Schools’ Performance Event Agreement
with Tri-borough Music Hub and Partners
SCHOOL:
1. The Head Teacher of the school agrees to work with the Tri-borough Music Hub in
partnership for this event.
2. The school agrees that this event is part of curriculum-focused support, and that it is
deemed to be a school trip involving an informal sharing within an educational framework
and context.
3. The school will provide the Music Hub, no later than 30 calendar days before the date of
the event, with:
- The full name of every participating pupil
- The date of birth of every participating pupil (or age of pupil on the performance date)
- The borough of residence of participating pupils
4. The school agrees that they are responsible for all emergency contact details for each
participating pupil (including any medical issues or additional needs).
5. The school will provide suitable DBS-checked staff to supervise their pupils at the event.

Schools’ Performance Event Agreement
Music Hub Agreement
MUSIC HUB:
1. No payment will be made to the child or anyone else, on behalf of the child.
2. With at least 21 calendar days in advance of the first performance unless the LA has
agreed to a shorter notice period, the Music Hub will provide the Local Authority (LA)
with:
- details of each performance/rehearsal including the dates, times and location,
- the full name and date of birth (or age on performance) of each participating pupil
- the name and contact details of the lead person responsible for each performance
Any changes will be advised to the LA in advance.
3. A risk assessment will be carried out by the Music Hub in respect of each place of
performance.
4. A first aider will be present at each place of performance.
5. The Music Hub will ensure that an appropriate number of suitable adults will care for the
participating pupils, having specific regard to their sex and age, ensuring that each child
is supervised at all times.
6. The Music Hub will organise the schedule of the day as appropriate to the age of
participating pupils in accordance with legislation.
7. The Music Hub agrees to any authorised officer of the LA having unrestricted access
whilst any dress or technical rehearsal or performance is taking place at any venue that
the organisation uses for such purposes.
8. The Music Hub will provide their written Child Protection and Safeguarding Policy to the
LA.
9. The Music Hub will ensure signing in and out sheets are completed for each
performance.
