Pre-Show Information
Below is a range of information for you to read through to ensure you are ready to start work
on the first day of the 2014 IGA Perth Royal Show. Please read it carefully and if you have
any questions or concerns, please contact Independent Events immediately.
Dealing with the Public
During the Show you will be dealing with thousands of people every day. These may include
patrons, sponsors, media, staff, competitors, commercial exhibitors, councillors, government
officials, emergency services, contractors and VIP’s – and most of the time you will not have
any idea who is who. It’s important you treat everyone with the same exceptional level of
friendliness, courtesy, professionalism and respect to ensure they all enjoy their time at the
Show.
Our gate staff are the first point of contact people have as they come to the Show, and it’s
vital we make them feel welcome and give them a great start to the day. It doesn’t matter if
it’s the first person at 5am in the morning, or the last person at 9pm at night, everyone
deserves a smile, a warm greeting, a smooth and efficient transaction and a “Have a nice
day”. If you see someone who looks lost, confused or unsure, smile and ask if you can help
them. If you don’t know the answer, direct them to the nearest RAS Gate Manager or
Information Point.
Treat everyone you deal with in the same way you would want to be treated.
Shift Times
Please check your roster carefully and be aware that your rostered start time is the time you
need to be at your designated gate and ready to start work, not the time you are just arriving
onsite. Please make sure you allow plenty of time to find a parking spot or catch the train,
walk to your gate (the Showground is deceptively large!), sign in and be standing at your
position ready to go.
Signing In & Out
You’ll be able to use MOTHER to sign in and out of each shift, and a terminal will be located
at your gate for this purpose. Please make sure you sign on as you arrive, and only sign out
after the RAS Gate Manager and Independent Events Cash House Supervisor have given
you the all clear to finish your shift.
Parking & Transport
Parking is not provided and parking spots around the ground are very limited. We suggest
using public transport as often as possible. Every train on the Fremantle line will be stopping
at the Claremont Showground Station every day of the Show. Times vary so check the
Transperth website for exact timetable information.
We ask that you please enter the Showground through the gate you are working on to avoid
confusion and timing issues with trying to move around inside the ground outside of Show
hours.

Uniforms
All Independent Events Ticket Sellers, Ticket Scanners, Spruikers, Side Gate Attendants and
Floaters will be provided with a uniform polo shirt that must be worn at all times while on
shift, along with black pants/skirt, black enclosed shoes, and a name badge (name badge to
be supplied by Independent Events at the beginning of your first shift).
Staff working outside (Ticket Scanners and Spruikers) will also be provided with a rain jacket
(if/when necessary) and a cap. All uniform items must be returned to Independent Events by
the final day of Show. If you do not return all uniform items by COB on Monday 6 Oct, you
will be charged for the cost of the missing item/s and the total amount will be automatically
deducted from your pay.
Uniforms are only to be worn while on shift, and not outside the grounds. If you are staying
on at the Show as a patron after your shift finishes, please make sure you change out of your
uniform first.

what is and isn’t acceptable to wear while on shift.
Breaks and Meals
The RAS Gate Manager/s (in conjunction with the Independent Events Cash House
Supervisor based at your gate) will let you know when you can go for your break/s. Please
ensure you stick to your allocated time, arrive back on time, and accurately record your break
when you sign out at the end of your shift.
Meals are not provided, so please either BYO food, or bring cash to cover the cost of
purchasing food and drinks onsite (ATM’s are located in several locations around the
ground). You will not have time to leave the ground and go into Claremont etc. on your
break so make sure you come prepared.
A water cooler will be provided for staff at every gate so make sure you bring a water bottle
to re-fill throughout the day and stay hydrated (bottles/cups will not be provided – you must
BYO). Water bottles must be plain or plastic store bought bottles, bottles with inappropriate
branding or slogans will not be allowed. Please note this water cooler is for staff use only
and not for patrons.
OH&S
If you are working outside (Ticket Scanners and Spruikers) you will be provided with an IGA
Perth Royal Show cap that must be worn at all times while on shift. Please take good care of
it and make sure you do not lose it as lost caps will not be replaced. All staff are encouraged
to be sun smart and wear a hat and sunscreen (where relevant) and stay hydrated – for more

