EO Job Description Contract Officer EO Grade Location Nottingham Reporting to Laura Bellamy Directorate Finance and Corporate Services Role Purpose Assist in the management of the Total Facilities Management (TFM) contractor and their subcontractors in accordance with strategic and day to day requirements of the DVSA estate to ensure compliance with contractual obligations under the terms of the New Engineering Contract (NEC3) contract. Main Duties Activities may include Initial point of contact for general enquires/complaints from operational and administrative colleagues submitted by email and telephone on matters of contractual compliance and service delivery. Liaise with Contractor, Estates, H and S team and Operational colleagues to address issues raised. Prepare and undertake site visits to ensure contract/health and safety compliance by the TFM contractor. Write up compliance reports, identify any issues arising and take appropriate action. Carry out face to face customer satisfaction surveys. Draft Service Manager Instructions to add or remove services at sites. Draft Early Warning Notices to notify the contractor of future events. Monitor the receipt of quotations provided by the Contractor for service additions and deletions and chase overdue quotations when required. Draft Defect Notices when services are not delivered and obtain and action quotations from alternative providers. Liaise with the TFM contractor to obtain outstanding assessments across the 12 statutory disciplines reported on. Monitor the Health and Safety Statutory Tracker to ensure information held is accurate. Update the tracker with details of remedial works programmed and undertaken. Reconcile the contractor’s SAMs monthly costs against DVSA management information. Raise annual limit orders on SAP to cover the contractor’s monthly application for payment and goods receipt on a monthly basis.
