Copy Budget Template To copy a specific year s budget to a future year s budget with the indexation Click the Copy Budget Template button under the Data Entry module. Select a year you want to copy. For example, you can copy 2015 recurrent budget to 2016 recurrent budget. Select the GLC or parent GLC that you want to copy. If you select S.xxxxx.xx, it will copy this project only. If you select S.xxxxx, it will copy all projects under this department. TM1 Working Budget (ES Final Budget) To budget salaries and on-costs, refer to the Salary Entry tab. (Click Here) To create the annual income and expense budget other than salaries by period, click the By Project or By Account depending on your preference. Select the appropriate department from the drop down menu; or Enter the GLC by tabbing into the department field from the cell to the above or left. Type the GLC in with dots (e.g. R.xxxxx.xx). Select a project, not a parent level (e.g. do not select R.xxxxx.xx TOTAL). Select the account that you want to enter the budget from the Account drop down. Select the Fund code. You can also select All Funds to copy the budget for all fund types under the chosen department. Ensure that WORKING Budget from the Version drop down. Select the account or parent account you intend to copy. You can copy the budget under all accounts by selecting All Accounts . Untick the Hide Zero value box if you want to enter the budget against the accounts that you have not used in previous years. Click the Refresh button. Type the appropriate indexation rate in to apply to the budget. Select the appropriate spread pattern option to distribute the annual budget by period. Click the Copy Budget button. Enter income (credit) and expenses (debit) by year. To spread the amount by Period, select the Spread Type option from the drop down. Click Recalculate to spread and save. Check the total Working Budget in Financial Management Report. Salary Go Back to Main Menu On the Main Menu tab, click the Recurrent or Special Purpose Funds button. Yes Salary Budget Entry Existing Employee working for the project? No Data entry for an individual new employee? Click the Salary Summary button. No Yes Select the appropriate budget unit or department from the drop down. Select the fund. Refresh. Put your cursor in a cell that has $ figures for an employee you want to enter salary budget. Click the Single Employee Input button. The action above will bring up the employee on the single employee input template. Check Start & End dates (& edit if necessary). Review all other prepopulated information (e.g. Salaries, Adjustments, Allowances). Check FTE and GLC information for all years. If necessary, enter a new project GLC in relevant years in the Changing GL Distribution section & adjust the existing GL Distribution to make the total to 100 (e.g. S.xxxxx.xx 50; R.xxxxx 50). Change FTEs for each period (e.g. 1 or 0.5 FTE), if necessary. Click the Recalculate button. Check the Salary Summary Report. To review the salaries and on-costs in detail, click the Salary Results button. Click the New Employee button* under Salary. Casuals? Yes Select Budget Unit. Do NOT select the department or project level. Refresh. Enter the data into Employee Desc & GLC and select the option from Eligibility Group. Press F9. This will bring up the salary level options under the specific eligibility group. Populate Start date, FTE, Super Rate. Click the Recalculate button. Check the Salary Summary report. If you want to edit details further (e.g. FTE, GL Distribution by Period), follow the instruction on the left by using the single employee input. Click the Casual Employees button. No ** Please note that this option is only available for SPF budget entry. Click the Salary Group Employees button**. Select the appropriate budget year and department from the drop down menu. Do NOT select the College or Budget Unit level. Refresh. Select the appropriate budget year and department from the drop down menu. Do NOT select the College or Budget Unit level. Refresh. Enter the amount by Salary Group (e.g. Academic) and Period. Select the appropriate options for oncosts (e.g. incl Super) and fill in FTE per period. You can copy and paste the data if necessary. Click the Recalculate button. Check the Salary Summary Report. Enter the amount by Salary Group (e.g Academic) and Period. Select the appropriate options for oncosts (e.g. incl Super) and fill in FTE per period. You can copy and paste the data if necessary. Click the Recalculate button. Check the Salary Summary Report. * If new employees are at the same salary level, you can enter a group of new employees through the New Employee template by adjusting FTEs (e.g. for 3 staff at the same level, 3FTEs). Preparation: - Download a relevant contract & budget information from the Research Information System. - Check whether the budget is in accordance with the income amount awarded. Note down the income account code. TM1 Approved Budget (ES Total Budget) *Budget Used in CI reports To create the whole of life budget, click the Enter Approved Budget & Variations to Budget button under Data Entry. Select the appropriate department from the drop down menu; or Enter the GLC by tabbing into the department field from the cell to the above or left. Type the GLC in with dots (e.g. S.xxxxx.xx). Select a project, not a parent level (e.g. do not select S.xxxxx.xx TOTAL). Select the account that you want to enter the budget from the Account drop down. Salaries and on-costs should be budgeted by salary categories per year (e.g. academic, admin, and technical staff). Enter the budget against natural account codes (e.g. 5001, 5004, etc), not against a BC account. Leave the Display BC Accounts only box ticked if you want to budget against BC. Or select a particular BC account group. Click the Refresh button. Enter income (credit) and expenses (debit) other than salaries by year (use the income account that you noted down). The sum of Approved Budget (i.e. Whole of Life Budget) is shown in the 2014+ Approved Budget column. Click Refresh or press F9 key to save. Enter income (credit) and expenses (debit) other than salaries by year. Click Recalculate to save. Check the Approved and Working budget together in Project Management Report. Preparation: Download a relevant revised contract & variation budget information from the Research Information System. Check whether the revised budget is in accordance with the income amount awarded additionally. Check the income account code. TM1 Revised Budget To create the whole of life variations to original budgets (e.g. indexation & changes approved by Funds Provider), click the Enter Approved Budget & Variations to Budget button under Data Entry. Select the appropriate department from the drop down menu; or Enter the GLC by tabbing into the department field from the cell to the above or left. Type the GLC in with dots (e.g. S.xxxxx.xx). Select a project, not a parent level (e.g. do not select S.xxxxx.xx TOTAL). Select the account that you want to enter the budget from the Account drop down. Ensure that VARIATIONS TO Budget from the Version drop down. Identify where your variations are entered to. If the variations are for existing account codes, you can leave the Hide Zero value box ticked. If accounts are new, untick the box to see the accounts. You can budget against BC accounts other than salaries and on-costs. Go Back to Main Menu SPF Existing Project Budget Entry On the Main Menu tab, click the Special Purpose Funds button. Leave the Display BC Accounts only box ticked if you want to budget against BC. Click Refresh. Enter variations to income and expenses other than salaries into BC or natural accounts by year. The sum of Variations to Budget is shown in the 2014+ Variations to Budget column. The Revised Budget is the sum of Approved Budget and Variations to Budget. Click Refresh or press F9 key to save. Enter income (credit) and expenses (debit) other than salaries by year. Click Recalculate to save. Check the Approved and Working budget together in Project Management Report.
