You will notice that some letters are underlined in each window. By pressing ALT and the underlined letter, the user can access these functions without using the mouse. Query Button: This will allow the user to browse the selected master file to see what records exist. Once the Query Dialogue is displayed the user will have the ability to select a different sort key or enter a starting point for the selected file. While in the record display area the user will have the ability to scroll up/down using the arrow and page up/down keys. The vertical scroll bar on the right may also be used to position within the file. Once a record has been selected (by pressing Enter or double clicking the mouse), the specified item is passed back to the program currently being run. Write Button: The write button is clicked to update a file with a new record, or update an existing record with the changes entered. If the exit or clear button is clicked prior to a write all information entered or any changes made will be lost. Clear Button: The clear button will clear the current record displayed and return to the beginning of the entry for the next record. Once the clear buttons has been clicked any information entered or changed will be lost. Exit Button: The exit button will end the current program and return the user to the last menu. If a displayed record is partially written or any fields have been modified and the write buttons has not been clicked the user will lose any information that has been entered or changed. 3 Print Button: This will execute a print option for the current program you are running. The print job will be slightly different depending on the application you are running. This button in the master file maintenance will allow the user to get a listing with selective options depending on the master file selected. During other applications it may only print the record currently being displayed or start a report based upon the selected options. Note: printers must be configured properly prior to this button working properly. First Record: This will display the first record in the file currently being worked on. Last Record: This will display the last record in the file currently being worked on. Prior Record: This will display the prior record in the file currently being worked on. Next Record: This will display the next record in the file currently being worked on. File Maintenance: When the user is in a master file query, this button will allow the user quick access to the master file maintenance. Once the user has added the necessary record to the master file the user may exit back to the query to select the new record to be passed back to the program currently being run. Changed By & Date: The system will keep track of the last date and user to add or modify all master file records. Shift + Tab Button or Shift + Enter Key: Pressing the Tab Button or the Enter Key while holding down the Shift Key will take the user backwards one Field. 4 Shift + F2 Key: Pressing the F2 Key while holding down the Shift Key will open the Query Field for the Field the user is currently in. F1 Key: Pressing the F1 Key will access notes for the field the user is in as well as all menus in the system. F8 Key: Pressing the F8 Key will access the report notes for the Report being used. Spell Check If a user is on version 10 of ProvideX or higher and using client 3.A they will now be able to right-click in any field to bring up a spell check option. You can check your version of ProvideX in the system information program found in the utilities menu. 5 Calculator A new calculator button has been added to several of the numeric entry fields throughout the system. If a user clicks the button, a calculator will appear. Upon clicking the return button or hitting enter, the calculated value will be entered into the value field. Process Scheduler Control #: Existing control number for retrieving schedules or new for setting up a new scheduler 6 Status: Gives you the status of your scheduled event Company: Company number your scheduled event belongs to Program: Program name (code) your schedule is running Settings: Settings your scheduled event has Comment/Desc: Name your scheduled event Email: The email address (s) you wish to have the output of your scheduled event to be sent Recurrence: Using the drawdown feature chooses between any pre-determined time events example: Once, Daily, M-F, etc. Next Run Date: The date your next scheduled event will run Next Run Time: The time your next scheduled event will run. Output type: Using the drawdown feature you can choose between your outputs from pre-determined formats Landscape: Click landscape box for your output to print in landscape form Excel Open office: If using .xlsx output FTP Output to: FTP Output codes or select from pre-determined codes by using the query. FTP File Name: Only used for FTP and can be left blank for default naming. 