Awards will be made to swimmers placed in the first 3 in each event, excluding
those who have been disqualified. A Top Boy and Top Girl Trophy will be presented
on poolside. In the event of a tie, the award will be determined by BAGCATs points
Points for placings 1-6 will count towards awarding a Top Visiting Club Trophy
Entries must be received by midnight on 1st June 2016. No late entries will be
accepted.
Consolidated entries only should be made by Clubs please, and ALL entries must
show the swimmer’s ASA REGISTRATION number.
Swimmers are responsible for reporting to the start on time.
Visiting clubs - please help provide licensed officials to help with the smooth
running of the meet, especially Friday evening. All officials will receive food,

The Meet will run without cards, and swimmers will need to contact the organizer on
07487 861885 if they DO NOT intend to swim, further information will be sent with
acceptance details.
Entries will be considered on a maximum number, per age, per event basis, with a
maximum session time to be considered.

Promoters Conditions
1) Introduction
a) The competition will be held under the Laws and Technical Rules of the ASA. The Meet is a Level
3 Short Course (25m) licensed meet. Licence no. 3WMXXXXX
b) It will be held at Biddulph Valley Leisure Centre on Friday 1st Saturday 2nd and Sunday 3rd July
2016.
c) Proposed session timing and warm up times are shown in the Meet Information, these will be
confirmed once entries have closed.
2) Eligibility & Acceptances
a) Entries will be considered on a maximum number, per age, per event basis, with a maximum
session time to be considered. The promoter reserves the right to restrict entries in the interests of
safety, time constraints, and to ensure the smooth running of the competition. Where this rule is
invoked swimmers from Staffordshire Moorlands shall take precedence.
b) The Meet shall be open to all eligible swimmers who are members of Clubs affiliated to the ASA
WASA or SASA. Entries may also be considered by invitation to foreign competitors.
c) The swimmers age for competition shall be that as at 3rd July 2016.
d) Entrants must have entry times equal to or no faster than the published upper entry time for each
event entered, that time to have been achieved in a licensed competition since 3rd July 2015.
e) Improved times following accepted entry will not be accepted
3) Events
a) All events will be held on a Heat Declared Winner (HDW) basis. Heats will be arranged by
submitted entry times
i) 9 years and over
50m All strokes
200m All strokes
100m Ind. Medley
ii) 10 years and over
50m All Strokes:
100m All strokes + Ind Medley
200m All strokes + Ind. Medley
400m Freestyle + Ind. Medley

4) Entries
a) Entry fees shall be £5.00 per event (£9.00 for 800m and 1500m) if entered electronically via
Sportsystems, or £5.50 per event (£9.50 for 800m and 1500m) if only entered by paper entry.
i) In addition to the electronic entries, a hard (i.e. paper) copy of an entry form must be submitted
by post for each swimmers entry.
b) Paper entries must be made on the Meet Entry Form. There is a separate entry form for male and
female competitors.
c) Electronic entries will be not accepted until the hard copy of the entry form(s) and entry fee have
been received by the Biddulph Competition Secretary.
d) Entry times must be:
i) 25m times, or
ii) 50m times converted to 25m times.
e) All converted times must use the ASA Equivalent Performance Tables (use of the ASA Tables
section on http://www.pullbuoy.co.uk/times/ is permissible).
f) Where times are converted the second decimal place can be disregarded and entry times should
be shown to one decimal place.
g) Entries may be audited against the rankings published by the ASA and any club may be
challenged to demonstrate the authenticity of the information provided. Refunds will not be given
for incorrect entries which will not be accepted.
h) The Promoter reserves the right to restrict entries in the interests of safety, time constraints and to
ensure the smooth running of the competition. Events chosen for restriction will be at the
discretion of the Promoter.
i) Closing date for entries is: Wednesday 1st June 2016.(Please ensure that entries are posted in
sufficient time for delivery. We cannot be responsible for delays in the postal service.)
j) Submission of entries

