C U S T O M E R FA Q : Two-Stage Approval Process C U S T O M E R FA Q S : T W O - S TA G E A P P R O VA L P R O C E S S Requesting Approval with a 2-Stage Approval Process To request approval to open a job, recruiters can click the Request Approval buttons at the top or bottom of the Approvals page. This will send approval requests to the first stage approvers under Approvals to start recruiting (1). The second stage approval requests will be automatically sent to the approvers under Official job approval (2), once approval has been received from the first stage approvers. Recruiters will be able to post a job, and start recruiting and interviewing candidates once first stage approval has been given, even Official job approval has not been given yet. Until Official job approval is given however, recruiters will not be able to create or extend offers to candidates in the candidate profile. 2 C U S T O M E R FA Q S : T W O - S TA G E A P P R O VA L P R O C E S S If a recruiter has still not received Official job approval by the time they are ready to create an offer, they can request it again by going to the Approvals page and clicking Send Reminder under the approver’s name. They can send an additional note to the approver along with their request. Once the Official job approval is given, recruiters will be able to see the Create Offer button in the candidate profile and enter the offer details. 3 C U S T O M E R FA Q S : T W O - S TA G E A P P R O VA L P R O C E S S To trigger the Offer Approval process after the offer details have been entered, recruiters should press the Request Approval button in the candidate’s profile. Until Offer Approval is given, the recruiter will not be able to extend the offer. If an approver does not approve the offer details, they can use the @mention feature under Approval Notes to send a note to the recruiter about how they want the offer to be changed. The @mention feature sends the recruiter an email with this note and a link to the candidate’s profile so they can update the offer details. Recruiters will also see this note in the candidate’s profile when they log into their account. 4 C U S T O M E R FA Q S : T W O - S TA G E A P P R O VA L P R O C E S S The recruiter can click Update (1) to edit the offer details. Once finished, the recruiter can check the updated details (2). Once the details have been updated the Request Approval button (3) will also re-appear. Recruiters can click this button to restart the Approval chain. A recruiter can update offer details and re-request approval as many times as needed. Both recruiters and approvers can use the Approval Notes section and @mentions to send notes to each other about the offer details. Each updated offer will save as a new version; both recruiters and approvers can look back at old versions of the offer details at any time. Once the offer has been approved by everyone, recruiters can Upload or Generate the offer letter with the offer details to send it to the candidate directly through Greenhouse. The offer letter can be uploaded or generated prior to approval, but it cannot be sent through Greenhouse until the offer is approved by the entire chain and the Send with Greenhouse button appears. 5
