........................................................................................................................................................................ 36 4 Manage Areas To access the manage areas screen go to Lettings/Property/Manage Areas In the Manage Areas screen you are able to add a new area. This is done simply by typing in your new area and clicking on the add button. This will now show in the list as available. At this stage with no resources linked to the area it can be deleted if required. Once an area has been used and linked to another resource in the system the ability to delete will be lost, however you will be able to edit the area by clicking on the edit button. 5 Create a New Applicant Details Tab To create a new applicant got to Marketing/Applicants/Create New Applicant Card When contact is made with a new applicant you need to get their details on record as soon as possible. This is so that they can become subject to automatic notifications as soon as possible. In Person Details populate as much of the criteria as possible and minimum of Surname as this field is mandatory. Management Details Enter the Negotiators‘ name from the drop down menu, select source and status. Applicant Personal Details Enter all personal details as these will be used in the auto notification process Auto notification on the applicant begins from the day you enter them onto the system for 60 days. This period is set by default but you can request a shorter or longer period. Select what method of notification you want. Text Requires Number entered, sent daily Email requires Email address entered, sent weekly Post requires Postal address entered, sent weekly 6 Confidential Notes Finally enter any notes that you need to be aware of. These notes are confidential and will only be available to staff members Property Criteria Tab In the property criteria tab it is best to think ‗Less is more‘. Any criteria set against the tenant here will be used in the matching process and if the criteria you set on the applicant is not listed on any of your properties then you will not get any matches. Matching Criteria In the matching criteria you must set a rent range for the applicant as these fields are mandatory. Number of beds, Room in Property, Tenant Type and latest move in date can be left blank if you want to find all properties that match the applicant. Keywords If the applicant is looking for a particularly unusual facility that would not normally be listed in facilities then enter it in the keywords box. If a property comes on your books and holds an unusual facility then you can use the selection - Marketing>Lettings Tools>Applicants Matching Keywords enter a keyword and search. Essential Matching Criteria In the matching areas section it is probably best to leave all areas ticked as this will give the applicant sight of all properties in all areas that match their criteria. Even though they may initially be looking in one area they may find something they like in another area. 7 For the facilities section, this is also best if you can leave all facilities un-ticked. Just one selection could mean that your applicant does not match any properties, likewise with the Special Requirements selections. Matching Property Tab Properties Matching Criteria Selection of the Matching Properties Tab will show all the properties that have matched the Applicant according to the criteria set on the previous tabs. If the applicant has been on the system for some time then you can use the tick boxes at the top of the screen to either show or eliminate properties that they have seen before and future viewings that are already booked. Then leave the unseen showing. 8 Unsuitability Feedback If an applicant has informed you that a particular property is unsuitable then you should click on the unsuitable button to remove it from this list but not the list that will be sent out. The system will ask for feedback to be entered onto the system and this will go back to the landlords report so that they are aware of any improvements they may need to make on the property. If you were to tick the unsuitable box at the top of the screen then you will bring back any properties that have already been marked as unsuitable to the list showing a feedback button that when clicked will show the feedback of why it was marked unsuitable to begin with. Send Details Tab Print matching Property List At the top of the send details tab the first option is to print a list. If the applicant is with you in the office then you can print them a list of matching properties immediately rather than sending it. Send Details by Text The second option is to send details by text. The applicant will receive a text message stating how many properties match their criteria. Send List of Matching Properties by Post The third option is to send a list by post. This method uses the applicants address that is entered into the personal details on screen 1 9 Send List of Matching Properties by Email The fourth option is to send by email, this is the email address entered on the applicants personal details. The above send details are activated by clicking the relevant Go button, any subsequent lists will be sent by the applicants‘ preferred method of notification. Notes Tab Add a General Note In the notes tab enter anything that you find relevant. These