7 Add Date/Time stamp: Check box to affix a date/time stamp to the filename of items sent via FTP Public: Check Public box if your event will be shared public Skip if no Dtl: When checked No Report will be saved or sent if there is no data to print Delete: Click to delete your schedule Run now: Click to run your schedule immediately Write: Click to save (Write) your current record Exit: Click exit to leave your record 8 Allocation Preliminary Allocation (Allocation, Preliminary Allocation) The process where pick slips are automatically created based on available inventory and parameters entered by the user is called Allocation. The user may have the system include purchase orders and cut tickets not yet received as part of the available inventory. The user may also select sales orders to have a minimum pick dollar value, a minimum quantity percentage by line item, and minimum dollar percentage by sales order for a pick slip to be generated. The system first processes the open sales order file finding sales orders that pass the selection criteria entered by the user. The system will place these sales orders in the sequence defined by the sort levels entered by the user. At this time the system also builds a list of styles on the sales orders involved in the allocation. The system will then process the list of styles involved, accumulating the available inventory as defined by the options selected by the user. If the user selected available to ship plus production, the system will display a selection dialogue at this time for the user to select which production items are to be included. 9 Finally the system will process the sorted sales orders comparing the sales order quantities to the inventory quantities. The system will flag the items that can be allocated and post a status reason on those items that can not be allocated. Warehouse: Enter the Warehouse Number or use the query button to display Warehouse Numbers already defined. This is a mandatory field and a valid warehouse must be entered to process the allocation. O’ride Ship Cmp: The user can have the system ignore the ship complete flag on the sales orders by checking this box. O’ride Coord: The user can have the system ignore the coordinating item relationships on the sales orders by checking this box. Inc Production: The user can have the system print the production (purchase orders and cut tickets) on the preliminary allocation report by checking this box. If the user selects to allocate inventory based on ‘Shp+Production’ this box will be automatically checked. Run Report: The user can have the system print a preliminary allocation report showing the status of each sales order line qualifying for this allocation by checking this box. Exclude B/O: Check the Exclude B/O box if you do not wish to have Back Orders print on the Allocation Report. Inc. Ship Early: The user can have the system print the Ship Early items on the preliminary allocation report by checking this box. Items w OH only: Check the Item w/OH only box if you wish to include the OH only. From/To Date: If the ‘from date’ is blank the system will not filter sales orders for a beginning date. If the ‘from date’ is entered, the system excludes any sales orders where the order’s date is prior to the ‘from date’. The query button will display a calendar for the user to select a date. If the ‘to date’ is blank the system will not filter sales orders for an ending date. If the ‘to date’ is entered, the system excludes any sales orders where the order’s date is after the ‘to date’. The query button will display a calendar for the user to select a date. 10 Min Order %: The minimum percentage of the sales order dollar amount qualifying to be picked as compared to the total open dollar value of that sales order that must be met or exceeded for a pick slip to be generated. A percentage of 25% is entered as 25. Min line %: The minimum percentage of the line item quantity qualifying to be picked as compared to the total open quantity of that line item that must be met or exceeded for a pick slip to be generated. A percentage of 75% is entered as 75. Min Order $: The minimum pick slip dollar amount that must be met or exceeded for a pick slip to be generated. Combine Sz Types: Check the Combine Sz Types if you wish to have the Size Types combined on the Allocation Report. Allocate Based On: The user can have the system allocate inventory based on the current available to ship, the current available to ship plus production (purchase orders and cut tickets) not yet received, or ignore current inventory (Blowout). If the user selects to allocate inventory based on available to ship plus production, during the allocation process the system will display a selection dialogue box where the user can select which production items (and quantities) are to be included in the available inventory. Sort Levels: Sort levels define the sequence in which sales orders are to be checked. Sales orders are always sorted in descending order unless otherwise specifically stated. The lower sort level will be sorted in descending order within the higher sort level, this means level 3 will be sorted