Please note that stand clearing or pre-parking may not commence before 5pm on Tuesday 13th
Sept. all exhibits must be removed from the hall on Tuesday evening by 8pm.
United Kingdom contractors must conform to the Working Rule Agreement for the Exhibition
Industry and must employ the appropriate labour. Such regulation does not apply to overseas
contractors. However, they must comply with the installation timetable as shown. All stands must
be completed and manned by 9am on Sunday 11th Sept.

OPERATIONAL INFORMATION
Access to the area and the venue is excellent, with roads, rail and
underground stations all within walking distance and London City
Airport just a short taxi ride away.
Road routes into the City of London area are very
good and the M25, A406 North Circular, A13 and
A12 all connect to the venue and area.
Road
The congestion charge does NOT apply to the
area which is also good news.
Parking is plentiful around the area and secure
parking charges are between £10 and £15 a day.

Air
Rail and tube links are superb. The closest
mainline station is Liverpool Street (just a few
minutes walk) and there are direct underground
links from Kings Cross, Paddington and Victoria
stations.
The underground stations closest to the venue
are Shoreditch High Street (5 mins walk),
Aldgate East (10 mins walk) and Liverpool Street
(10mins walk).
The closest airport is London City Airport which
is 20 minutes away by taxi.
There are plenty of places to stay around Brick Lane including
quite a few very trendy ‘boutique hotels’ at really good rates
(from £50 a night).

On Saturday evening, a show directory will be delivered to each
stand. For stand sharers, each exhibitor will be left a directory.
BCTF SHOW
DIRECTORY
The official show directory is designed both as a guide to the
exhibition and a valuable reference for buyers during and after the
exhibition. Please remember, having a good quality image of your
product makes it easier for buyers to recall your work after the
show.
The exhibition ends at 5pm on Tuesday 13th September.
BREAK-DOWN
UNDER NO CIRCUMSTANCES will exhibitors be permitted to
remove exhibits or dismantle their stands prior to the close of the
exhibition.
All stands must be cleared by 8pm on Tuesday 13th September.
Full breakdown instructions will be issued to you during the
event.
Exhibitors arriving by car or van will be allocated a time-slot during
which they can park and unload their vehicle. After unloading you
will be required to move your vehicle to a comercial car park.
BUILD-UP
Allocation of time slots will be organised several months in
advance of the show and exhibitors will be given the opportunity
to request the slot that suits them best.

If you are coming by car or van please make sure that your vehicle
pass is displayed clearly. The build up section is a controlled area.
If you are coming by public transport, please go to the organisers
office to collect your badge when you first arrive.
CARPET
All stands and aisles will be carpeted. Exhibitors' own carpet or
alternative covering is not permitted.
CATERING
Alcoholic drinks, tea, coffee and refreshments will be served in the
restaurant.
CLEANING
Stand cleaning is provided and exhibitors should place all rubbish
in the black sacks provided in the aisles, once the exhibition is
closed each evening.

On arrival at your stand, please check that everything is in order;
light fittings, sockets, name board etc.
Any problems, go to the contractors help desk . This will be
located close to the Organisers Office.
Exhibitors are asked to ensure that drivers delivering any exhibits
are supplied with FULL INFORMATION INCLUDING STAND
NUMBER.

The organisers cannot accept responsibility for deliveries once
they have been signed for.

Electrical requirements can be ordered on the relevant forms
through your Exhibitor Dashboard.
ELECTRICS
All electrical work MUST be carried out by the sole electrical
contractors appointed by the organisers. Electrical fittings MUST
NOT be tampered with, nor should any socket be overloaded. If
you have any problems with electrical fittings on your stand please
contact the service desk on site.
Exhibitors in the Newcomers Gallery will be supplied with one
fluorescent strip light, which is included within the package.
During build-up, break-down, and the open days of the exhibition,
all stand personnel must wear an exhibitor badge showing their
name and company. Badges and badge-holders will be available
from the organiser’s office during build-up.
EXHIBITOR BADGES
Security staff will have instructions to deny access to the
exhibition hall to any person not wearing a badge. Ensure
contractors/workmen collect the necessary badges from the
organisers’ office.
EXHIBITOR PARKING
When you have finished unloading your stand and products into
the hall please park in one of the local pay and display car parks
that are situated around the venue.
DO NOT LEAVE YOUR VEHICLE PARKED UP IN THE BUILD-UP
AREA ANY LONGER THAN NECESSARY.
FASCIA NAMEBOARD
A standard design fascia name board will be supplied to each
exhibitor as part of the shell scheme provided. The information
will be taken from your online catalogue entry.