(1) Electronic entry via Sportsystems Entry Manager V2.
(2) Entry files will be available on Biddulph website (http://www.biddulphasc.co.uk/)
(3) On completion the file should emailed back to [email protected].
(4) Hard copies MUST then be sent by post to the above address accompanied by full entry
fee and A4 SAE for the return of entries and relevant information including postage please.
(5) Entries should be made on the supplied Sportsystems electronic entry files. Clubs that
send paper entries will incur an administrative charge of 50p per entrant. If you need
assistance with electronic entry please get in touch and we will provide support where
possible.
k) Poolside entries will be not be accepted.
l) Accepted entries will be posted on the BASC website
m) It is requested that all Clubs who enter more than 7 swimmers provide at least one licensed official
per session. Additionally, each licensed official will have one swimmer’s events ‘protected’ per
session that they officiate (i.e. in the event that the meet is oversubscribed, that swimmer will not
be rejected from the meet - the official must make the club aware of their willingness to officiate
and the ASA number of the swimmer at the time of entry (Contact: [email protected] )).
1) Awards
a) The Top Boy and Top Girl trophies
i) Top Boy and Top Girl Awards will be awarded on poolside. A Top Club trophy will be presented
to the visiting club gaining the most points. Points will be awarded as follows in each age
group: 1st = 8 points, 2nd = 7 points, 3rd = 6 points, etc. All trophies are perpetual and must be
signed for. In the event of tie, the award will be determined by BAGCATs points
b) Medals
i) Medals will be awarded to the top 3 in each of the following age groups:
9years, 10years, 11years, 12years, 13years, 14years, 15years/over
2) Withdrawals
a) A withdrawal system will be in operation. Competitors or their representatives must inform the
organisers of their intention to withdraw at least one hour before the advertised start of the session
if they do not intend to swim.
b) Notification may be by: telephone message or text message to Jon McAteer on 07487 861885
(Withdrawal messages must state NAME, CLUB, EVENT(s) and COMPETITOR NUMBER), or by
completing a withdrawal form at the pool.
c) Swimmers who fail to withdraw in the prescribed manner shall be removed from that day’s
remaining events in which they have been entered.
3) Coaches/Team Managers
a) Poolside passes will cost £12.00 for the weekend of £6.00 per day for bona-fide Coaches and
Team Managers. This will include a Programme and Heat Start Lists.
b) Poolside passes/wristband must be worn at all times or you will asked to leave the pool deck.
4) Promoters Rights
a) The promoters reserve the right to refuse admission to any competitor or spectator.
b) The order of events may be changed at the discretion of the promoters. However this will only be
done if absolutely necessary and entrants will be notified at the earliest opportunity
c) Anything not covered in the above - or not printed in other meet information will be at the discretion
of the promoters.
Safety and Security Guidelines for Swimmers, Spectators, Officials and
Coaches
Starts
Only swimmers who are competent to the standard of the ASA competitive start
award are permitted to start from the blocks or poolside. All other swimmers
should start in the water.
Access
All persons attending the Meet are required to familiarise themselves with the
safety rules in force at the pool. In particular, the location of all emergency exits
should be noted and these must be kept clear at all times.
Property
Competitors are advised not to leave their belongings unattended and to ensure
that all valuables are placed in a locked locker. Neither Biddulph ASC nor the
Leisure Centre Management can accept responsibility for any property that may
be lost.
Wet swimmers are not allowed in spectator areas. Competitors must cover up
Swimmers
and wear shoes before leaving the pool area.
In accordance with the recommendations of the ASA Child Protection Policy,
Video
Recording/Photography any person wishing to use any video, zoom or close range photography
(including camera phones) should first register their details on the form provided
at the spectator entrance. An identification label will be issued which must be
worn at all times.
Data Protection
Entries will be managed using meet software and by entering the meet all
swimmers give consent, as required by the Data Protection Act, to the holding
and distribution of personal information, required to enable the running of the
meet.
OFFICIALS - WE WOULD APPRECIATE YOUR HELP
We need many officials to run a successful open meet.
It is requested that all Clubs who enter more than 7 swimmers provide at least one licensed official per
session. Additionally, each licensed official will have one swimmer’s events ‘protected’ per session that
they officiate (i.e. in the event that the meet is oversubscribed, that swimmer will not be rejected from the
meet - the official must make the club aware of their willingness to officiate and the ASA number of the
swimmer at the time of entry
