Pass out 4-H forms, pencils, scrap paper, etc.
Welcome everyone
Name Game – have everyone stand in a circle and randomly throw a ball (gently) to someone standing
across from you. Before you throw the ball, say your name and make eye contact with the catcher. Once
everyone has had the ball, repeat the game, but this time say the name of the catcher. At the end of the
game see if you can name everyone (or ask a club member to do it).
Pledges – say the American pledge and the 4-H pledge

Officer Elections - Discuss officer positions and roles (elections to be held at the 2nd meeting)
President: runs the meeting
Vice-President: runs the meeting if the President is absent and is the program planner (helps find a
presenter for each meeting under the direction of the club members)
Secretary: writes the minutes (or notes) from the meetings
Treasurer: works with the adult treasurer to keep a record of the clubs money
Reporter: submits articles to the 4-H newsletter about what the club did at their meeting
Pledge Leader: Begins the American pledge by saying, “I pledge allegiance…” and the other
members join in. Begins the 4-H pledge by saying, “I pledge my…” and the other members join in.
Game Leader: Comes up with an interactive game to be played at each monthly club meeting.
Refreshment Chair: seeks volunteers to bring refreshments to each meeting and calls to remind
them the week of the meeting.
Club Helpers: Help to pass out papers, clean-up or whatever needs to be done
Meeting Topics - Ask for suggestions (list them and continue the list at the 2nd meeting)
Club Name - Ask for suggestions (list them as well and tell them to keep thinking until next month)
Announcements (Next meeting date, county 4-H events and deadlines from the most recent newsletter)

Club Name - Take additional nominations and then vote
Club Calendar - Take additional suggestions for activities for the year and then vote (one per month) and
then assign each activity to a logical month. Finally ask for volunteers to coordinate each activity (a 4-H
family for each month).
Ask for Refreshment Volunteers (a different family to bring refreshments for each meeting)
After the 2nd Meeting
 Complete the club summary.
 Complete the monthly meeting report on-line or mail a copy in.
 Submit all 4-H Member forms to the Extension office to be copied and a copy returned to you.

Additional Info.
 If your club decides to handle any money for any reason: fundraisers, donations to an individual,
group or organization, to purchase club supplies, etc., you should first contact the 4-H office for
Financial Training.
 At the end of the year (by January 15th) you should submit your completed club treasurer’s record
book (if you open a checking account)
 At the end of January/first of February you should also submit a list of your club officers, a list of
anyone having perfect attendance at club meetings the year before and your next year’s meeting
schedule to the 4-H office.
 Contact the 4-H office to receive your 4-H club roll and your 4-H enrollment forms for your club. It
is necessary for everyone to complete new 4-H medical forms every year and to re-initial and date
their 4-H enrollment form. These new forms should be turned in to the extension office during the
first three months of the year. If the forms are not submitted by April 1st then your club may not be
covered under 4-H accident insurance.
 After your monthly meeting complete a 4-H Monthly Reporting Form on-line, US mail or in person.