We encourage all staff to follow safe work practises and help keep the IGA Perth Royal
Show a safe place for staff and patrons alike. If you notice a hazard of any kind, please
report it to your RAS Gate Manager immediately – we are all responsible for ensuring a safe
workplace so please don’t feel it’s not your place to report a risk. Never attempt to lift heavy
items, use make-shift ladders, leave doors unlocked or engage in anything of a dangerous or
high risk nature.
Smoking
The IGA Perth Royal Show is a smoke free event and staff are not to be smoking while on
shift, or at any time while in uniform, regardless of their location. Patrons are also not
allowed to smoke anywhere other than the two designated smoking area inside the ground
(see your Gate Manager for locations). The no smoking rule also applies to the entry gates
and the area immediately in front of them. If you observe patrons smoking at or near your
gate, please advise your RAS Gate Manager.
Attending the Show as a Patron
Once your shift has is completed and you have received permission from your RAS Gate
Manager and Independent Events Cash House Supervisor to sign off, you may stay at the
Show and enjoy the rest of the day as a patron (without needing to purchase a ticket). This
is only available to staff who have just completed a shift (NOT family and friends, staff who
didn’t work that day or staff who are yet to start their shift).
Before you can go in, you must complete everything required by your RAS Gate Manager
and Independent Events Cash House Supervisor, sign out, return all paperwork and
equipment, change out of your uniform and advise them you are going in as a patron so you
can be scanned in correctly.
Once you have officially finished your shift you cannot leave personal belongings at the gate
to collect later, and please do not hang around to chat and distract other staff who are still
working.
Roles and Responsibilities
You will be allocated to any one (or several) of 5 different roles. A folder of detailed, role
specific information and procedures will be at your position on the first day for you to read
and follow, but here is some basic information for you to be aware of before you start your
first shift.
Read the below very carefully, and if you feel you are not suited to, or do not have the
necessary skills or experience to fulfil the role you have been allocated, please contact
Independent Events immediately.




Ticket Sellers
Located in the box offices at each gate, selling entry tickets to the general public
Equipment used is a pre-programed cash register, EFTPOS machine and 2-way radio
Processing cash, credit card and EFT transactions accurately
Must be very aware of the ticket types and conditions and who is eligible for which
tickets to streamline the selling process – and checking concession cards where
applicable




























Keeping an eye on cash levels in register and alerting Gate Manager/Cash House
Rep when a cash clearance, change or more ticket stock is required
Counting the cash float and ticket stock at beginning and end of shift
Greeting patrons with a smile, answering any queries they may have, and conducting
all transactions/interactions in a friendly and professional manner
Providing an exceptionally high level of customer service to patrons, staff and
stakeholders at all times
Ticket Scanners
Located at the scanning point of each gate, scanning all tickets, passes and
accreditation as patrons enter (and in some cases as they exit)
Equipment used is a wireless handheld scanner
Successfully identify types of tickets, passes and accreditation (e-tickets, single entry,
multi entry, staff accreditation, general public tickets)
Ensure every ticket is scanned and valid (green screen) before granting entry to the
patron
Ensure all Multi Entry passes and Photo ID passes are successfully scanned as
patrons leave the ground
If tickets/passes do not successfully scan (red screen), see Gate Manager for
assistance and DO NOT let patron into the ground
Tripping (ripping off) and binning barcode from paper tickets before handing
remaining ticket back to patron
Be aware of patrons who are entitled to free entry, check for the correct ID and/or
uniform, then scan the relevant barcode on the Free Entry Barcode Sheet located at
your scanning point
Greeting patrons with a smile, answering any queries they may have, and conducting
all transactions/interactions in a friendly and professional manner
Providing an exceptionally high level of customer service to patrons, staff and
stakeholders at all times
Spruikers
Located at all gates (generally outside the entry points), informing patrons of
important Show information and assisting patrons when needed
Equipment used is a megaphone and pre-written scripts
You MUST be comfortable speaking to crowds of people both in person, and via a
megaphone
Making a variety of announcements to patrons as they queue/enter
Keeping an eye on crowd and queue levels and report back to RAS Gate Manager
Direct patrons to correct lanes/queues/gates
Greeting patrons with a smile, answering any queries they may have, and conducting
all transactions/interactions in a friendly and professional manner
Watch for recurring issues/problems and report back to Gate Manager
Providing an exceptionally high level of customer service to patrons, staff and
stakeholders at all times
Floaters
Located at all gates and must be able to do all of the above roles
Will cover meal breaks, busy periods and assist wherever needed
Will be directed by the relevant RAS Gate Manager dependant on the needs of the
gate
May carry out several different roles within a shift, or work between several gates
Providing an exceptionally high level of customer service to patrons, staff and
stakeholders at all times
