Guidelines for Team Captains and Managers
Thank you for taking on the responsibility of team captain or manager for your team. We appreciate
your time and commitment to the job.
Below are some guidelines we need you to follow when accessing the Tai Tapu Tennis Club pavilion
and court area. These guidelines are in response to the new Health and Safety at Work Act 2015 and
our legal responsibility.



Please make yourself familiar with the Health and Safety Policy (attached and a copy will be
displayed in the clubrooms)
You are required under this policy to complete an Accident and Incident form (appendix 3) in
the event of anyone being injured or a near miss, while you are here at the Club. These are
found in the blue flip file or on the notice board. If you are in doubt, please fill the form in
anyway and we will follow up with you should we need any clarification.
We need any members to also complete a Hazard Notification form (appendix 4) should you
notice anything that is hazardous or potentially hazardous. As a committee we will be
looking at these forms regularly and responding to any issues raised.
Key access to the Pavilion:
Now that we have this wonderful facility we are very conscious that members wish to access the
pavilion when they are playing at the courts, however as you can imagine the number of users is
quite large and varied. As a committee we have decided to implement the following arrangements
and we will revisit these in a few months to see if we need to make any amendments.



A lock box has been screwed to the wall - this will contain a key to access the pavilion. Please
spin the numbers after you have returned the key to the lockbox so that the code is not left
in the open position.
Team captains/managers will be emailed a code to access this and we would ask that you do
not share this code with others. The code will be changed periodically and the new code
shared with Captains/Managers.
Team Captains are responsible for the following:
1. Returning all items moved in the pavilion or outside to their original location
inside
2. Ensuring the kitchen is left tidy with all dishes etc returned clean to the
cupboards
3. Ensuring the toilet area is left clean and tidy – cleaning products are kept
under the kitchen sink
4. The last person to leave must check that all lights are turned off, bathroom
and storage doors are closed and that all exterior doors are locked when you
leave.
5. Report any breakages to either Nicola Catchpole or Belinda Edmond
6. If you unlock the pavilion, then you are responsible for ensuring the pavilion
is relocked.