within level 2, and level 2 will be sorted within level 1. Selection Criteria: The selection criteria may be a Beg/End selection or a random selection where the user can enter a list of selected items. The selection criteria by default are values to be included in the allocation, but the user has the option to exclude individual selections. Beg/End Selection: When the Beg/End selection is used, the user may enter a beginning value and an ending value. If the beginning value is blank, the system will not filter the sales orders for a minimum value. If the beginning value is entered, the system excludes any sales orders where the order’s value is less than the beginning value. If the exclude option is checked, the system will exclude any sales orders where the order’s value is greater than the beginning 11 value. If a query button is available, the user may inquire and select a value from the predefined list displayed when the query button is clicked. If the ending value is blank, the system will not filter the sales orders for a maximum value. If the ending value is entered, the system excludes any sales orders where the order’s value is greater than the ending value. If the exclude option is checked, the system will exclude any sales orders where the order’s value is less than the ending value. If a query button is available, the user may inquire and select a value from the predefined list displayed when the query button is clicked. Random Selection: When the Random selection is used, the user may enter a list of values to be included in the allocation. If the exclude option is checked, the system will exclude the list of values from the allocation. If the values or codes are from a master file, the random selection will validate each value as it is entered against the associated master file. If a query button is available the user may inquire and select a value from the predefined list displayed when the query button is clicked. After all values are entered the user must click the OK button to exit the random selection. When exiting (if values were entered) the user may save the list if they desire to reuse the list in the future when running an allocation. Settings: The user may save the allocation options or may retrieve previously saved allocation options by clicking the Settings button. 12 Once the user has entered all the sort levels and selection criteria, but prior to clicking the Print button, the user may save all of the allocation options by clicking the Settings button. If the user saves the allocation options, they can then retrieve the options in the future when an allocation is run. 13 Allocation by Order Report (Allocation, Allocation by Order Report) Currency: Enter the Currency Code or click on the query button to choose from a list of already defined Currency Codes. Leave blank to include all Currency Codes. Warehouse: Enter the Warehouse Code or click on the query button to choose from a list of already defined Warehouses. Leave blank to include all the Warehouses. Terms Code: Enter the Terms Code or click on the query button to choose from a list of already defined Terms Codes. Check the Random box to allow only selected Terms Codes to print. Leave blank to include all Terms Codes. Salesrep: Enter the Salesrep or click on the query button to choose from a list of already defined Salesreps. Check the Random box to allow only selected Salesreps to print. Leave blank to include all Salesreps. Print Options: Select the Print Option you prefer for printing out this report. Choose from Print All, Print only if OK to ship, Print only if NOT OK to (ship) or Print only OK with Entire Order. 14 Sort by Salesreps1, 2, 3: Check one of the Sort by Salesrep options if you wish to have the pages separated and grouped according to the selected Salesreps Number. Sort by Entered By: Check Sort by Entered By if you wish to have Entered By grouped together. Print Header Notes: Select this box if you wish the Header Notes to print. Print Line Detail Notes: Select this box if you wish the Line Detail Notes to print. 15 Allocation Line Maintenance (Allocation, Allocation Line Maintenance) After choosing a Warehouse, the user can either enter a Line Number to edit or could leave the Line Number blank and enter an Order Number to call up all Line Numbers associated with that Order. The user can Allocate, DeAllocate, Cancel Backorder or Clear Cancel Backorder on selected Line Numbers. After the user has made all the necessary changes, the allocation update must be run to generate the actual pick slips. 16 Allocation Style Maintenance (Allocation, Allocation Style Maintenance) *This program has the option to print to Excel. After the preliminary allocation is complete the user can modify the results in allocation Style maintenance. The user can change the quantities to be allocated or remove a line from the allocation. After the user has made all the necessary changes, the allocation update must be run to generate the actual pick slips. Warehouse: Enter a Warehouse or click the query button to select from a list of already defined Warehouses set up in the Warehouse Master. Style: Enter a Style or click the query button to select from a list of already defined Styles set up in the Style Master. Color: Enter a Color code or click on the query button to select from a list of already defined Colors set up in the Style/Color Master. 