PRESS OFFICE
Publicity for the British Craft Trade Fair is handled by our company
and there will be an area within the press office where press packs
can be left on display.
Security staff will be on duty during build up, open days and
breakdown period. Although the organisers will provide adequate
security cover, they cannot be held responsible for any loss,
damage or accident.
For security reasons no exhibits may be removed from the hall
during open days.
Security Advice
SECURITY

Do not leave cash, handbags, valuables etc in unlocked
drawers or cupboards on your stand.

Do not ask your neighbour to ‘keep an eye’ on your stand.
If he gets busy you could be the loser.

Do not leave your stand at night before buyers are clear of
the show.

Check all lockable units before leaving your stand.

Report anything of a suspicious nature immediately to a
security guard alternatively contact the Organisers’ office.

The lunch period of 12 noon to 2pm require particular
attention.
Any exhibitor with valuables they wish to leave on their stand
should provide themselves with a lockable cabinet or other safe
storage.
Please do not hesitate to discuss with us any security problems
you may have.
SHELL SCHEME
STAND DESIGN
A detailed drawing of your shell scheme can be accessed through
your dashboard.
Fixing by nails, screws or staples to the shell scheme is NOT
PERMITTED. There are many other ways of displaying products on
your stand. You can fix fireproofed fabrics (wallpaper in small
amounts) tightly, from battening fixed to the top of the stand to
3” from the floor. Products and displays can be attached to the
walls by using double-sided sticky pads, twin velcro and blu-tac.
Also you can clip hooks over the top of the stand walls to hang
products from using chain, rope, nylon wire etc.
The stand extras form has a list of helpful stand accessories you
can hire for the three days. The shelves and the garment rails fit
on the shell scheme and may be more practical than bringing your
own.

STORAGE
There will be a limited amount of space FOC available at the fair
for storage, go the organisers office if you require to use this.

FIRE & SAFETY REGULATIONS
Any goods attached to your stand will constitute part of your stand and will be subject to these
regulations.
TIMBER USED IN STAND CONSTRUCTION AND DISPLAYS
All timber under 1” thick must be impregnated (pressure process ) to Class 1 standard. Boards,
plywood, chipboard etc. must be treated in the same way if they are under ¾ “ thick. Treated
boards will have BS476 Class 1 marked on them, or exhibitors must be able to provide proof of
treatment.
All timber and boards used should be affixed to a supporting frame by an adequate fixing method.
Staples are not satisfactory for this purpose.
PLASTICS
Plastics must conform to Class 1 fire regulations.
STAND DRESSING, FLOORING AND FABRICS
Textile fabrics used for display must be fixed securely taut and/or in tight pleats to a solid backing
and secured 3” above floor level. No stands must be draped with fabrics at any time. No fabrics
must touch light fittings at any time. No lighting shall be placed so that the lighting surface is in
direct contact with stand constructions/display materials.
LIGHT FITTINGS
All electrical fittings must comply with the Regulations for Electrical Installations. Unprotected
light fittings must be minimum 2 metres above the ground.
GANGWAYS
Under no circumstances will exhibits, stand dressing, table, chairs etc. be allowed in the
gangways. Offending items are liable to removal without warning.

STORAGE
No excess stock, literature or packing may be stored on, around or behind your stand.
PORTABLE HEATING
No portable heating or LPG burning appliances shall be used within the exhibition halls without
prior consultation with the approval of the Fire Authority.
LIGHTING & POWER SUPPLIES
All lighting and power supplies additional to the existing fixed permanent lighting and power
supplies to the premises shall be installed and inspected by a qualified electrical engineer.
HALOGEN LIGHTS
All Halogen display lighting should be of a type that is totally enclosed or so designed as to provide
a suitable and adequate guard to cover the lighting element. The rating of any halogen display
lighting provided should not exceed maximum 300watts.
PROHIBITED - No naked flames, kettles, lasers or gas cylinders are allowed on any exhibitor
stands.
VEHICLES
Vehicles are not allowed within the exhibition halls at any time.

