DCA NMCRIS Training Exercise NMCRIS Data Entry Application Create a New Activity Exercise goal: Students will register a new Activity and proceed with filling out the NIAF form information into NMCRIS. Important: This exercise is a sample presentation of the NMCRIS tools. The current database is live. So your implementation of these methods should be on Activities and Resources that you have privileges to edit and intend to submit. Enter https://nmcris.dca.state.nm.us into your web browser to get to the NMCRIS page. We assume that you have filled in the online form to request an account and currently have a login name and password. b. Enter your User Name and Password. Click OK. Step 2: Add a New Activity a. From the tabs bar, select New Registration. 2 DCA NMCRIS Training Exercise b. From your NIAF enter the following information. Begin typing your Lead Agency and then choose the value from the resulting picklist. Your agency’s name will appear in the Performing agency field. Enter Performing Agency Activity Name/No. Select Report Recipient from the drop-down list, or write it in if it does not appear. Check appropriate Activity Types box(s). Enter Total Survey Acreage, Total Tribal Acres, and Total Resources Visited (if applicable). Click Save (Continue) or Save(Done). 3 DCA NMCRIS Training Exercise Note: Be sure to enter Total Survey Acreage if Archaeological Survey/Inventory box is checked. c. When you save an alert window will appear with your new NMCRIS activity number. d. Click OK to dismiss the alert window e. If you clicked Save (Continue), the NIAF form will open. You should see the NMCRIS number displayed as a header at the top of each page. 4 DCA NMCRIS Training Exercise Step 3: Complete the NIAF a. Complete boxes 1 – 14(first tab) of the NIAF. 5 DCA NMCRIS Training Exercise Gray boxes are unavailable for editing. If blank, they will be accessible on the downloadable .rtf copy of the NIAF. Otherwise, the values are populated from elsewhere in the application. b. Complete boxes 15–17of the NIAF. Select Land Owner/Manager from the drop-down list or write one in. Select a Protocol. Enter Acres Surveyed/ Acres in APE. Click the Add Owner/Manager button. The values you entered will be saved to the table below. Repeat the process until all land owners are filled in. Grand total acreage will be calculated in the table. The total acreage reported at registration is displayed below for comparative purposes. *Please make every effort to ensure that the two totals agree. 6 DCA NMCRIS Training Exercise c. In box 17 enter the Survey Data and Survey Field Methods info. d. Complete all available fields on the third tab (boxes 18 – 26). 7 DCA NMCRIS Training Exercise Step 4: Link Existing and New Resources to NMCRIS Activity For some surveys you may want to link existing and/or new resource(s). a. Select the Cultural Resource Findings tab. Enter the Archaeological site, Isolates, and HCPI Resources tallies in the appropriate boxes. Use the sum button to total archaeological sites and HCPI properties. Values in boxes offset to the right will not be included in the totals. 8 DCA NMCRIS Training Exercise b. Associate/Register the resources. Under Previously Registered Resources select the proper prefix and enter the resource number. Click the Associate button. The site will be saved to the table below. Under Discovered Resources fill in the appropriate information and click Register New. The new resource number will appear in the Survey LA/HCPI Number Log. 9 DCA NMCRIS Training Exercise c. Eligibility recommendations and criteria may be entered for each resource in the Survey LA/HCPI Number Log 10 DCA NMCRIS Training Exercise Step 5: Upload Maps and Documents The Documents tab allows you to upload files (up to 4MB) to the database. ARMS recommends attaching the project area map and the final version of NIAF form in .pdf format. Due to size limitations on the database, the attachment of photographs is discouraged in most cases. a. Select Documents tab. b. Click Browse. Select file. Click Upload File. c. In Description box, enter file description. d. To view file right click the file link and choose Open in New Window. 11 DCA NMCRIS Training Exercise e. Use the file menu on the new window to print, copy, save, etc. f. To delete link to file, click located left of file. g. Click the Save Icon when done. Step 6: Create the Polygon(s) for Surveyed Space in the Map Service The locational fields (county, quad name, PLSS, etc.) on the NIAF are populated by spatial intersects performed by the map service (GIS) component of NMCRIS. All surveyed space should be digitized within the map service before the NIAF form is downloaded for submittal. Please refer to the “CSA Feature Editing” training module and its attached training documents for instructions on how to complete this task. The addition of surveyed space may be performed at any point after the initial registration of the activity (Tab 1). 12 DCA NMCRIS Training Exercise Step 7: View and Download the NIAF Form Once you have created a new activity, associated existing resources, completed the online NIAF, and digitized the surveyed space in the map service, you may then download the NIAF form in .rtf format. The .rtf file may then be opened using MS Word or another word processor to fill in the remaining text fields and to print the NIAF hard copy for submittal to your lead agency or SHPO. a. On the Activities tab query up the activity number you created for your project. At the far left of the table record, click the NIAF Report (view/download) icon for your activity. 13 DCA NMCRIS Training Exercise b. The formatted NIAF report will open in a new browser window c. Use the file format pick-list to select the .rtf format d. Use the appropriate icon to the left of the pick-list to Export a report and save it to the disk or Export a report and open it in a new window. e. Once saved, you may open the document using MS Word or a similar word processing program. f. Fill in the remaining text fields g. Once all fields are complete you may print the NIAF for submittal. ARMS requests that you also attach the completed (print copy) NIAF to the activity record in NMCRIS. To do this, click the Edit Activity icon to take you back into the online NIAF, then use the Documents tab to upload the file Summary: In this exercise you were introduced to how to register a new Activity and proceed with filling out the NIAF form information into NMCRIS.
