A MESSAGE TO CAMP SACAWANNA PARENTS
The Lebanon Special School District School Age Child Care Program (SACC)
provides
safe,
enriching,
and
quality
care
for
children,
whose
parents/guardians must, out of necessity, work outside their homes. If
enrolled in our summer program, your child will be given the opportunity to
engage in activities that will benefit them emotionally, physically and
educationally. The program strives to offer an environment that includes
crafts, sports, games, art, snacks, music and many more other creative
activities.
The program is:

Conducted and planned by staff trained to meet the needs of children and provide
positive role models.
(2)
Designed to supplement and support the child’s experience at home and at school.
(3)
Not babysitting, but a quality program designed with the working family in mind.
(4)

A non-discriminating organization.
Flexible enough to accommodate children from different age groups and at the same
time fulfill the needs of individuals.

Parents are encouraged to read all aspects of the program policies since these
will be the rules and regulations in which the program is governed by. Please
note all revised notes are in RED.

ENROLLMENT
Enrollment will be limited. In April, parents with children currently enrolled in the
SACC program will receive first priority to register for the Camp Sacawanna
Program. In May, registration will be opened to the public for any remaining spots
available. Please note, that remaining spots may not be at the school your child
attends throughout the school year.
Required age to enroll in Camp Sacawanna:
During the 2016-17 school year, the child must currently be enrolled in a Pre-K
Program. ALL Pre-K/K students must be fully potty trained. Staff to student ratios
dictate that no student can or will be serviced in a one-on-one setting. NO children
will be allowed admittance past the grade or age of an eighth grader.
The following options for summer enrollment for one child will apply:
(1)
Weekly Rate – covers Monday through Friday – cost $70.00 a week
REGARDLESS OF ATTENDANCE. Four days is considered a weekly rate.
(2)
Daily Rate – covers a minimum of two days a week – cost $40.00 a week
REGARDLESS OF ATTENDANCE.
(3)
Daily Rate – covers a maximum of three days a week – cost $60.00 a week
REGARDLESS OF ATTENDANCE
PARENTS/GUARDIANS MUST CHOOSE A WEEKLY OR A DAILY RATE. YOU WILL
BE CHARGED ACCORDING TO YOUR CONTRACTED RATE, REGARDLESS OF
ATTENDANCE.
Parents must note that priority will be given to children currently enrolled in
the SACC program needing full time care.
We will take up to fifty (50) children per site needing full time care. A limited
number of daily spots will also be available per site. There will be a $10.00 nonrefundable registration fee for any NEW students enrolled in Camp Sacawanna. If
you have been in our SACC program or our summer program in the past, this charge
does not apply to you.

The only time charges will not apply will be the one (1) week of allotted
vacation time*.
*NEW POLICY (APRIL 2016):
Your one (1) week allotted vacation time may be used anytime during the
summer program. However, instead of trying to make sure that everyone
gets his or her week at the appropriate time taken, WE WILL NOT
CHARGE TUITION THE FIRST WEEK OF JULY FOR EVERYONE ENROLLED
IN THE PROGRAM. This guarantees that all will receive the one (1) week
allotted for vacation.
To Further Clarify: If you take your allotted one (1) week any other time
other than the first week of July, you will be charged your normal tuition
rate. The first week of July will be the only week not charged. This
covers everyone for his or her allotted one (1) week.
For safety, please still notify the program in writing of the week (a notebook
has been provided on your Parent Table in which to list this information) you
will be using for your vacation, church camp, baseball camp, etc., so that we
will know exactly when to not expect your child(ren) in attendance.

One day before the official start of our summer program. (This is to make the
transition from aftercare to summer care and have staff development training for
summer staff.)


PAYMENTS
As is required during the SACC school year, we will require that children who
plan to attend Camp Sacawanna pre-pay their tuition cost. Basically, we will
expect parents to pay for the week before they receive the services. While we
at SACC appreciate our faithful paying parents, we must choose a method that
guarantees payment before service.
Please Note: If this agreement is not met weekly and balance is not paid as
requested in advance, the child(ren) will not be allowed to attend.

NEW POLICY (MARCH 2015):
A $5.00 per week late fee will be assessed during the summer for anyone who
fails to pay his or her charges past the point of two weeks due. Continuation
into the program is questionable if the account has not been paid in what the
program deems an appropriate time period. Every account should show a
zero balance at the end of each month.
Please note that however you contract, this will be your weekly charge
regardless of attendance. Single days absences will not be deducted.
It is a parent’s responsibility to fill out a Withdrawal Form if they choose to
remove their child from the summer program. Charges will continue until the
program has received the proper notification of removal. Charges will only
stop on your child’s account once this has taken place. Any and all costs
incurred due to collecting unpaid tuition fees, attorney’s fees, court costs, etc.
will be the responsibility of the parents.
ACTIVITY FEE
There will be a summer activity fee of $60.00 per child collected at the time of
registration. This is a non-refundable fee that includes a Fieldtrip T-shirt and
will not be pro-rated. Please note that the summer activity fee must be paid in
full for your child(ren) to be counted in the summer numbers.

