Business Process
1.
Schedule Agreement : Buyers publish schedule agreements to their suppliers.
2.
Schedule Agreement Response: Suppliers should respond to the schedule agreement.
The system checks every two hours for new responses to be sent to the buyer.
3.
Schedule Agreement Changes: Buyers may publish changes or cancellations to
previously published schedule agreements. Suppliers are typically expected to respond.

Supplier/Buyer Actions for Schedule Agreements
•
New – schedule agreements are loaded into SCP in a New state, with all line items
in a New state. Note: If changes are made, the agreement line’s state can push
back to ‘New’ from the ‘Sent’ state.
•
Sent – supplier has completed and sent their response (which could have been to
agree with the request, or to acknowledge it but with a counter proposal).
•
Closed – the buyer can move a schedule agreement line to the ‘Closed’ state.
•
Inactive – the system automatically moves a line to this state if the line is not
included in a subsequent version of that Schedule Agreement.
•
Archived – lines move to this state automatically after a period of inactivity

Schedule Agreement Structure

Each line item represents a different item.
•
Each request (or ‘schedule line’) represents a date and quantity.
•
Each promise represents a confirmation from the Supplier.
> If a Supplier cannot meet the entire request

Send – ‘Accept’ Buyer Requests
•

If you agree with the schedule agreement ‘as is’ then you just have to select the agreement
lines and click ‘Send’.
The response will be sent to the buyer the next time the system sweeps (every 2 hours).

Send – ‘Acknowledge with Exceptions’
•
•
To acknowledge a schedule agreement but with exceptions, you will still use the same
status and action button of ‘Send’.
Use the ‘Promise Date’, ‘Promise Qty’, ‘Reject Reason’ and ‘Supplier Comments’ fields to
create a detailed response – then click Send.

Schedule Agreement Changes
•
When a schedule agreement gets updated with a newer version by the buyer, there will be
a new version published in SCP.
> If the ‘Promise Date’, ‘Request Del Date’ or ‘Request Qty’ are different from the
previous schedule agreement version, then the state will change to ‘New’ – this
notifies the supplier that there are new schedule agreement lines that require a
response
> If these three fields did not change in the next version, then the state will not be
changed.
•
For the ‘Request Del Date’ and the ‘Request Qty’ fields, there are corresponding ‘Previous’
fields which show the value from the previous version of the schedule agreement.
> If a new schedule agreement is posted and either of these two fields were not
changed, then the ‘Previous’ fields are left blank.
•
If a new schedule agreement version is posted and it does not include a schedule line that
was previously in that agreement, then that line will go to an ‘Inactive’ state.

Schedule Agreements and Discrete Orders

A schedule agreement and a discrete order are linked together in SCP by having the
same ‘Order Number’.
A user can access the schedule agreements right from the order by going to the
‘Schedule Agreement Info’ tab on the order details page.

Shipments and Invoices for Schedule Agreements
•
For shipments and invoices against schedule agreements, you should follow the same
process that you use with BAE Systems today (not through SCP).
•
If you also receive discrete orders in SCP, then you may be expected to ship or invoice
against them in SCP.
•
For all business processes, your BAE Systems buyer will determine which process
workflows should be handled in SCP.