PUBLICITY GUIDE
INTRODUCTION
This Publicity Guide is designed to help you gain the most from your participation as an exhibitor
at this year’s British Craft Trade Fair. It covers all aspects of publicity from writing a press release
to using the Press Office and also includes contact details for a range of trade publications that
have expressed an interest in being sent information about both BCTF and exhibitors.
Take advantage of a number of opportunities for free publicity whilst exhibiting at the British Craft
Trade Fair. For those who are exhibiting for the first time either here or at any trade show these
opportunities are particularly important as the more you do to promote your presence at the
exhibition, the more business you can expect to do there.

PREPARING PRESS INFORMATION
Any information sent to the media should be in the form of a press release. Here are some basic
rules for setting them out:






Type all releases in 1.5 line spacing on one side of A4. If possible, keep the length to one
page, any more than two pages is too long.
Begin the release with a punchy heading.
The first paragraph should contain the main points of the story, i.e. expand on the
heading.
Subsequent paragraphs should expand on the introduction, i.e. outline the main selling
points of the product, e.g. design, materials used and price.
If you are a new exhibitor, explain why you decided to take a stand at BCTF.
At the end of the release, put your contact name, address, telephone, e-mail and website
address in case editors need more information. Also include your stand number at the
show and the date of the release.
Magazines like something visual to accompany product news so try to include a professional and
clearly captioned image on a CD with your release.

CONSUMER AND LOCAL MEDIA
You will have local newspapers, radio stations and TV channels that cover your region and all local
media are looking for news.
A call to the News Editor of these local media centres before the exhibition may well result in
useful coverage for you or your company. They may be interested to hear about the personalities
involved in your company’s success, details of any unusual products to be launched at BCTF, how
you will be promoting your company and what this will mean in terms of business for you and
your area.
ON-SITE PRESS OFFICE
The press office at the British Craft Trade Fair will be the first stop for media visiting the show and
it is in your interest to ensure that information about your products and company is available to
them.
Your press packs should ideally include an up-to-date press release, company brochure or
background information and where appropriate, a captioned photograph showing your
product/new product. Remember that press information need not be expensive to be effective.
Please deliver your press information to the Press Office during the afternoon of Saturday 5th
April or before the exhibition opens on the Sunday. Six press packs should be sufficient and do
also keep a supply on your own stand for journalists’ queries.
Make sure that you visit the Press Office and keep us informed of any news items such as interest
from visitors and business done which can be passed on to visiting press or used in post-show
publicity.

PR CHECK LIST
Here are the most important points to note.

Write a press release highlighting your participation in the exhibition as well as any
interesting information about your work, awards you may have or commissions you have
been asked to make etc.

Plan your advertising schedule and book ads with the appropriate media, using the BCTF
logo and your stand number to promote your presence at the fair. Logo is downloadable
from our website via the exhibitor section.

Issue an invitation to your own press and buyer contacts to ensure they visit. you at the
show.

Prepare press packs and deliver to the Press Office before the show opens.
BRINGING IN THE BUYERS
A successful show means orders for our exhibitors and to achieve this we require as many buyers
as possible to visit the fair.
We spend a lot of time on our marketing for the show and recently have included trade magazines
outside of the main sectors of craft, jewellery and giftware. We don’t just place adverts in trade
publications - we also invest in inserts in the key publications as well as sending over 15,000+
invitations directly to buyers.
We understand that the weeks before a trade show are very busy, but as well as ensuring that
your products are ready, the stand assembled, and the stationery printed, you do need to take
time out to invite your buyers to BCTF.
A personal invitation from you can make all the difference.
Please order your buyer invitations, email your request giving us your full postal address trading
name and the amount of invitations you require ( No limit ).We recommend that you send these
out with a postcard/photograph or a compliment slip.
How to make contact with your buyers.
Ensure that your buyers visit by:
Sending an invitation to all the buyers you supply or have supplied in the last three years.
In the two weeks leading up to BCTF telephone your buyers to remind them about the fair and say
how good it would be to see them there.
If you are launching new ranges, make sure that they are aware.
How can you help to increase the number of buyers visiting BCTF.
By sending an invitation to all the galleries and shops in your locality whether you supply them or
not. Don’t rely on someone else to do it for you. The more invitations they receive the better.
