1. INTRODUCTION
This application is a tool that will give the balanced scorecard reporting a structured frame. It is used
to give a structured and user-friendly interface that promotes usage of scorecards at different levels in
the organization.
1.1 Purpose of the manual
This manual will be a guidance through the most common questions that are raised while working
with this scorecard application. You can find the answers to these questions in this manual and in the
help function in the application.
In this manual all users can find important information. After the introduction part each user can find
information about the tasks they can perform. The order in which the information is presented is as
follows; read, input, structure and user admin.
Users with privileges to the read-menu can read selected values, input users can select measures in the
input-menu and edit them, structure users have the right to create new measurements and structures
but also edit and change existing measures, and user admin users can edit and change the users
privileges.

2 GETTING STARTED
When starting up you will use the menu in the left frame to navigate through the application. There
are two list-boxes at the top where you can select what report perod you wish to work with and what
structure you would like to see. When you have selected values in the two select-lists a navigation tree
is displayed underneath. You can navigate through the application by using this list or by clicking on
the images.
The period select-list
All months are displayed as a select-list. When
you select a month by clicking on it all values in
the main frame are changed to show that specific
month. By default, the select-list shows the latest
value.
This list looks differently depending on the
user-right of the logged on user. The
scorecard is divided into four different
categories, Read, Input, Structure and User
Admin.
The measurements select-list
If you are allowed to see a measurement but not
the main-perspectives, the name of the mainperspective will be displayed in the select-list with
a star after the name.
This means that you can not see the actual mainperspective but only the measurement
underneath that doesn’t have a star beside its
name.
2.3 The Navigation tree
This tree will look differently depending on what you have selected in the select-lists above. The
navigation tree holds two different types of marks, one diamond-shaped and one right-arrowshaped . The arrow-shaped marks are expandable, this means that there is a lower level underneath
the value displayed.
If you click on the arrow-shaped marks they expand so that you can view the measurements on next
level in the tree. See the example for End-User and Brand Awareness, above on the left.
If you click on the text beside the arrow you will see all the gauges for the next level. This means that
if you click on End-User, in the example above, you will see the gauges for Brand Awareness and
End-User satisfaction.
When you click on the text beside the diamond-shaped marker, that measurement will be displayed in
the main frame together with all information about the measurement.
When you click on "Top of structure" you will see the gauges for the highest level of the
measurements. For example if you have selected "Demo version" in the measurement select-list, you
will see all measurements that lies directly under "Demo version". For example, it would show the
financial and organizational theme.
You chose between navigating through the tree, or clicking on the gauges to go down in the structure.
If you have selected "Read" on a measurement in the measurement select-list, there will be five
selections on the lower part of the navigation tree. These selections are On track, Off track, Warning,
On target, and Excellent. When you click on either of these, all the gauges with that actual value, and
that you are allowed to see, will be displayed.
3 READ
To select a value under the "Read"-menu, you need to have the proper privileges. Only the
measurements that the user is allowed to see are displayed to the user.
To see a measurement, click on the text in the navigation tree or click on the measurement-gauge in
the main frame. The measurements have different text properties: gauges, comments, correctives,
purpose, scope, Mission, Vision, Unit Objectives and Graphs.
3.1 Gauges
A gauge shows how a measurement is
doing. There are five different values
on the gauge.
The indicator-arrow changes color for
different values of the gauge. For example,
if a measurement is on "Warning" or "Off
track" the indicator arrow is red and if the
measurement is "On target" or "Excellent"
the indicator-arrow is green.
Below the indicator you can see what
measurement this gauge is displaying and
when it last was approved.
Comments
Here is room for Sponsor comments to measurement outcome for the
given time period.
Correctives
The actions that are stated in order to get a measure back on track.
Purpose
States the purpose of the measure in the scorecard.
Scope
The scope property holds a short description of the scope and gives the
name of the sponsor of this measurement. It also contains a mail link to the
sponsor of the measurement and the champion of the measurement.
Mission
Unit Mission is stated.
Vision
Unit Vision is stated.
Unit Objectives
Unit Objectives for the coming period is stated.
3.2 Graphs
All measurements have a
graph. What the graphs will
look like depends on how they
are defined when the structure
is created.
There are a lot of different graphtypes and the creator of the
measurement may select different
numeric values that should be
presented in the graph.
The time span may differ. The
example to the left shows a point
diagram created by week. This
presents the last eight weeks until
this day.
The graph has two numeric values: the actual and targeted number of filed patents the years 1996,
1997, 1998 and 1999 are represented in the graph. The unit of the graph is %.
4 INPUT
If the user has got input-permissions it is possible for the user to select a measurement under
"INPUT", in the same way as under "READ".
To edit a measurement, click on the text in the navigation tree or click on the measurement-gauge in
the main frame. The measurements have different properties: gauges, comments, correctives, purpose,
scope, Mission, Vision, Unit Objectives and Graphs.
4.1 Gauge
The gauges are edited by selecting one of the
different values 1-5, by clicking with the
mouse on one of the circles, changing the date
and click on save. 1 is "Off track" and 5 is
"Excellent".
You can change the Month by clicking on the
downward arrow and select a month. Day and year
have to be changed by printing the value in the
textboxes.
If there is an approved value before, there will be a
warning that the value is approved and can not be
changed. The only thing you can do then is to add