17 Apply: Click the Apply button to see a list of all orders with that Style / Color and Size Type. By double clicking a line, you will be able to see the Detail of this Allocation. Line #: If you have your Allocation by Order Report, you can enter the Line number after entering the Warehouse number to see the detail of the Allocation with out having to enter the style and color as stated above. *This program has the option to print to Excel. 18 Pick: Enter the correct unit amounts to be allocated. Allocate: Re-Allocate based on current available to ship Force: Force allocation of entire order regardless of available to ship Deallocate: De-Allocate this line. Cancel: Cancel balance of line, if no quantities picked, line will be cancelled If the customer is set up to not allow cut backs a warning message will appear when trying to cancel units on the order. 19 Allocation Reprint (Allocation, Allocation Reprint) In order to reprint a Preliminary Allocation, the user would enter the warehouse number and click on Print. 20 Allocation Update (Allocation, Allocation Update) Warehouse: Enter the warehouse number or use the query tool to display warehouse numbers already defined. Pick Date: The user MUST enter the Warehouse and Pick Date to be updated. After entering the Pick Date, the user would click on Update. The system will then display how many pick tickets were generated. 21 Manual Pick Entry (Allocation, Manual Pick Entry) Order Number: Enter the Order Number or use the query button to display Order Numbers already created. The information currently associated with the order number entered will be displayed. Pick Seq: The pick sequence number is 3 Numeric characters in length. If the user is creating a new pick slip, this field must be left blank and the system will assign the next available pick sequence for the sales order entered. The user may enter an existing pick sequence for maintenance. The query button will display all existing pick sequences for the sales order entered. Pick/Call/Reserve: Choose the type of picks you want to appear on the report: Pick, Call, or Reserve. Auto/Manual: The user can have the system pull all the line items onto the pick ticket by checking the auto button. If the user wants to enter the line items to be picked they should click the manual button. Avail Ship/Order Balance: The system will default the line item quantities to be picked based on the option chosen. If the user selects the ‘avail ship’ option the system will default the quantity to be picked to what is available to ship. Order Balance would force the order lines into the pick ticket. 22 O’Ride Coord: Check this box to override coordinating items. The user must then click the Apply button to continue on to the pick slip line items. Line: Pick slip line has a maximum of 4 numeric characters, and is validated against the Sales Order file. The query button will display the line items from the Sales Order entered. Quantity: The size entry dialogue box will be displayed for the user to enter the quantity to be picked for each size. Verify: At the end of each line the user can accept (verify) the line by entering a (Y). The user can reject the line by entering a (D); if the user enters a (N) the cursor will go back to the Quantity and let the user re-enter quantities. When the user is finished maintaining the line items, they can click the Done button to update the pick slip to the system. The user can click the Delete button to delete the pick slip from the system. 23 Style Pick Sequence Maintenance (Allocation, Style Pick Sequence Maint) Style Pick Sequence Maintenance lets the user create Pick Sequences (e.g. Warehouse Locations) for each Style in the Style Master and for each Warehouse that a particular Style is being housed. Style: Enter the Style Number or use the query button to display Style Numbers already defined. W/H: Enter the warehouse code or use the pull down menu to select the Warehouse. Color (Mandatory): Enter the color code or use the pull down menu to select the Color for the Style/Color being defined. Pick Sequence: Pick Sequence can be a maximum of eight Alpha/Numeric characters in length. Block Allocation: If this location should be blocked during Allocation, enter a (Y); if it should not be blocked enter an (N). Ver: Enter (Y) to Update, (N) to Modify or (D) to Delete. 