1. Call to Order
 Meeting called to order at 4:01 pm
2. Speakers Remarks- Ann-Majella McKelvie
 Just a reminder for those who are proxying please raise two hands during the votes. During
meetings please refrain from using your cell phones.
 Cabinet Retreat – if you haven’t filled out the survey please do so ASAP. Date November 20th after
our cabinet meeting. Keep up the good work guys.
3. Approval of Agenda
 Claire motions to approve the agenda, seconded by Jess R. Motion is unanimously passed.
4. Approval of Minutes

5. Presentations
 [Lindsay Morris: College Head] Thanks for having me! I apologize this is the first meeting I have
been able to make it to. Four points I want to touch on. First of all college council is up and going.
Advisory body for me and the college to discuss goals/ values etc. A lot of the updates are things
that are old news. New academic advisor has been hired - Starting in two weeks. College Life
Budget, Awards from the College Office. Finishing up a map right now. A lot of folks want to focus
on student engagement from programming and college space. How can a student engage with the
college and enhance those ways. Going to rely on Gytha to mention Cabinet events and make
students more involved. Charter committee – there was only one cabinet rep from all colleges
that was there. Subcommittee representation is an issue across all colleges. Lots of interesting
conversations about less punitive and more about making parties feel safe. Fundamental rights
and freedoms of students on campus. Lots of conversations about how to fairly insert cyber
bullying, cyber stalking into the Charter. Need to find the balance. Does Trent have the right to
intrude on that? This is a huge conversation at charter committee. Something new I am trying
this year is every Thursday I am in my office all day. If you need to find me that is the best time to
go. Usually in and out at meetings the rest of the week. Date will change next semester. Last point
- Cabinet Training. I thought it went well. Any comments positive or constructive you want to
share? Good to see upper year cabinet members running sessions, good to have multiple sessions
at a time. Suggestions for the next training session: Marketing Cabinet on a resume and a
different room since OC 203 is not great for everyone.

 [Festive College Weekend Co-Chairs] Jessica Collinson, Claire Sanders and Jessica Randall,
running for co-chairs for 2016. Our plan of action for the weekend. You guys will vote in closed
session if you want us to be co chairs if not it will fall to William and Marissa.
 Friday – Semi Formal Dinner – Sweater Competition. LEC Angels, LEC Celebrates Culture and the
Holidays
 Saturday – Sock Snowmen and Card Decorating (2-5PM drop in Style) with a movie. Dodgeball
7pm
 Sunday – Pancake breakfast 10AM, 2pm Gingerbread Decorating
 [East vs. West Organizers] Devon and Melissa, two of the co-chairs. The other two are Michael
and Dan. Biggest student run event on campus. Giant hockey game at the memorial centre. 1600
in attendance last year. The two teams are east and west bank. 20 players each. Proceeds from
the game go to a charity. Currently working to find a new charity that is local. Usually sports
related. If you have suggestions for a charity please email us and let us know. Last year we raised
$4000. This year our goal is to raise $4500. Going around to cabinets to ask for $500 each. Only
asking Traill for $300 as they are a little smaller and just getting started. Last year LEC had over
200 students. Player registration and coach application open this week. Nov 10 8AM Player
Registration. We have a copy of the budget you can look at. Any questions?

Prime Minister’s Report - Jessica Randall
 [TCSA AGM] October 18th. Super quick. Didn’t quite meet quorum so we had to wait 15 minutes.
Everything was approved. Bylaw 5 amendments were: board of directors changing 2 hour work
period to weekly check in. Bylaw 7 termination from office resignation procedure. Don’t need to
wait until a meeting to resign. Bylaw 9 – meetings. Changed emergency meeting time down to 40
hours from 60 hours. Special meeting/emergency meeting now need 5 directors. Bylaw 10
committees event committee has added grocery committee. Bylaw 11 policy missing the word
directors. Bylaw 13 elections adding timing for each activity. Operating resolutions/benefits
adding a voting member from Grad Students Association and Durham Association. Standing
committee on events changed the wording so it made more sense. Standing committee on
grocery assistance laid out when they will meet weekly, and who needs to be present. Any
questions about the wording email Brandon.
 [Food Services Meeting] October 19th – Dish pickup program. Bright Red bins to put your dirty
dishes in around campus. Discussed Gzowski College Annex Meal Plan changes. They are on
board meal system. Board meals carrying over each week. Discussing pre arranged lunches.
Board style, all you can eat. Discussed eco tray and lug a mug. Tim Hortons if you bring your own
mug its 10 cents off your order. November – if you use your own mug you get a snap lottery
ticket. Looking at prizes from colleges and bookstore. At The Planet if you bring your own mug
it’s a free fill-up for the rest of the day. Currently on an honor system. Someone mentioned eco
mug to go along with eco tray. Not sure if financially it will work but they are looking into it.
Campus projects had a contest for a student lead sustainability contest. Not sure too many
students applying to it but they will be bringing it back this year. Trent Market Garden is a
business here at Trent. Chartwells buys their produce. Chartwells wanted us to clarify there are
two gardens: a Donation Garden and a Business Garden. TCSA is running a healthy initiative
where no deep fryers are used tomorrow. Grilled chicken/side salad rather than fries. Got
numbers for September 2015 vs 2016 mug refills. Tim hortons refills are used often. Thai