notes are utilised elsewhere in the software. Referencing Tab Referencing Notes and Documents Any referencing Notes that you need to add to the applicant and any referencing documentation that you want to save on the system can be added here. Maximum file upload 1MB Allowable file extensions: *.doc *.docx *.xls *.xlsx *.csv *.txt *.pdf *.gif *.png *.jpg *.jpeg *.bmp 10 Add a Property To add a property on the system Property/Properties/Add a Property go to the lettings section and go to Property Details Location When entering the property address you must select an area as the system will not allow you to continue the next screen. The number of the property is entered into a field of it‘s own as this is an unsearchable field. When you search for a property on the system you cannot search by property number Extra Details The extra details box that is available is primarily used for Northern Ireland agents as this information is required elsewhere for them. However there is no reason why you cannot utilise this for holding information available 11 Property Type and Description From the drop down menu select the property type and enter a description in the box provided. This description will be used on all marketing and portal uploads. Directions Add directions top the property as required 3rd Party Software rd The section for 3 Party Software is for agents that are also selling properties and are using the Dezrez Sales Software. This will be populated when a landlord is imported from Dezrez software. Once you have completed this screen click on the next action button to progress 12 Adding Rooms to a Property In the Rooms screen enter the name of the room and click Add. You will now need to select the edit button to enter the details of the room. Enter a description taking in any special features that the room may have, from the drop down menu select the floor that the room is located on and finally add the room dimensions. The dimensions can be added entered in both imperial and metric, this should be denoted by using the drop down menu. When you have all dimensions added click on the Assign button and whichever way you have entered the dimensions they will be converted to show both imperial and metric, click ok to finish. Continue with this process until you have edited all rooms. When saved, the rooms will list in alphabetical order. If you require your rooms to appear in a ‗walk through‘ order on the brochure, when you are naming rooms you must precede each room name with a letter of the alphabet. E.G. - A. Hallway – B. Lounge etc. 13 Upload Photos Branch Staff Information In the Branch staff information enter the location of your saved photos. As the heading implies this is information only. Upload Photo To upload a photo, fill in the naming criteria the drop down boxes provided. Example; Name: Exterior (External shot of the property) Photo Type: Photo Room: Whole Property Photo (List of rooms entered on the property. Always match this to the name) Click on the Browse button to locate the required photo then click the upload button. Continue until you have all your photos for that property uploaded to the system. 14 Property Photos In the photo section you will notice that there is a remove button and blue arrows under each picture. Obviously the Remove button will delete the selected photo from the system. The blue arrows, dependant on which is selected, will move the order priority of the photos. This allows you the choice of selecting which photo is used primarily as you main marketing photo. Click on the next action button to progress Utilities Gas The system will, by default, tick that the property does have gas. If this is not the case then you must remember to un-tick this option. If the tick box remains ticked then the system will put the property in the report called Gas at Property. This means that you have said that the property has gas but as yet a Safety Certificate has not yet been raised on the system. 15 Water If the property has a water meter then tick the box in the water utility details. This will make sure that there is a field in the meter readings section of the software to enter water readings. Enter meter and stop tap information. Electricity The electric meter is also ticked by default. Enter details of location and any other information you may feel relevant. If the property has two meters, (e.g. Low and High rate meters) enter the details of the second meter. If the property is a multiple occupancy property then enter the number of meters accordingly. Click on the next action button to progress Confidential Notes Enter all notes that you only want staff members to see. The information entered on this screen will not be used anywhere else on the system 16 Add Facilities Add what facilities the property has i.e. Double Garage. Use the drop down menu to select the facility, add any comments i.e. Double Garage. Click add. Continue with all facilities. All facilities for the property will now be listed on the system. Click on the finish action button to complete the process. 