reinstalling the operating system and Brightspace Capture Encoder according to factory
specifications. This process erases all data on the hard drive.
1.
Back up your Brightspace Capture Station files and disconnect all USB and FireWire devices before you start the recovery
process.
2.
Turn Brightspace Capture Station on and while it boots, press F11 repeatedly until the system recovery window displays.
3.
From the system recovery window, select Recover.
4.
In the confirmation window, click Yes.
System restore requires approximately 10 minutes to complete. A progress bar displays during the process.
5.
Click Reboot or Shutdown in the confirmation window to complete the system restore.
After you restart or turn the Brightspace Capture Station back on, you might need to configure the network connection
again. To do this, minimize the Brightspace Capture application and navigate to Windows settings.
6.
In your Brightspace Capture Encoder's Initial Server Setup form, enter the Server URL sent to you by D2L or your
Brightspace Capture administrator.
7.
Click Check Server. The OK status appears once configured.
8.
Click Accept.
9.
Do one of the following:
 If you are logging in via Brightspace Capture Portal, on the main Brightspace Capture Encoder screen, click Log In.
Enter your Brightspace Capture Portal username and password. Click Log In.