24 Pick Cancellation (Allocation, Pick Cancellation) Pick #: Enter the Pick Ticket Number of the Pick Ticket to be Cancelled (Deallocated). Pick Number 0000067-001 would be entered as 67001. Use the random option to create a specific list of Pick Tickets. Use the Random consolidated picks to create a list of consolidated pick tickets. Order Number: Enter the Order Number to have all pick tickets for that order pulled into the information box. Customer: Enter the Customer to have all pick ticket for that customer pulled in to the information box. PO# Enter the PO# to have all pick tickets for that PO pulled into the information box. Release # Enter the Release # to have all pick tickets for that Release pulled into the information box. 25 Warehouse: Enter the Warehouse Number or use the query button to pull up a warehouse Number to have all pick tickets for that warehouse pulled onto the information box. After the selection has been entered, the user would click on the Add button. If a Pick was entered erroneously, the user would click on the line item, and then click on the Delete Button. After all Pick Tickets have been entered, the user would click on the DeAllocate button. Pick Ticket History (Allocation, Pick Ticket history) Pick #: Enter the Pick Ticket Number of the Pick Ticket to be found. Pick Number 0000067-001 would be entered as 67001. Pick History Notes: You can add pick ticket notes to a pick ticket. 26 Order Line Cancellation (Allocation, Order Line Cancellation) Order Number: Enter the Order Number that needs modification. Once Order Number is entered, Customer field will show corresponding Customer to this order. Reason Code: Enter a Reason Code or use the query button to choose from a list of Reason Codes. Verify: Enter Y to Accept, N to modify the Reason Code or D to Un-select your selected choice. Select All: If you want to cancel this whole order, click on the Select All button to cancel all lines. Update: After making changes, click on the Update button to update the order. 27 Pick Slip Print (Allocation, Pick Slip Print) Reprint: Check the Reprint Box in order to Reprint Pick Slips that have already been printed. Random: Check the Random Box in order to select a group of Pick Slips to print. Control #: Enter the beginning and ending Control Numbers. Leave blank to print Pick Tickets for all Control Numbers Order From / To: Enter the beginning and ending Order Numbers or use the query button to display Order Numbers already created. Leave blank to print Pick Tickets for all Orders. Please note that if the Reprint Box is checked, ALL Pick Tickets will be printed if these fields are left blank. Pick Sequence: If the Order (From / To) fields are utilized, the user can select a Pick Sequence to print. 28 Pick Date: Enter the beginning and ending Pick Dates to print or leave blank to include all date ranges. Season: Enter the Season Code or use the query button to display Season Codes already defined. Leave Blank to print Pick Slips for all Season Codes. Salesrep 1: Enter the Salesrep or use the query button to display Salesreps already defined. Check the Random box to allow only selected Salesreps to print. Leave Blank to print Pick Slips for all Salesreps. Warehouse: Enter the Warehouse Number or use the query button to display Warehouses already defined. Leave Blank to print Pick Slips for all Warehouses. Division: Enter the Division Code or use the query button to display Division Codes already defined. Leave Blank to print Pick Slips for all Division Codes. Cust PO#: Enter Customer PO #. Use the query button to create a list or leave blank for all Customer PO’s. Pick Status: Enter the Pick Status or use the query tool to display Pick Statuses already defined. Terms Code: Enter Terms Code. Use the query button to create a list or leave blank for all Terms Code. Order Type: Enter the Order Type of use the query tool to display Order Types already defined. Use the Random Box to create a list of Order Types. Use the Exclude Box to either exclude an Order Type or a list of Order Types. Print All Locations: Uncheck this box if you do not wish to Print All Locations. Sort Line Items By: Check the appropriate box to Sort the Pick Ticket Line Items by Location/Style, Style, or Order Line Number. Ship via: Allows the user to filter by the ship via 29 Pick Ticket Report (Allocation, Pick Ticket Report) *This program has the option to print to Excel. *This program has the ability to use the Scheduler. Currency: Enter the Currency Code or use the query button to display Currency Codes already defined. If a Currency Code is entered, only transactions in that Currency will be printed and all dollar amounts will be in the Currency selected. If left blank, all dollar amounts will be printed in the currency used by the Company. Order From / To: Enter the beginning and ending Order Numbers or use the query button to display Order Numbers already created. Leave blank to include all Order Numbers on the report. Selection: Selection allows the user to refine the Allocation based upon selected parameters. For Example, if the user only wanted to allocate goods for a specific Customer, the user would Select Customer from the list and enter the Customer Number in the Beg Value and End Value or click on the Random Box to select that Customer or a group of Customers. Also, directly under the Selection box, there