Held on Monday, Aug. 31 2015 At Monica’s House The Meeting was called to order by the President, Annette Mohr at 6:40 P.M. Treasurer’s report: Jody reported that as of Aug. 31, 2015 the balance in the checking account equaled $9,913.78 and the market value of the Vanguard account equals $46,795.94 (Book value = $45,206.22). Host Farm Insurance Certificates: Denise reported that she will follow up with Gardnertown and Black Ridge for their insurance certificates. Scholarship Committee: Denise reported that thank you letters were received from Abby Hastings and Kimberly Pokstis. Endowments: Jody reported that the FWPHA awarded a grant to Diane Hatt of $2,500.00 to assist her during her illness. Denise mentioned the need for everyone to think about assigning a Health Care Proxy and having an Advance Directive and Power of Attorney in place. Horse Show Dates for 2015-2016 Season: Jody has cancelled her horse show date of Saturday June 25, 2015 and has replaced it with Sunday Apr. 10, 2015, in order not to conflict with the Crystal Water HS on Sunday June 26, 2015. Host Farms: Denise mentioned that Host Farm dues, (as well as all membership dues) are now payable for the 2015 – 2016 season. Jody reported that Top of the Line has expressed an interest in joining the WHVPHA as a Host farm. National PHA Finals Horse Show: Jody reported that we are authorized to invite 5 riders per division to attend the National PHA HS. She will post the entry blank online and update the candidates, which she will also post online. Horse Show Committee: The Horse Show Committee will discuss planning its yearly review of Host Farms. Host Farm Guidelines are posted on the website. Horsemanship Awards: Everyone is in favor of continuing the Horsemanship Awards. Recipients of these awards for the 2014 – 2015 will be acknowledged in the Banquet booklet. Denise will work on compiling the list. Banquet: Mary and Monica will start planning the banquet. WHVPHA Finals Horse Show: The Finals Horse Show Committee , a Sub-Committee of the Horse Show Committee, consists of: Trish Dencker, Bill Dencker, Gary Clark, Kristen Eagleston, Annette Mohr, and Jody Moraski, who will handle the ribbons. Denise read the recommendations for this year’s Finals Horse Show, from the Minutes of the meeting held on Oct. 6, 2014. They are, as follows: From 2014 The WHVPHA Horse Show Review: Next year all entries should be sent directly to Kristen Eagleston. Fees will remain the same: $25 for Warm-up Class and $50 for the Finals class. Annette emphasized the need to establish a committee to handle the Finals HS. The prizelist was not distributed and was not posted on FB or the website until a few days prior to the horseshow. This was a major issue. We need to get the prizelist done earlier. We will need 2 photographers. The competitors in the last class were not properly recognized with a victory gallop and music. This was a regrettable oversight. The Pleasure class was unmanageable at the canter. We need to split the canter phase. No changes should be made to the class lineup once it has been determined. We had decided to combine the Children’s and Adult Hunter, but at the last minute these classes were split. We had not planned for that many ribbons. Annette suggested that we open up the entries to all riders who competed in at least 2 shows, not just to the top ten. Everyone who wants to compete can send in their entries. From those applying, we will pick the top ten to show at the Finals. The show ran very late. Some suggestions to speed it along were: We need to start at 7:30 A.M. next year. At the end of the class, all competitors can line up in the ring for their ribbons and victory gallop. Then, they should move to the other ring for pictures. Warm-up should be limited to 5 minutes. Only one warm-up per rider will be allowed. Use of dotted line to start and dotted line to Finish. We will need more help cleaning up. 2015: Eligible riders: This horse show will be open to all riders, (Clarification as per Rules: Eligible riders must have shown in at least 2 shows). Thus, all riders can apply, however, the top 10 will be invited to compete. The Top Ten will be chosen according to their placing (i.e., according to points, not their standing). Ribbons: Ten ribbons will be awarded in each class. Class order: Jumpers (from high to low jumps); Childrens’ Divisions; Pleasure; Hunter (From Lower to Higher) Prizelist: Jody will post the prizelist online Entries are due: By Sep. 10, 2015 All points are Final by Sep. 10, 2015. Restricted Divisions: No one can cross enter from restricted divisions. Pleasure: There will be a 5 minute warm-up schooling period for Pleasure. Ponies will be split from horses at the canter only. Staff: Host Farm Representative: A motion was passed that will require that every host farm has a representative at the horse show on both days (for set-up, during the show and take-down). Saturday set up is from 2:00 – 6:00 P.M. A fine of $100 will be imposed for each day if a farm does not have a representative available. Mary will send an email to all host farms advising them of this motion. This is being held one week earlier than normally scheduled in order to allow us time to discuss final preparations for the WHVPHA Finals Horse Show. Adjournment: The meeting was adjourned at 8:26 P.
