FAQs REGARDING SINGLE-GAME STATISTICS REPORTING WHERE CAN I FIND STEP-BY-STEP INSTRUCTIONS FOR UPLOADING SINGLE-GAME XMLS? Click here: http://fs.ncaa.org/Docs/stats/ForSIDs/DailySubmitInstr.html Or, once you log in to your NCAA team page at http://web1.ncaa.org/stats/StatsSrv/login (using your team’s unique user name and password), select the “Game Reporting” option for the sport with which you’re working. In the upper, right-hand corner of that page is an option called “Help.” Clicking on that word will take you through the step-by-step process. You also will find a copy of this FAQ document on the site if you click the “FAQ” icon, located just to the right of the “Help” option. WHEN WILL THE “GAME REPORTING” LINK BE AVAILABLE? The link will be available before the start of each sport’s season. Please upload your game XMLs as soon as possible following every contest. WHEN WILL THE NATIONAL STATISTICAL RANKINGS BE RELEASED AND HOW DO I KNOW THEY’RE AVAILABLE? Statistics will be posted according to the schedule provided with the reporting memo sent at the start of each season. The time of day for each posting depends upon the timely submission of every XML for every institution. We will send an email alert to the address listed as the sport contact at each school when the stats are posted, along with a direct link to the stats. WHAT IF MY TEAM IS PLAYING A DOUBLEHEADER? The program is set up to take both games of the doubleheader. Each should be listed on your schedule as separate games in our database. It’s very important that you set the game up properly in the Stat Crew software. In the Game Info screen of Game Setup, be sure to designate which game of the DH you are scoring. This will allow our program to differentiate between two games involving same teams on the same day. I UPLOADED MY STATS TO MY SCHOOL’S PRESTO OR SIDEARM WEB SITE, SO WHY AM I STILL GETTING REMINDERS TO UPLOAD A GAME FILE? The auto-upload feature available for Presto and Sidearm users works well in nearly every situation and has been a tremendous help for the statistics staff. If a file submitted through the auto-upload feature was not received by our system for any reason (e.g., a problem with the server or error in the XML), you should receive an error message during the upload process that explains why it the file was rejected. Regardless, if you receive a reminder from the statistics staff, this would also indicate that the auto-upload process was not successful or the date in the XML is incorrect and the file may still be needed. In this case, please go to http://web1.ncaa.org/stats/StatsSrv/login, click the Game Reporting link and upload your XML file from that page. Even if you do not encounter issues using the auto-upload feature, you are still encouraged to visit your upload site every so often, to assure that every game is uploaded and your team’s schedule is up-to-date. WHEN SHOULD I UPLOAD THE SINGLE-GAME XML? We would like everyone to upload their XML as soon as possible after your game is completed. Updated 8/2/2016 – DLL 1 WHAT IF THE GAME I WANT TO UPLOAD IS NOT LISTED ON MY TEAM PAGE? Our upload system is designed to accept your game file EVEN IF THAT GAME IS NOT IN OUR DATABASE. The program will place that XML in a holding queue so that we can verify the game data, adjust your schedule in our database, and then push the XML to the active mode. We encourage you to upload the game file, then contact us about this schedule difference. Our staff makes every effort to assure the schedule in our database is an exact match with your actual schedule. But there may be situations when a game was added late in the season, a game date was changed, or your team participates in a tournament in which some opponents are not known in advance. WHERE DO I FIND THE TEAM CODES FOR MY OPPONENTS? Our single-game system requires you to provide the NCAA team code number for both your school and your opponent or the XML will not be successfully uploaded. Provided you supplied us with your complete schedule for the year, you will see that we include the NCAA Team Code for all your opponents within the upload page, including any non-NCAA schools. If you added a contest that is not in our system or you were in a tournament in which the next opponent was not pre-determined, you also can click on “NCAA Team Codes” located just to the left of the “Help” option noted above. A copy of those NCAA Team Codes is also available at http://stats.ncaa.org/game_upload/team_codes. WHAT IF MY TEAM PLAYS A NON-NCAA OPPONENT THAT HAS A SIX-DIGIT TEAM CODE? MY STATCREW SOFTWARE WILL NOT ALLOW ME TO ENTER MORE THAN FIVE DIGITS FOR A TEAM CODE. If you have the 2010-11 version of Stat Crew’s software (Version x.11), there is a downloadable patch that will allow you to enter the six-digit code number for non-NCAA opponents. Just visit their site and get the patch. If you have the newest version of Stat Crew (Version x.12 or later), that issue has been resolved. If you have an earlier version of Stat Crew, you’ll need to email us the XML and we can manually enter the sixth digit and upload it for you. SHOULD I UPLOAD AN XML AFTER EVERY GAME MY TEAM PLAYS? No. You only are responsible for your home games and games played against non-NCAA opponents. WHAT ABOUT NEUTRAL-SITE GAMES? This gets a little tricky. Although every neutral-site contest has a “designated” home team, we have no way of knowing which team that is. So our system is set up to allow EITHER team playing a neutral-site contest to upload the XML. To avoid confusion, we’d suggest the two schools decide prior to the game which one will do the uploading. CAN’T THE HOST SID SUBMIT THE XMLS FOR ALL THE TOURNAMENT GAMES? No. Only the two participating teams have access to the upload option for that contest. IF I’M ON THE ROAD (AND NOT A NEUTRAL SITE), CAN I SUBMIT THE XML? Probably not, but it depends upon how quick the home SID is. If you attempt to upload your game XML on the road BEFORE the home SID has a chance to, our system will accept your XML. But as soon as the home SID uploads the