GUIDELINES

General

To keep a players and team officials register, with all contact details
Liaison between Team Coach, Admin Manager, Team Secretary, and where necessary, between
players and coach regarding team affairs and team arrangements
Together with the Coach, the Manager will be the link in liaison between the Union and the team
with regard to policy and budget issues
Team Practices
The manager is responsible for the smooth running of all structured field practices and must arrange
the following:
 Field
 Equipment (balls, tackle bags, etc.)
 Communication (written program) of all practice dates and times to all players and team officials.

Submit team list to Admin Manager’s office
Submit Team Sheet form to SARU 48 hours before match by fax at 021-928 7181 or by e-mail
to [email protected]. If there are late changes please advise Eddie Grieb on 082 693

Liaise with Team Secretary regarding stadium access, tickets and parking discs
Liaise with Admin Manager regarding playing kit and formal kit for new players
Finalise meeting times for team
Prepare team letter pertaining to arrangements (Team Secretary to type not later than
Wednesday prior to match)
Submit certified Team Sheet one hour before match to officiating referee
Inform Media, Media liaison officer, TV commentators and Announcer of any changes in the team
as per programme
Post match formalities
Distribute all kit and collect after match and hand in
Match report to Team Secretary before following Monday
Submit Match Report form by e-mail to Eddie Grieb ([email protected]) on the
Monday following the match not later than 10:00am

Away Matches


Submit team list to Team Secretary and Travel Secretary as soon as possible – not later than
Wednesday prior to match
 Submit Team Sheet form to SA Rugby 48 hours before match by fax at 021 928 7181 or by email to [email protected]. If there are changes please advise [email protected]
 Stay in touch with Travel Secretary regarding travel arrangements and any changes to program
 Team letter (with travel arrangements and other information) to be with Team Secretary by
Wednesday
 Meet timeously with team at departure point e.g. airport, to arrange boarding
 Meet liaison officer/bus driver at destination for more information
 Manage and control orderly check in and check out at the hotel. Check main accounts and
individual room accounts etc.
 Submit certified team list one hour before match to officiating referee
 Inform Media, Media liaison officer, TV commentators and Announcer of any changes in the team
as per programme
 Upon return all kit/equipment to be returned to the stadium as soon as possible (Mondays)
 Match report to be handed to Team Secretary (Monday)
 Submit Match Report form by e-mail to Eddie Grieb ( [email protected] ) on the
Monday following the match not later than 10:00am
 Full report to Admin Manager
Note: for away trips there will be various incidentals to arrange or monitor in conjunction with the
coach e.g. meals, team room, refreshments, energy drinks, transport, match tickets, meeting times,
practice venue and equipment, hand out of players kit, collecting kit after matches, departure
arrangements and after match functions.

Assist during match with substitution and injury replacements
In case of serious injuries it is the manager’s duty to ensure that injured player is in good hands.
If manager cannot accompany him to the hospital he must make sure that liaison officer travels
with player.
Make contact with match officials and introduce yourself to referee, touch judges and match
doctor.
Communication is very important. Make sure the players and officials are aware of what is
happening at all times.
The manager is responsible for total discipline of the squad. Any misconduct must be dealt with
immediately and if it is of a serious nature it must be reported to the CEO of the Union.

Players are only allowed to take the field with numbers 1-22 on their backs.
Numbers 23 – 25 may only be used in case of blood-bin injuries. Make sure jerseys are big enough
for players and that jerseys are not torn.

Conclusion
To cover all situations or events is obviously not possible in a job description of this nature. As a
Team Manager one’s own initiative and pragmatic thinking needs to apply when the unexpected
happens.
“Think on your feet” and behave at all times like a professional – the players are looking up to you.