express china use rather than take out going up. Thai express eco tray use is going up as well.
Concern with Thai express takeout container use. Issue with not asking about using eco tray or
china rather than take out container. Main point is that take out is the most popular method and
produces the most waste.
[Meeting with Lindsay] Two meetings with Lindsay. Oct 21 Co-chair applications have opened for
orientation week and will be closing Nov 17. Hoping to be done before Winter Break. Jan 27
tentative arrival date for the Ashley Fellow. Here until Friday before reading week. Here roughly
4 weeks. Working with sociology department. Lindsay is looking at planning Women in
Leadership luncheon to correspond with national women’s day in March. No concrete details yet
but it is in the planning process. #LECFall instagram photos up in the hallway. Lindsay is looking
at a project for the LEC quad. She wants to install a flag pole and create an LEC Flag that we raise
during orientation week. Champlain plants a new tree for each class at the beginning of the year
so Lindsay wants to do a flag. The Drum kit in the music room was broken. Don Brad researched
how to repair it. Update on the Magpie Kitchen. Need to reapprove since Barry left. Shouldn’t be
an issue. Nov 1st meeting – PRD has updated the kitchen budget and it will cost less. Brandon is
going to talk about the Colleges Survey later. Please fill it out.
[President’s Meeting] November 1st – Brandon is going to talk about the Friendship Bench
Launch tomorrow 2-4PM. Huge initiative. Please be there if you can. Healthy Living Week kicks
off tomorrow. Women’s Self Defence Training in December - Waitlisted. TCSA hoping to plan
some distress events during the exam period. Nov 17th Paint Nite collab with TVAN. Alaine spoke
to the talks she’s been in with the finance office. They haven’t received all levy fees from students
because billing changes to per semester rather than once a year. Brandon will touch on this later.
OC ratified positions on cabinet. Their environmental rep is planning a hike. Nov 29 Destress
event in OC Commons. Gzowski College is doing Operation Christmas Child. Collecting until
November 19th. We can’t do it because out constitution says we cannot plan events around
specific religions. Collecting until Nov 14. Fall College weekend November 18-20. Gzowski
looking at Nov 12 Standing in Solidarity event. Nov 2nd Day of Action. Champlain talked about
Earn your stripes, which has already happened. Nona discussed Open House. Nov 11
Remembrance Ceremony in the Great Hall. Nov 21 (tentative) for Additional Academic Advisor to
start. Nona discussed Sexual Violence Policy brought to Board of Governors in December. Any
feedback please let them know. Discussed security cameras and whether or not we want them on
Trent. Nona brought forward the idea of a carpool-parking pass. Discounted prices. Talked about
Summer Bridging Course in Retention Committee. High school students to prepare them for
university (2.5 Credits)
[December 4th Meeting and Secret Santa] Last Meeting of the Semester in the SCR. 4pm. Regular
Meeting, Potluck Style. Then Secret Santa. Does everyone want to participate? If you don’t want
to PLEASE email me tonight. I am going to use it on Elfster to generate pairs. Two nice things for
your person in the month of November. December 4th you bring a present wrapped day off. We
will supply the wrapping paper. Label who it is for on the paper. They will open the gift and guess
who gave it. I’ll send this out in an email. $20 for gift and $5 for two nice things. Will generate the
Elfster tomorrow. Sign up in the office.
[West Bank Leaders Event] Really great Event. Hoping to have one in the winter semester. Great
way to meet other leaders on campus. Event ideas other leaders have will be posted on the new
calendar in our cabinet office.

 [Cabinet Training] Thank you to everyone who came. I hope you took away a lot from it. Some
things we noticed were negativity around it. I get that Friday night 4-7pm is not ideal. We’ve cut
it down a lot so that it isn’t a Saturday all day thing. We want you to take a lot out of this. Please
try and remember than for the next training, which is Friday January 13th 4-7pm. Different
Workshops. We understand things come up last minute but we were the lowest attendance
Cabinet. When the date is confirmed early please try to work other extra curricular around it.
 Claire motions for cabinet to go on a 15 minutes recess, seconded by Gytha. Motion is
unanimously passed. Recess begins at 5:28pm.