XML, it will automatically overwrite and replace your version. And once the home SID has uploaded the XML, our system will not permit you to submit your version of the game if you are the visiting team. You’ll see a message to the right of that game that says “Uploaded by opponent.” WHAT IF I FIND A MISTAKE IN A ROAD-GAME BOX? In those situations, you will need to contact the home SID and have that SID submit a corrected version. This is to be sure we maintain our long-time policy that the home SID always is the official statistician for all contests. Updated 8/2/2016 – DLL 2 WHAT IF I AM THE HOME SID AND FIND A MISTAKE IN THE BOX? If you find a mistake in a box score you submitted, you always can upload a corrected version of that box, provided you were the HOME TEAM or it was played at a neutral site. For any previously submitted contests, you’ll see a link called “Upload Corrected File” that permits you to submit a new XML for that game (see the next FAQ for more info). That new version will then overwrite the previous version. Also note that NCAA Statistics Policies and Guidelines indicate that all changes to a box score should be made within one week of the contest and the home SID also must contact the visiting SID regarding any statistical change. In certain, unusual circumstances, changes can be made after the one-week window, but we strongly urge SIDs adhere to the oneweek guidelines. THERE IS AN OPTION FOR “UPLOAD CORRECTED FILE” NEXT TO THE GAMES I’VE SUBMITTED. DOES THIS MEAN THERE IS SOMETHING WRONG WITH THE FILE I LOADED? The “Upload Corrected File” link is an option to load a new file, not a prompt that you must load one. If there is an error within the XML, you will either be notified when trying to load the file, or you’ll see the score on the contest highlighted in yellow once it has been processed. WHAT RESPONSIBILITIES DOES THE CONFERENCE OFFICE HAVE IN THIS SINGLE-GAME SYSTEM? We hope each league office will monitor the stats that we post to be sure they match what the conference office is posting, but the ultimate responsibility for uploading the XML remains with the institution. HOW SOON AFTER I UPLOAD AN XML WILL MY STATISTICS BE UPDATED ON THE NCAA SITE? Assuming we have no issues with your XML roster (or your opponent’s) matching our database, you’ll see the box score, play-by-play and updated team stats within about 30 minutes. Our system is set up to continually update the latest XML submissions every half hour throughout each day and night. If there is a roster issue (or on a rare occasion, the stats in the box do not add up), our system will place that game in a queue for us to resolve. That may mean it will be the next morning before we can resolve a roster or box score issue. That’s why it is very important that your roster in our database is completely up to date (see roster reference below). CHECK YOUR ROSTER Last year, we noticed quite a few players popped into the box scores that were not on the original rosters you submitted, possibly some late additions, so please take a look at your roster (it is located just below the upload link) and make any corrections or updates, including adding position, class and other categories for the new additions. Also remember if your Stat Crew/XML roster does not match what we have in our NCAA database (MaryLou Smith and Mary Smith, for example), that MAY mean your XML will not be immediately processed and we’ll need to fix it manually. Note the “Roster” link, like the reporting option, is available to you 24/7. OUR SCHEDULE CHANGED – WHAT DO I DO? If the schedule change involves a date, opponent or location, please email our staff and we will make the changes for you. Note that we disable the schedule link on your upload page to prevent changes that we are not tracking or that have not been made for both teams. You can view your schedule in our database either on the public site or when you are uploading an XML. There will always be a few games postponed because of weather, so it is important that you let us know when that happens and that you also contact us as soon as a rescheduled date is determined. BE SURE YOU CLICK ON THE CORRECT SPORT WHEN UPLOADING Be careful when loading a file that you click the correct link for the sport for which you are updating. Updated 8/2/2016 – DLL 3 CONFIRM THAT THE DATE AND OPPONENT ARE CORRECT BEFORE UPLOADING YOUR XML Each time you upload an XML (unless using Presto or Sidearm), our system then takes you to a screen that shows you exactly which opponent, game date, score and attendance is listed in that file. Please take a moment before clicking the “Upload” button to be sure everything is correct. DAILY NATIONAL STATISTICAL RANKINGS? In 2015-16, nearly every sport had national rankings run on a daily basis. We would encourage everyone continue to try and incorporate the NCAA submission as part of your normal routine, right after updating your own site and sending the game file to your opponent and league. While national rankings will not appear until the next day or following all game completion on a given day, if your school or any of your opponents did upload the game XML right after a game, our system WILL update your team and individual stats including that game within 30 minutes of successful submission. THE DAILY SCOREBOARD We also have an additional “incentive” to encourage everyone to submit their XML on the same day as the game was played…A DAILY SCOREBOARD. This link on our site will take you to today’s date and it will show all the games scheduled to be played that day. As SIDs upload their XMLs, those scheduled games will be populated by the score, along with a link to the box and play-by-play. You can use the calendar at the top of this link to view the scores and boxes from any previous day, or peek into the future to see what games are scheduled any time during the season. The scoreboard also shows the updated won-lost record of both teams and on days when a lot of games are scheduled, you also can choose any conference to limit the number of games on the scoreboard.