17 Create a Landlord To create a landlord, go to: - Home/Lettings/Landlords/Create a Landlord Landlord Details Default Branch and Service Type For single branch users your branch will be entered by default. For multi branch users select your branch. From the drop down menu select the service type for the landlord. Contact Details On the landlord contact details enter: Name Email All available Phone numbers. If the landlord does not want numbers to be shown on the tenancy agreement then tick the relevant box to mark as private. Tick the email letters box if the preference of communication is by email. The opt out of general market tick box will show on the all Active Landlords list and All People list that they do not want any general marketing sent to them Enter confidential required 18 notes as Deposit Registration Enter Deposit scheme registration details when available. Use the Historic TDS ID if the landlord is already registered as if he or any tenancy has a existing ID by uploading to TDS a second time will generate Tem another ID If the landlord has agreed to leave a float with you to pay for minor invoices up to a certain amount enter the amount he has agreed on here. If you are holding a company agreed amount then leave the box blank, select use company settings and the system will know what that amount is. Non Resident Landlord Tax Status Landlord not subject to overseas tax then do not enter any information Landlord subject to NRL tax but has no exemption number. The system will deduct tax from all transactions and provide you the facility to pay the taxman. Landlord Subject to NRL tax but has an exemption number 19 Contacts list Note that a Permanent address is a mandatory requirement. Select from the drop down list the type of contact you want to add, click on add. Fill in the contact details set the valid from date this could be the date the landlord moved in the property or the date that you have taken them on as a client. Permanent Address Check the details you have entered, edit if required, then click ok on the action buttons then next 20 Bank details Landlord Bank Details Complete the landlords bank details so that you will be able to pay them by online banking. Landlords with a building society account The roll/building society number is entered into the Historic BACS field in landlord details and a normal bank account number in the account number. This is a bank account where all building society customers pay their money to, then the building society will move the transaction on to the correct building society account based on the Roll number in the Historic BACS field. The bank account number should be provided by the building society via the landlords. BICS code The Bank Identifier Code or BIC identifies the payment beneficiary‘s bank — the bank that will receive the funds transfer. A BIC can be combined with the details provided by the IBAN to provide automated international funds transfers. Example BICS Number 87654321 IBAN Number The International Bank Account Number or IBAN is a bank account number designed to simplify and speed cross border transfers. Every bank account in a participating EU/EEA country has an associated BIC + IBAN, which is clearly identified and printed on all bank account statements issued after July 2003. Example IBAN Number GB29NWBK60161331926819 21 PROPERTY OWNERSHIP Property ownership will list all properties that the landlord owns Management Fees Set Default Management Fee In the default fee box type in the percentage you are charging the landlord and select the date that it is valid from then click the add button. Default fee will now be shown. If your fees are going up in the future then you need to enter that information also. This future new fee will be charged when the date set is reached 22 Management Fee history Click on the finish action button to save the landlords details on the system Two Individuals on One Landlord Record In the situation where: A husband and wife jointly own a property They only require one invoice They are not subject to NRL It may be easier in this case to keep both their names on one landlord record. This means that when you are adding a husband and wife as landlord enter both names in the surname field e.g. Mr and Mrs Smith. This will mean that the invoice is addressed to both (for tax reasons) but they only receive one invoice/statement and the payment is made into one bank account. Referencing Notes and Documentation Referencing is not available in Create a Landlord, but if you have carried out any referencing on a landlord using reference an Individual then all notes and documents and documents can be uploaded or viewed here 23 Set up Property Owner Go To: - Lettings – Landlords – Set up Property Owners Search for the property to link to a landlord Set Up new Owner(s) The set up new owners screen will allow you to set the date owned from. If more than one person owning the property you can set whether they have equal shares or if they have a different percentage ownership. Click the add button to continue 24 Create a Landlord Instruction Go To Lettings/Instructions and Tenancies/Create a Landlord Instruction Search for the property you wish to create an instruction on. Select the area, Address, Key Bunch number or Property Ref. once you have entered your criteria click on search to bring up a list of properties. Select the property you want and click ok Using the next screen click on Modify Landlord Instruction Term Details In the term details set Date Length of tenancy Term type Furnishing details Number of bedrooms Single room Student let 25 Payment Details Set the Advertised Rent Minimum rent that the landlord will accept. Rent collection periodicity Bond/Deposit amount Advance Payment The advance payment of rent is for Let only. This will be an amount that the landlord has asked you to collect on signing the tenancy. Acceptable Tenants By ticking as many acceptable tenant types as possible, the matching process will have a greater choice of tenants. Access and Joint Instruction Enter any access arrangements. E.g. Keys with another agent/ Contact Landlord Access numbers relating to arrangement details. This will be used when arranging access on a new property. 