is a box that allows the user to exclude items. Similar as above, if the user wanted to exclude a Customer from the allocation, the user would Select Customer from the list and enter the Customer Number 30 in the Beg Value and End Value or click on the Random Box to select that Customer or a group of Customers. Beg and End Value Please note that the system does not check to see if the Values Entered are Valid. If the user enters an invalid Value in either of these fields the system will accept the Values but the selection would not be made. Pick Date: Enter the beginning and ending Pick Dates to print or leave blank to include all date ranges. Start Ship Date: Enter the beginning and ending Start Ship Dates to print or leave blank to include all date ranges. Cancel Date: Enter the beginning and ending Cancel Dates to print or leave blank to include all date ranges. Sort By: Sort by will put the report in order of the selected sort. Include GP: In order to print GP on the report, the user would check this box. Sort: Check one of the following, Unreleased, Released, Reserved, Call 1st or All to print on report. Sort By: Customer Order Salesrep1 Salesrep2 Salesrep3 Puller P/S date Cancel Date Detail: Check a box Style/Color or Style/Color/Size. Country of Origin: This check box can only be checked if your detail has been checked. Notes: In order to print the Pick Ticket notes on the report, the user would check the Notes box. 31 *This program has the option to print to Excel. 32 Bulk Pull Sheet for Pick Ticket Report (Allocation, Bulk Pull sheet for Picks Rpt.) *This program has the option to print to Excel. Order number: Enter the beginning and ending Order Numbers or use the query button to display Order Numbers already created. Check the Random box to allow only selected Orders to print. Leave blank for all order #’s. Pick Seq: Enter beginning to ending pick sequence or use the query button to display valid pick sequences. Leave blank for all. VAS Pick#: Enter the beginning and ending VAS Pick numbers to print or leave blank to include all Pick Date: Enter the beginning and ending Pick Dates to print or leave blank to include all date ranges. Random Picks: Use this checkbox if users want to filter the report for a specific list of pick tickets. 33 Random VAS: Use this checkbox if users want to filter the report for a specific list of VAS pick tickets Start Ship Date: Enter the beginning and ending Start Ship Dates to print or leave blank to include all date ranges. Order Type: Enter the Order Type or us the query to select from a list already defined. Check the Random box to allow only selected Order Types to print. Leave blank to include all Order Types. Season: Enter the Season Code or use the query button to display Season Codes already defined. Leave blank for all Season Codes. Check the Random box to allow only selected Seasons to print. Warehouse: Enter the Warehouse Number or use the query button to display Warehouses already defined. Leave blank for all Warehouses. Division: Enter the Division or use the query button to display Divisions already defined. Leave blank for all Divisions. Style: Enter the Style or use the query button to display Styles already defined. Leave blank for all Styles. Category: Enter the Category or use the query button to display Categories already defined. Leave blank for all Categories. Random Customer Selection: When the Random selection is used, the user may enter a list of Customers to be included in the report. If the exclude option is checked, the system will exclude the list of Customers. Customer PO: Enter the Customer PO. When the Random selection is used, the user may enter a list of Customer PO’s to be included. Leave blank to include all PO’s. Print Location Codes: Check this box to print the locations of each style. 34 Control Number: Enter the pick ticket Control Number. Check the Random box to allow only selected Control Numbers to print. Customer Type: Enter the beginning and ending Customer Type or use the query to select from a list already defined. Check the Random box to allow only selected Order Types to print. Leave blank to include all Order Types. Ship Via: Enter the Ship Via or use the query button to display Ship Vias already defined. Leave blank for all Ship Vias. Channel Type: Enter the Channel Type or use the query button to display Channel Types already defined. Leave blank for all Channel Types. Sales Rep 1: Enter the Sales Rep or use the query button to display Sales Reps already defined. Leave blank for all Sales Reps or use the random box to create a list of Sales Reps. Customer release #: Enter the customer release # to display specific customer release #’s already defined. Excel 1 line/size: When checked this will allow the print output to print one style/color/size per line. Excel sort by VAS: When checked additional columns will be added to the Excel output for VAS number, ship to store, and ship to store name. Based on the VAS pick ticket number. *This program has the option to print to Excel. 35
