Responsible for: To assist the Human Resources team with administration support to
ensure that the HR office provides an effective and efficient service.

Health and Safety
All members of staff are responsible for ensuring safety within their working area, for ensuring that risk
assessments are carried out and that appropriate actions are taken if problems are identified. All staff
are required to assist the College Safety Officer in the implementation of measures to ensure that all
health and safety requirements are achieved.

Risk Management
All members of staff will adopt best practices in the identification, evaluation and cost effective control
of risks to ensure, as far as possible, that they are eliminated or reduced to a level that is acceptable to
the College.

Safeguarding
All staff who teach, train or work regularly with children aged up to 18 and vulnerable adults are required
to comply fully with legislation and College policies and practices to ensure learners are safeguarded
and protected.
Section B • Specific Responsibilities

1. Provide an administrative support service within a customer driven environment, in doing so
undertaking a range of administrative duties as requested, including: record keeping, filing,
photocopying, data input, telephone calls, compiling statistics, responding to both internal and external
enquiries.
2. Maintain systems to contribute to the smooth running of the HR administrative function.
3. Deal with telephone and personal enquiries, both internal and external, and direct them to the
appropriate person. Liaise with staff, members of the public and external agencies/organisations as
necessary to perform college administration.
4. Assisting with College recruitment and selection processes, including all administration documents
and logging onto the appropriate system.
5. Assist with the day to day operation of the College’s sickness/ill health/absence recording.
6. Ensuring that all personnel records, both paper-based and computerised, are accurate and up-todate and are maintained for all staff members in a confidential and secure manner.
7. Attend meetings to minute/note take as and when requested by the HR Manager.
8. Maintaining and updating records relating to staff annual leave.
9. Assist with maintaining/updating of the College’s Staff Information Boards in relation to HR
documentation.

11. Assist with the HR general day to day administration paperwork.
12. Maintaining confidentiality at all time with regard to the work of the HR Section.
13. Assist with the data input of Equality and Diversity monitoring forms.
14. Assist with the administration of the Training and Development section as and when required.
15. Any other duties, as requested by the HR Manager.
