What you are responsible for managing
a. Quick Links – You are allowed a maximum of 10.
b. Poll – You decide upon the question and its answers. You also decide the time length of
the duration of the poll.
c. President’s Message – This should be updated monthly and only be a paragraph in
length (4-5 sentences max).
d. News section – Whether you have a “Highlight” section or a blog feeding to your page, it
is required that you provide updated news at least once a month.
e. Get Connected – If your chapter’s social media links change, you are responsible for
changing them on the website so they will link to the appropriate page.
f. Chapter Board – You will be responsible for updating names, photos, e-mail addresses,
etc.
What your regional manager is responsible for managing
a. Photos – Your regional manager will take care of changing out the photos that appear
on your web page banner. If you have specific ones you would like to see, please notify
your regional manager. You are still responsible for sending your photos to your
regional manager.
b. Chapter Stats
c. Events – You are responsible for sending event information to your regional manager;
however, it will be the regional manager’s responsibility for getting it on the calendar.
*As of your training date, you will have an initial 60 days to update your chapter
page. After the 60 days you will be working with your regional manager to
update your chapter page monthly. If your page has not been updated within
the above time frame your site will be taken down. The Alumni staff will
monitor the site pages to ensure they are being updated.*
Entering Content
In this section, I will detail how to enter content, hyperlink and insert an image.

Some Tips to Remember when Entering Content






Do not copy from Word and paste into content block. If you want to copy/paste, copy
from Word and paste into Notepad. Then, copy from Notepad and paste into content
block. Or, once in your wysiwyg, select “Paste as Plain Text.”
When using color to highlight text, specify that you want to use #9e1b32. That is the red
that is associated with the Arkansas Alumni Association.
All content font is Arial.
Use one space after periods when adding text.
When using point size 1-7, the following number corresponds with the estimated font
size:
o 1 = 10pt
o 2 = 13pt
o 3 = 16pt
o 4 = 18pt
o 5 = 24pt
o 6 = 32pt
o 7 = 48pt
Use Headings when you want to bold titles:
o Heading 1 = Arial, 6 (32pt) with red bolding
o Heading 2 = Arial, 5 (24pt) with red bolding


o Heading 3 = Arial, 4 (18pt) with red bolding
o Heading 4 = Arial, 3 (16pt)
o Heading 5 = Arial, 2 (13pt)
When typing a phone number:
o Use 479.575.2801
o Do not use 479-575-2801
Verbiage Usage:
o Use “e-mail” and not “email”
o Use “a.m./p.m.” and not “am/pm”
o Use “P.O. Box” and not “PO Box”
o Always capitalize “Association”
o Numbers 1-9 should be written out (ex: one, two, three, etc…) Numbers 10 and
higher should be written as numerals (ex: 10, 11, 12, etc…)
o Use “RSVP” and not “R.S.V.P.”
How to Hyperlink
Step 1
Highlight the word(s) you want
linked. Then select the hyperlink
manager icon (it looks like a globe
with a chain link).
Step 2
Copy & Paste or type in the URL you want
that particular word to link to. (i.e. Linked
Text = Arkansas Alumni Association URL =
http://www.arkansasalumni.org/s/1429/st
art.aspx)
If you are hyperlinking an e-mail address,
you would select the E-mail tab and make
sure that the address and Linked Text
include the e-mail address being linked.
Set the “Target” to “New Window” so once
the Linked Text is clicked on, the URL will
open in a new window.
Once you are ready, click “OK”
How to Insert an Image
When inserting an image, you must ALWAYS size the image before you upload it. Also, there are specific
dimensions that are used:




For those using the “Highlight” section instead of the blog feed, your photos will be 240x180
For those who have the blog feed on your page, the photos are 240x135
For chapter board photos, they are sized to 75x75
Although you are not responsible for the header photo and/or rotator photo(s), the dimensions
of the photos are 580x229.
It is good to keep these dimensions in mind when taking photos.
Note: Horizontal photos are preferred because they tend to size better. If at all possible, do not use
your iPhones for photo taking because they do not provide the best quality.
Step 1
1) Depending on where you would
like your photo to appear (usually to
the left when talking about the
“Highlight” section), place your cursor
to the left of the start of your text.
2) Then select the Image Manager
icon (looks like a mountain photo)

2) Select Upload. Make sure you
have the correct folder selected.
Once it is uploaded you cannot move
files from one folder to another. You
will then select your photo (you’ll
need to find where you saved it), and
select “Upload” You may upload as
many photos as you like, simply by
clicking “Add”
1) Under “Chapter_society_pages”
find your chapter’s folder. This is
where you will upload your photos
Step 3
Once your file has been
uploaded, it will appear in the
second column.
Step 4
Select “Properties” and you set your
“Image Alignment” to the left-hand
side. You will also want to set a Right
Margin of “5” so that the text does
not run into the photo. Once you are
ready, select “Insert.”
*Note: Remember, when setting your margin, you set it according to which side of the image the text
will appear. If the image sits to the left of the text, you will set a right margin. If the image sits to the
right of the text, you will set a left margin.
