POSTING A POSITION

1. Go to
https://uhs.taleo.net. Login
with your Employee ID and
password.
2. Click “Recruiting” in the top
left corner.
3. Click “Create Requisition”
under the Requisitions
section.

4. Click the box to choose
your requisition template.
*You MUST have the position
number in order to create
your requisition. If this
position is to replace a
previous incumbent, use the
same position number. If this
is a new position, you will
need to submit an ePRF first.
Taleo will update from
PeopleSoft every night, so
your position number will not
be listed until it is approved
and loaded. *
5. Use the Quick Filters on
the left side to find the
appropriate position number.
Type your position number in
the “Job Code” box, then click
the refresh button (arrows) to
the right of the box.
You should then see your
position. Click “Select.”
6. Type your last name into
the “Department Contact”
field. Your name should
display below. Click your
name to populate the field.
Then, click “Next.”
*The name typed in this field,
will be responsible for
receiving communication,
updating the step/status of
candidates, etc. (does not
have to be the Hiring
Manager in some cases).

7. The Organization,
Location, and Job Field will
populate. Ensure this
information is correct. Click
“Create.”
8. Your requisition will now
display. Most of the
information will populate
from the template, so you will
not need to modify that
information unless necessary.
You will need to fill in all
fields appropriately. The
fields indicated with a red
asterisk (*) are required.
Other information provided
will help HR with posting the
requisition.
You may include “Notes to
HR” in the “Internal Notes”
section. This may include:
where you would like to
advertise, internal or external
posting, changes to the job
description, and any
additional information that
you may have.
The Hiring Manager is the
person hiring for the position.
In some cases, this may be
different from the
Department Contact
previously indicated. For
example, Mandy Simper may
be the Department Contact
for Wayne Beran, but Wayne

Beran would be the Hiring
Manager.
9. The User Group will
populate automatically.
Please do not change this
information.
10. The Employment Rep and
Department Contact are
mandatory fields. If a name is
not populated in the
Employment Rep, please add
Lauree Tomas. This will be
the same for ALL requisitions.
If this name is not included,
your requisition will NOT
post.
Department Contact will be
populated based on the
previous information
provided.
Department Contact 2 is for
any additional person you
would like to add to view the
requisition and make any
necessary changes.
You will NOT need to add
anything to the Collaborator
section.

11. You must fill in the Search
Committee Members
information.
If you do not have these
names at the time the
requisition is submitted for
approval, please update the
requisition to include this
information immediately
after forming the committee,
and email Lauree Tomas at
[email protected]. She will
then assign the permissions
to the users, so they can view
the applicant pool.
12. You must include the
opening date and closing
date. It is recommended to
ALWAYS include a closing
date. HR can always reopen
the posting if there is not a
successful hire.
The Description and
Qualifications will
automatically populate for
staff positions. Please do not
change any information in
these fields because they
have already been approved.
If there is a change in duties,
please submit a new JAQ to
the HR Director. You may add
preferred qualification in the
“Notes to Applicants” section
below.
Faculty – please include your
job ad in the description and
qualifications section. This is
the information that will be
displayed to applicants.

13. Please select the required
attachment by Candidate.
14. Confirm the information is
correct. The salary is the
minimum of the paygrade and
what UHV advertises for each
position.
Faculty – The pay information
will not populate. This
information will be added in
the offer grid later in the
process. You will also need to
select the “Tenure
Classification.”
O’Net Category and EEO Job
Category are for HR purposes
only.
15. Question 1 & 2 will be
asked for all staff positions.
Question 2 will be asked for
all faculty positions.

16. You may add questions to
pre-screen applicants. Click
“Add” to add a question from
the question bank, OR click
the add question page (box in
red) to create a unique
question and follow the steps.
17. Before saving, click the
Diagnostics tool on the right
side of your screen. This will
tell you everything you need
to do to “Save” and “Request
Approval.”
If the tool says, “File ready for
approval,” then go to the next
step.
If not, click on the field listed
as incomplete to navigate to
that section.
18. Once you have completed
all of the required
information, click “Save and
Close” located at the top left
corner of the requisition.
19. Click “More Actions” and
“Request Approval from the
dropdown.” This step is
REQUIRED. If you do not
request approval, your
requisition will stay in the
pending status and will not
post.

20. The appropriate
approvers will be listed.
Make sure you type
comments in the “Comments”
section in order to continue.
Click “Done” in bottom right
hand corner.
Example comments: “Judy
Rodriguez has resigned
effective 01/01/2017. Please
approve my requisition to fill
her position.”
21. You have completed the
requisition and requested
approval.
At this time, each of the
approvers will receive an
email with the requisition
information. They will be
prompted to approve or deny
the requisition.
22. Optional: If a few days
have passed and the
approvers have not approved
your requisition, you may
“Send Reminder” and an
email will be sent to the
approver who has not
responded.
You may monitor the
approval process within this
page throughout the process.

23. Once the approvals are
complete, the HR Specialist,
Lauree Tomas, will post your
requisition on the UHV job
board. You can access all of
the job postings by visiting
the UHV Careers Page via
Taleo.
