Application Procedure, General Regulations and Terms and Conditions
Event Details
In the past year, the West Kowloon Cultural District and Youth Outreach joint hands to
organize Freespace Happening, a free outdoor programme that offers a unique blend of
music, dance, literature and markets, attracting over 50,000 audiences in total.
We are relaunching Freespace Happening on every second weekend of the month from
September 2016 to March 2017. By providing a platform for art activities, it is hoped that a
habit of attending cultural activities could be cultivated among the public.
We are now calling for applications from handicraft lovers to become stall owners. For more
details, please refer to the following Application Procedure, General Regulations and Terms
and Conditions.

Eligibility and Application Fee
1.
All individual or groups are invited.
2.
Upon successful application, a fee of HK$150 would be collected.
Arrangement of Venue and Stalls
1.
The event would be held on an outdoor lawn. 20 stalls would be set up per day.
2.
The organizer would provide each stall owner 1 marquee, 1 table (2ft. X 6ft.), 2
chairs, 1 black table cloth and 2 permits. Permits should be returned before the end of
the event.

You could use cloth or small display stands to decorate your stall. All items should
not exceed the designated stall area.
Electricity will not be provided.

Stall owners are required to set up their stalls at designated locations.
You are allowed to set up your stall two hours before the opening of the Handicraft
Market and finish set up on or before 13:30. You are required to tidy up all personal
belongings and return the permits to the organizer within one hour after the closure of
the Market.

If trucks or private cars are necessary for transportation of material, stall owners
should provide Youth Outreach with the car plate number 14 days before the event
and apply for an entrance permit. Please note that the closest parking lot is the
Elements Car Park. The load‐in area is about five minutes walking distance away
from the stalls. Please prepare your own trolley to transfer the material to your stall.
No cars are allowed on the lawn.
8.
Stall owners should make sure that at least one representative is present at the stall
throughout the event.
9.
Stalls should be in operation throughout the event. You are not allowed to close the
stall or leave before the closure of market without prior formal approval from the
organizer.
10. Should the event be canceled due to bad weather, the organizer would inform you
latest three hours before the start of the event. The application fee would be returned
to successful applicants.
Absence of stall owners
If stall owners could not attend the event due to personal reason, they are to inform the
organizer one week before the event. Application fee would not be refunded.
Responsibility of applicants
1.
Breach of copyright and illegal goods are strictly forbidden. Stall owners will be
disqualified and liable for such acts.
2.
Goods to be sold at the Market should be original handicraft works. Style, quality
and genre of the works should be consistent with information provided in the
Application Form.
3.
Stall owners are responsible for the safety of goods and personal belongings. The
organizer shall not responsible for any lost or damage.
4.
Stall owners may be disqualified and requested to leave immediately, without any
refund or compensation, if their behavior or goods are deemed inappropriate in the
following manners:
4.1. Violation of this “General Information and Terms and Conditions”; or,
4.2. Illegal, fraudulent actions or breach of copyright; or,
4.3. Dangerous, nuisance, indecent or disturbing behaviors.
5.
Stall owners are welcomed to promote the event on personal website or social
media platforms. You are reminded to follow the Marketing Protocol of the event.
Application Procedures
1.

Applications will be chosen according to the following criteria:
2.1.
Originality and attraction to consumers of the works;
2.2.
Genre, design style and quality of the works; and
2.3.
The organizer’s theme and programme design.
3.
Please attach at least five photos of your work for the organizer’s consideration
when submitting the Application Form.
4.
All submitted material (including the Application Form, photos or other reference
material) would not be returned. You are reminded to keep your own copy.
5.
Applicants should provide relevant and correct information for application.
Organizer may request more information for reference.
6.
Information provided by applicants may be used in promotion material of the event.
7.
Successful applicants would be notified by. Only successful applicants will be
required to submit the application fee. Submission of fee and signing of agreement
would be arranged.
8.
Unsuccessful applicants will be notified within one week after the announcement
date listed above.
9.

10. The organizer reserves the right of final decision in regards of accepting
applications and choosing participants, and would not be responsible for explaining
individual cases of rejection.
Warm Reminder
1.
The event is held in an outdoor area. You are reminded to take measures against
exposure to the sun, rain or mosquitoes.
2.
Please prepare sufficient drinking water.