26 Utilities Utility Responsibility Using the drop down menus set the responsibilities for the utilities. Tenancy Specific Suppliers If suppliers are already linked to the area that the property located they will be automatically inserted. To add or change a utility supplier in the instruction click the add button Select Type of supplier to add or change and click search. 27 Tick the box next to the supplier and click ok. The supplier is now added. Utility Suppliers Used As you add each utility company they will show in Utility Suppliers Used Council Tax/Rates The Council Tax/Rates box is for information only Special conditions Add Condition Type in the condition and click the Add button 28 Tenancy Conditions Tenancy conditions are now added to the Instruction Add Special Requirements Select any special requirements from the drop down list and click on the add button Tenancy Special Requirements Special Requirements are now added to the Instruction Management Fees Set Property Specific Fee Type in a new fee for this property, It will not affect any other properties owned by the landlord which are set to the default fee. 29 Reset Property Fee If you require to revert back to the landlords default fee there will now be an option to reset. Tenancy Service Type Service Type The service type will be populated by the Landlords service type which was entered when the landlord was entered onto the system. Other Landlord Charges These are charges which have been agreed by the agent and the landlord Interim Inspections Set the periodicity of the interim inspection. With the timings set here, once the agreement is signed, the system will start counting for the first interim. A reminder will be generated to the InTray 7 days before the inspection is due. 30 Tenancy Specific Auto Charges Auto charges are set up in the service type. However, if you have offered a discount and you need to change the charge, you can set the new charge and add it. This will cancel out the existing charge On clicking finish, a copy of the Instruction will be sent to the Postbag for authorising Go back to modify Instruction and Tenancy and click on Advertise instruction At the point of clicking on Advertise Instruction any matches of properties to Applicants are actioned, texts are sent and any emails, letters will be waiting in the postbag for authorisation, and all properties are uploaded to the web portals. Points to Note: (1)If a previous tenancy already existed on this property, the details of the Landlord Instruction from that tenancy are automatically copied into this Landlord Instruction. Any of these details may be changed for this tenancy. (2)You may only have one pre-Signed Instruction on a particular property at any one time. If you attempt to create a new Instruction on a property with an existing Instruction or Tenancy in one of these phases, you will be prevented from doing so. 31 Create a Tenancy from an Instruction Go To: Lettings/Instructions and Tenancies/Modify Instruction/Tenancy Search for the property you want by the usual search methods and click ok and then click on Let Agreed to raise the agreement Set Tenancy Start, Fixed and End Dates Select a Start Date for the tenancy using the Calendar icon and selecting a date. A property cannot have tenancies with overlapping date ranges. Note: The tenancy start date must be one day (or more) after the last tenancy end date. Select a Fixed Date for the tenancy by using the (Calendar) icon and selecting a date. The fixed date is the last day of the minimum term Neither the tenant nor the Landlord can end the tenancy before the fixed date unless they both mutually agree to do this. See the End Tenancy option on a Signed Tenancy. The Start Date and Fixed date must be completed. End Date You should only select an end date if you definitely want the tenancy to end on this date. This date also needs to be the same as or later than the fixed date. Select an end date by clicking the (Calendar) icon and selecting a date. With an end date selected a Section 21 Notice (notice of tenancy end) will be generated 10 weeks before the end date and placed in the Postbag. If no end date is specified then once the fixed date has elapsed the tenancy becomes a Statutory Periodic Tenancy. Click the ok to save changes. 