Deputy Prime Minister’s Report - Claire Sanders
 [Colleges Subcommittee] Colleges Survey has been put out. Please do it. Stephanie is working on
meeting with faculty to see their view on the colleges. She wants to see how they relate to their
own college. Wants to get their point of view. Champlain is having their 50th anniversary. In the
summer OC got lockers near Wenjack. Lots of off campus students have been using that. Working
on the commuter lab downstairs. Hopefully going to get nicer lockers there. Mike and William are
going to have open forums about the Commuter Lab and what off campus students want to see.
Gzowski Expansion isn’t used too much. Want more of a common space in Gzowski. Pan colleges
funding is looking for follow up after the event to make sure people are doing what they said they
were with the money. College Affiliations report from this year and last year. Will pass around
the numbers. Want to discuss the scarves this year. Discussed using the reserve fund for the next
two years, need a solution after that. Want to readdress the meaning of the scarf. Grad students
lost their office space at Traill. Feel like they don’t have enough services. Stephanie wants to
build the undergraduate relationship with grad students. Discussed how Trent is one of the only
Universities with the Collegiate System. How can we better market our collegiate system? Market
student experience – why you love your college. Play off of Harry Potter – “Sorting Hat” and
incorporate Living Learning Communities. We have found that Faculty is more focused on their
research than their college. Want to look at how to better partner with certain disciplines. Talked
about reinventing the colleges and the relationship within their discipline.
 [Clothing Order] LEC Clothing Order has completed. Waiting on a confirmation in numbers.
Cabinet Clothing order is on the bulletin board. Get money to me by Thursday at 5pm.

 Dodgeball – Festive Weekend 7-9pm sign up Nov 14. $20 deposit per team. Free Agent Team.
Prizes – Pizza
 Ethel - Stress ball making Dec 3rd – distress tips. Gift cards snacks
 Marissa – game night Dec 2 6-9pm Wii and Pool, bring board games. Bring Cards Against
Humanity. Board Game as a prize. Pizza/fruits/veggies
 Beth – photo scavenger hunt/species hunt. Mini workshop, learn about species and then go find
them. Whoever finds the most wins a prize. Looking at a waste issues week next semester.

 Brandon – blood donation campaign, discuss social restrictions in donating
 Haley – Paint Nite November
 Erik - Academic skills workshop Nov 24 11-5pm JCR. Rebound will be there. Bring papers to be
edited by someone else. Erik is meeting with Erin to get tips and advice for students
 William – life skills workshop Nov 29 7-9pm. Possibly Black Honey. Let students know how to
cook, lunches, taxes, sewing. Ticket system with food
 Next semester – hockey night, wings, pizza, Crawpaddies, Superbowl Party

8. Position Reports
TCSA Commissioner - Brandon Remmelgas
 [TCSA Report] Friendship Bench Launch tomorrow 2-4pm. Kick off Healthy Living Week. Pippa is
the VP of External Affairs. Discussed her events coming up: Networking Event Graduate Student
Association with Undergrad Students. Frost Week – Cabinet Traditionally does events during this
week so let Pippa know if we have an event idea. TCSA is doing a calendar with all TCSA and
Cabinet Events on it. If you’d like to Interview with Pippa on Trent Radio let her know. Traill now
has a Cabinet. Pippa and Annette on TCSA are there. Colleges are currently undergoing a needs
assessment. Scarves for two years are priced at $44,000. Want to see how students feel about
them. Going to review the needs assessment. If you want to look at the numbers let me know. Not
a lot of students wear them but they still play a huge part in student lives. Different people have
different relationships with the scarfs. Any feedback, contact anyone on CASSC or the College. Not
a Yes or No Discussion. National Day of Action was very successful. All about combating tuition
fees. Recent OSAP victory – only have to repay if you make over $25,000 a year. Micro
Aggressions are Always Macro – forum on TCSA website to express feelings about micro
aggressions on campus. If they provide consent they will be anonymously posted on posters
around campus. The form online has support systems students can access. Another cool event is
an event called Out On Campus. Goal is an open and safe space to talk about coming up of the
closet. Safer Space Committee – open to any student. Email Shannese. Sexual Violence Safety
Committee – Women’s Safety Grant $50,000 Grant – overseeing how it will be broken up.
$15,000 allocated already, some to WalkHome. Some will be allocated to Student Safety Poles
and Security Cameras on Campus. We were looking for research on how cameras do make
campus a safer space for Women. Still have not received any information. Leads to a lack of
consultation with students about cameras. Alaine will be bringing this up at the next meeting.
We want the money to go towards something that is useful. Some Security cameras in Parking
lots but that will be funded by Parking. Goal in the end is to spend the money on something that
will benefit students. Any concerns email me or anyone on the TCSA. Best person to email is
Alaine. Levy fee issues – no longer part time and full time student definitions… semester billing
means students don’t need to register until second semester. Compounding issue. Working with
Student Accounts to change our language and discuss levies. Working with finance as well.
Peterborough Transit is having issues with keeping up with the Transit we need, so that may
need to be decreased. If anyone has any brilliant ideas on how the TCSA can match what finance
is doing please let me know.

Cabinet moves into Closed Session at 6:48pm.
 During Closed Session, Brandon motions to appoint Jessica Randall, Claire Sanders and Jessica
Collinson as the Festive College Weekend Co-chairs for 2016, seconded by William. Motion is
unanimously passed.

During Closed Session, Brandon motions to use $500 from Other Events for the East vs. West
Hockey Game, seconded by Jess. Motion is unanimously passed.
 Claire motions to exit Closed Session, seconded by Jess. Motion is unanimously passed. Cabinet
exits Closed Session at 7pm.
 Jessica motions to extend the meeting by 15 minutes, seconded by Claire. Motion is unanimously
passed.
10. Correspondence
 Someone emailed LEC Cabinet asking if they could help plan LEC Events. They are going to help
out where he can.
