Position Summary: The Executive Assistant & Governance Liaison will provide a full-range of
administrative and organizational support for the Chief Executive Officer. This position may
handle confidential and sensitive correspondence and requires exercising a high degree of
professionalism, discretion, tact, resourcefulness and initiative. This position deals with a
diverse group of high-level external contacts and visitors, as well as internal contacts at all
levels of the organization.
KEY RESPONSIBILITIES
EXECUTIVE ASSISTANT
SCHEDULING: Manage and maintain CEO’s schedule and calendar with sensitivity to priorities
and goals of the office. Proactively prepare CEO for upcoming meetings and engagements.
COMMUNICATIONS: Facilitate communication between the CEO and the Executive leadership
team. Provide exceptional stakeholder relations in all interactions, both externally and
internally. Draft correspondence and presentations for the CEO. Support donor stewardship
and stakeholder relations.
PROJECT MANAGEMENT & PRIORITIZATION: Organize and lead GSU all-team operational status
meetings (“Stand-Up Meetings”). Ensure the master planning tool is functional and integrated
into all staff work. Train staff to build capacity for centralized Project Management and
planning.
ADMINISTRATIVE SUPPORT: Conduct a variety of administrative tasks for the CEO including:
answering and responding to inquiries, completing expense reports, reviewing vendor invoices
and contracts, coordinating travel, maintaining the Council policy and operational
documentation, submitting GSUSA reporting, etc.
GOVERNANCE LIAISON WITH BOARD OF DIRECTORS AND COUNCIL DELEGATES
ADMINISTRATIVE SUPPORT FOR BOARD OF DIRECTORS: Coordinate Board and Board
Development Committee (“BDC”) meetings, including taking and preparing minutes. Ensure
resource materials are maintained and accessible. Adhere to compliance set in the bylaws
regarding board and committee matters.
OVERSEE COUNCIL & NATIONAL DELEGATES: Recruit and communicate with Delegates elected
for the annual meeting and the GSUSA triennial National Convention. Organize the Annual
Meeting.

Perform other duties as may be required by the CEO. Job duties are subject to change due to
the entrepreneurial culture of the organization and the transformation of Girl Scouts at a
national level.

QUALIFICATIONS:
• Minimum five years in an administrative position supporting C-Level executives,
preferably in a non-profit environment.
• Bachelor’s degree or equivalent experience.
• Excellent interpersonal skills and written communication skills.
• Strong organizational skills.
• Excellent project management skills.
• Proactive approaches to problem-solving with strong decision-making capability.
• Demonstrated ability to maintain utmost confidentiality.
• Computer proficient in Microsoft Office, databases, email, internet applications, and
internet research; demonstrate comfort in learning new technologies and software
programs.
• Willing to work as a full-time staff member, including occasional evenings and
weekends.
• Ability to sit at a workstation for up to 2 hours at a time.
• Ability to lift 20 – 30 pounds.
• Ability to view a computer screen for up to 2 hours at a time.
• Required to complete a criminal background check.
• Girl Scout knowledge and experience preferred.
• Ability to speak Spanish fluently is a plus!
