Version 3.4 Release Notes
In this release we have a couple of big items that we are excited to offer. We
have also clean up some areas of the software that customers have requested as
well as taken care of some bug fixes.
New Items:
Reservation-Less Class
Class Screen Schedule Tab
In this tab you can choose to use a facility reservation or to create the schedule
information right here in the schedule tab. To create a reservation-less class you
choose the No option on the field Use Facility Reservation. When you make
this selection a new table appears below. You may still assign a group to the
class via the drop down menu. These are the same groups that you have to
create facility reservations. You can also leave the group blank if you need. To
designate the days that the class takes place on, check the box in front of the
appropriate days. Clicking the plus button next to the table brings up a window to
enter the class location, date(s) and time(s).
You can choose one of your existing Buildings from the drop down menu. This
will list the building name only and not a specific room. Alternately you can use
the new Other Location field for your location if it is not already in your system.
Next you will need to enter at least one date. This date acts as the start date of
the class. If the class happens only once you do not need to enter an end date.
You do not have to enter time information. Any information that you do not enter
will drop of the class detail page in the web store.
Duplicate Manager
The Duplicate Manager has been added to the system for you to help keep your
data clean. The duplicate manager is found when you are at the person list.
What the duplicate manager does for you is allows you to merge two duplicate
accounts together.
To user the duplicate manager select the two persons to be merged. To select
the two persons, you click on the first person in the person list, then while holding
down the (Mac Users: Command Key, Windows User: Ctrl Key) click on the
second person. This will highlight the two persons you want to merge. You will
then click on the duplicate merge button in the top tool bar.
Once you click on the Merge Duplicates button a new window will open with the
information from each of the two selected persons displayed.
If the person is a sub account (participant/child) to another account, the main
account holder information will appear underneath the two persons you have
highlighted. If the person is a main account holder they will have the multiperson
icon. If you run your mouse over the multi-person account holder icon a
text box will pop up that shows you the sub accounts underneath the main
account as well as all of the phone numbers. If the person is a sub account they
will have the single person icon. If you run your mouse over the single person
account icon a text box will pop up that shows you the phone numbers attached
to that account.
You can merge the persons by double clicking on the address of the top person.
Once you have double clicked on the person account you would like to merge
into, you are then shown a summary of what the completed merge will look like.
This allows you to double check that this is how you want to merge the accounts
before completing the merge. You may then click the Back button to change
your merge choices or click the Complete Merge button to complete the merge.
You will have one more chance to confirm the merge by clicking the Ok button on
the final window.
Credit Card Refunds
Our last big item is the ability to initiate and complete a refund in one step from
the RegistrationWerks software. You can now issue full and partial refunds
within the RegistrationWerks system. This completes the refund by
communicating with the RevTrak store to execute the refund. This means that
both RevTrak and RegistrationWerks have full tracking of the refund.
To process a refund from RegistrationWerks you must first have a registration
selected. Once viewing the registration change the registration from Enrolled to
Cancelled on the drop-down list.
Next, you will be shown the cancellation screen.
In order to refund to a credit card you much choose Credit Card from the Credit
Type list. Once you have chosen Credit Card a new button will display allowing
you to process the credit card refund.
As a note, the Reference number field will be populated automatically upon
processing the refund. This is populated with the RevTrak refund reference
number.
Also new to the cancellation screen is a little calculator button. This button when
pressed will automatically calculate your refund amount based on the amount
paid for the class minus the cancellation fee.
Question Types
We have added two new question types. The Import List Validation question was
previously released but not announced and new to this release is Check All that Apply.
The Import List Validation question allows you to upload a student id list to your
RevTrak web store and then reference that list via a student id question. The
answer to the question is validated against the list for the id as well as the
student last name.
We have also a created a Check All that Apply question type.
The Check All that Apply question allows you to create a single question that has
multiple answers.
Permissions
You can now control permissions for users based on a per building level.
Instructional Boxes
There are now two additional locations for you to enter further information or
instructions for your customers. One is located on the Events page. The Events
page can be linked into the web store as another way to display your events and
classes. The other is located on the Usage Request page. You can now enter
information or instructions at the top of the page as well as right above the add
date button.
Reports
Based on customer feedback of their needs, we have created some new reports.
A couple of examples are:

Cleaning House/Bug Fixes
~ Default Setting on the class list filter is set to active.
~ Ability to Search on the Group Screen and Reservation screen with a group
name.
~ We have added the ability to use the search features with partial information in
the search field.
~ Student List Validation now displays the correct list name that the question is
verified against.
~ Classes set to not "Show on Web," no longer appear on the event page.
~ On the Courses screen under the classes tab, the location for the classes is
now being populated with the data.
~ Facility Schedule Report has been cleaned up to refresh when a change in the
purpose name has been made.
~ Current List Report has been corrected to report all of the current list and not
just the list that is displayed on the computer screen.
~ Revenue and Deposit Report now have the credits grouped in a separate area
at the bottom of each of report.