32 Add or Remove Tenants to Agreement This step is going to allow you to add or remove tenants from the tenancy before it is signed. Each tenant record includes the tenant‘s details such as name, contact details, date of birth, payment address, bank details and whether to email letters. Any number of individual tenant records may be added to the tenancy but their total Percentage Rent Paid per Period must always equal 100. A separate tenant record must be created for every tenancy. If a tenant stays on at a property for a second tenancy then this tenant record must be re-created for the second tenancy (they will also have a new Bond Account and Main Account associated with them). Therefore to uniquely identify each tenant the combination of name, property, and the tenancy start and end date is required. Tenant details may be edited but not added or removed once the tenancy is in the Signed phase. Adding Tenants to agreement Add Tenant Click on the appropriate button for your tenant (in the example below From Applicant has been used) and click next Select your search criteria to find your applicant then tick the box next to the name. click next Details of the tenant will be displayed; you may add notes at this stage. Check to confirm then click next 33 In the contacts list there are no mandatory contacts, however you may add the recommended. If you do add an address select the appropriate one from the drop down list and click add and then next. (Prior to tenant leaving the property, make sure that you do add a post Tenancy address, so that closing inspection reports and utility Letters are forwarded on). If you have not added any addresses at this point just click next Enter the Tenants Bank details and click finish. If you start to populate the Bank details then you should be aware that the postcode field becomes mandatory. You may at this stage continue to add more tenants if not click finish Referencing At this point if not having referenced the tenant before you can carry out referencing. Payment Schedule If you need to set the payment schedule then click on step 4. From here you can delete or edit the existing schedule. If you choose to delete then you can set up a new schedule by clicking on the add button and entering the new details. When done click OK Example If you have negotiated on the rent the payment schedule must be changed. 34 Payments by standing order The Standing order mandate form payment date can be set by LetMC to be called early if required. This is used by some Letting Agents so that the tenant‘s payment reaches the Letting Agent‘s bank account on the day that the rent is due (rather than 3 days later). It‘s set as standard to 0. Only System Administrator level can access this, call LetMC if you want this changed. Note that once it is changed it will change all Standing Order mandates including ones re-printed for previously signed tenancies. Print or Post Tenancy Agreement The ‗Print Now‘ button prints a tenancy agreement and supporting documents (sometimes known as ‗office copy‘) without the need to select individual tenants. Post Tenancy Agreement When selecting this option you will need to set up, what you are sending and to who. Use the tick boxes to set Cover Letter, Check List and Payment Form then tick the recipients. Click on either Print Now or Send to Postbag. The letters will now go to the postbag to be authorised. Email Tenancy Agreement If your option was email then on clicking the Send to Postbag button these will go to the Letters to Authorise section. If a tenant/landlord does not have an email address and the selected method of sending is email, the Tenancy Agreement is still sent to the Post Bag, but it is marked to be sent by post (not email). When a tenancy is at the Signed, Closed or Ended stage, it is only possible to print the Tenancy Agreement (it cannot be sent to the Post Bag for posting by email or post). Renewal tenancies follow the same process as new Let Agreed tenancies and the options available in Step 4: Print or Post Tenancy Agreement are the same as those provided for Let Agreed tenancies. The difference is that the Cover Letter includes different narrative to make clear that the tenancy is a renewal. Supporting Documents to Send with the Tenancy Agreement. Supporting documents to accompany the tenancy agreement are chosen by tickbox. The documents are:Cover Letter Office Check List – used within the Letting Agents office to record progress through the referencing procedure etc Payment Form - standing order mandate or direct debit mandate for rent amount allocated in the payment schedule Homelet Form - Homelet home contents insurance (only available if activated by LetMC) Note: When the tenancy is at the stage before signing it is known as ―Let Agreed‖ even at this stage the property can still be advertised and when it is uploaded to the property portals ―Let Agreed‖ will be added to the property photo. To facilitate this an ―Advertise Let Agreed‖ tick 35 box is available in Modify a Branch. By default this box is un-ticked. This can be amended by Administrators. If you need assistance on this call LetMC Client Support. Sign Tenancy When the tenant and landlord are satisfied with the proposed tenancy then the tenancy is signed. Any auto charges assigned to the tenancy are charged at this stage. A reminder of when the tenancy is starting will appear in the In Tray one week prior to the start date. Once the tenancy is in the Signed phase it is not possible to cancel the tenancy or to change any of the details. The Agreement can be printed in the signed stage but will not be sent to the postbag. It is possible to add the name and address for the head tenant to the tenancy agreement. This requires an amendment to the print job which can be done by making a request to LetMC Client Support. 36 NOTES 37 © LetMC Training 38