When you change or add a Gauge, do not forget to press "Save". Otherwise the changes you have
made will not be updated.
4.2 Text properties
When you edit a measurement, input-boxes for all text properties that exist for that measurement, with
the latest value are displayed. The text properties that are referred to here are comments, purpose,
mission, vision and unit objectives. If the latest value has been approved it can not be deleted or
changed. If it has not yet been approved there will be a delete-button on the input-box so that it is
possible to delete the comment. For every text item you change you have to press the "Save"-button.
You can not change more than one text item before you press "Save"!
When you write any of the text properties mentioned above, for example a comment, you change the
text in the input-box. If you have written a lot of text, there will be a scrollbar on the right side of the
input-field so that you can scroll your text. The text will be presented to the readers in a formatted
way, the only thing you have to think about is writing the text.
After you have added new text or changed the text you should select a date. By default today’s date is
displayed in the input-box.
Do not forget to press "Save" when you have made a change!
4.3 Scope
The scope item consists of four different
values: Data, Champion, Sponsor and
Sponsor-mail.
In the text item "Data", the text about the
Scope should be inserted. In the text item
"Champion", the Champion of the
measurement should be inserted. In the
text item "Sponsor", the sponsor of the
measurement should be inserted and in
the text item "Sponsor mail" the mailaddress of the sponsor should be inserted.
4.4 Graphs
If a graph is defined for the measurement a graph-input-box will be displayed. What this definition
looks like depends on how the graph is defined when the measurement is created.
Add a value to the graph
If you wish to add a value on any of the variables, just chose the variable you want to add, for
example Ericsson, what date this variable should have and the value itself. Don’t forget to press the
OK-button when you have registered a value.
If you want to delete a value from the graph you chose the value in the select-list. In the select-list all
the values that you have added to the graph are displayed. When you have chosen the value you delete
it with the delete-button.
4.5 Approve
If you have the user-rights to approve a value or a tree, this input-box will appear. It is possible to
approve a single measurement or the whole tree of measurement (when you approve a whole tree all
users get a mail sent to inform that a change has been made) or a branch of the measurement tree.
Select a date from when you want to approve and press the OK-button.
5 STRUCTURE
If you approve a measurement that is
main perspective to some other
measurements, i.e. has measurements
underneath itself in the measurement-tree,
all measurements underneath will also be
approved.
If the user has the rights to use the "Structure"-functions, it implicates that the user will be able to
create new measurements and new structures. Here you can also edit measurements, add or delete an
under-group to a measurement and change the way the readers will view the measure. A structure
consists of a tree of measurements. When you select a structure in the select-list, a navigation tree for
the selected structure will be displayed. This will look the same as when you read or make input
values for the structure.
New structures are added by selecting "Add new structure" from the select menu under the headline
"Structure". If you want to create a new template you first name the whole structure, for example
Demo version. Then you add the measures you want. When the structure is done you finish by
inserting values under Input. To add a structure to an existing structure, select the measurement where
you want to have a new structure as main-perspective to the new measurement. Measurements are the
key to structures.
5.1 Add a new measurement
When you add a new measurement to the
structure, select the main-perspective that
the new measurement should have in the
structure-tree. The text that you can see
here to the left will show up in the main
frame.
In this case we have selected the
measurement "Demo version". This
measurement has got a number of
children: Direct customer, Employee,
End-User, etc. The measurement has
two text-items: Mission and Vision.

main-perspective or you can select "Add new

You have to select a template. Depending on
what you select in the template select-list,
different items are displayed and the way the
items are displayed differs. It is important to
know that to be able to make graphs you have
to chose the right template, which is

Text on left, right and underneath is what it
seams to be the items are displayed to the
reader on the left, right and underneath the
gauges. If you select any of these the text
items: Mission, Vision and Unit objectives
will be displayed.
Measurement ONE means that the reader will see the text-items: comments, purpose and scope.
Measurement TWO means that the reader will see the text-items: comments, correctives, purpose and
scope.
Press the "Save"-button for the measurement, to save the measurement before you carry on with the
other input-items.
If you want to add a new group, press the "New"-button in the group measurement/perspectives view,
remember to press the "Save"-button for the measurement before you try to add a group. Under Textitems you can add what kind of text-items the measurement will have. Select an item and press the
"Add" button. The text items are Mission, Vision, Unit objectives, Comments, Correctives, Purpose
and Scope. Under Numeric properties you create numeric property-labels for the graphs. For example,
Name: Ericsson Unit: %, Name: Nokia Unit: %.
Under Charts you can add a new chart. You print in the name of the chart and press "New". To
choose the type of chart you want you click on the graph you just created. There are a lot of graphs
to chose from, try different one by choosing one and then see how it looks under Input.