RETURNED CHECKS
The Program Director will notify you should an insufficient funds check be
received. There will be a $30.00 service charge per check. After the program
receives two returned checks, we will accept cash or money orders only.
SIGN-IN/SIGN-OUT PROCEDURES
All children must be signed in and out by a parent/guardian daily. This is a
State Department requirement and is mandated. Siblings are not allowed to
sign-in or out unless they are sixteen (16) years old and are listed on your
child’s pick-up list. Please cooperate; remember this is for your child’s safety.
Children will not be released to any person other than those authorized on
registration forms. Authorized person must be sixteen (16) years old or older.
Please use the notebooks (Parent Messages) provided on the Parent Table to
inform the staff if someone other than yourself will be picking up your child
today. This will require your signature. Please have the person selected
prepared to bring in a photo ID to verify identity. They will be asked to supply
it and usually this matter is handled well by persons informed of the
requirement before hand.
Due to the staff receiving more than one message a day, parents are asked to
write this down in the notebook. Camp SACAWANNA reserves the right to call
parents at work and confirm the documented pick-up entry. Please be
prepared for the call and confirmation of the information. This is a sure way to
document/execute the parents wishes.

ILLNESS & MEDICATION POLICIES
Please do not send your child to the program if they have been ill. They must
be fever free for 24 hours before returning without medication.
If your child becomes ill or injured at the program, parents will be notified by
the correct documentation notification. If it’s a serious enough situation they
could be asked to pick them up immediately.
In the event of an emergency, as determined by the program staff, the
paramedics will be called and parents will be notified immediately.
Parents/Guardians will be responsible for all costs incurred in such
emergencies. Accident reports are a Lebanon Special School District required
policy and parents will be asked to sign a report in the event that an injury has
taken place.
State regulation also requires that if a child reports or complains of an illness
or pain, the parent/guardian will be notified and a signature is obtained
concerning the report. (Ex: If your child tells an SACC staff member that their
head hurts, they scratched their finger while playing on the playground, etc.,
parents will be asked to sign an accident/injury report.)
Personnel of the Lebanon Special School District Camp SACAWANNA program
will not routinely administer medication of any form. Medication will be
administered in unique situations, as determined by the Program Director
and/or School Health Director, and limited to those required during program

hours and where a child’s health is dependent upon medical aid. (Examples:
Asthma, Diabetic, Emergency Drug, Epi Pen.)
A child requiring medication during the programs hours of service must be
competent to self-administer with designated supervision.
If medication is required during the summer program, the parent will be
required to follow Lebanon Special School District School Medication Policy.
DISCIPLINE POLICIES
All children entering the program will be expected to follow rules established
by the Lebanon Special School District Board of Education Members “Code of
Conduct” for the sole purpose of safety and smooth operation of the program.
It will be our policy that regardless of weekly or daily
attendance ALL children must abide by the rules and
regulations our program is governed by.
Children who have continual behavior concerns can result in the
parents/guardians being called if the behavior cannot be redirected or
corrected by staff. Sometimes just hearing a parents voice can assist with
behavior concerns. Extreme behavior concerns can and will affect your child’s

safety and in these events the child can be denied access to fieldtrips or as a
last resort, dismissed from the summer program.
Please note that continual behavior concerns can and will result in your
child’s discipline steps being handled by the Program Director and the
Director of Schools using his/her discretion as to the course of action.
It is the sincere wish of the Program Director that parents understand that the
children will be in a group setting of 1:20 ratio (Teacher/Child). State law
mandates these ratios. To ensure your child’s safety and the safety of others,
he/she must be able to follow program guidelines. Failure to meet these
guidelines will result in a loss of summer services. Decisions of this
magnitude will be decided solely by the Program Director and Director of
Schools.
Our staff is committed to positive reinforcement of good behavior. Please
stress the importance of good behavior with your child. Read and discuss the
“Code of Conduct” guidelines with your child. Parents and staff working
together will result in everyone having a great summer.
FIELDTRIP GUIDELINES
Parents/Guardians will be notified of all fieldtrips. Signatures granting
parental permission are required for each individual
fieldtrip. Any child without signed permission will not
be allowed to ride the bus. Daily fieldtrip information
will always be posted on your parent table.

Please be prompt when bringing your child into the program on days when
fieldtrips are planned. Due to state requirements, staff ratio doubles on
fieldtrip days, 1:10 (Teacher/Child). ALL staff is assigned to attend. Therefore,
your child must be on time and counted in the numbers.
NO staff members will be left behind to cover late arrivals or no shows at
time to depart. REPEAT, REPEAT, REPEAT.
No staff members will be left behind; therefore your child must be on time…
Parents, please remember we must leave on time in order to keep on
schedule. If your child arrives after the check has been cut by the Program
Director, you will be asked to pay for your child’s attendance for that fieldtrip.
The planned departure time for each fieldtrip will be posted on your parent
table. PLEASE READ!!!
On swim days your child will need their swimsuit, a towel, sunscreen and a
complete change of clothes. Jimmy Floyd Center requires swim trunks and/or
a bathing suit. NO blue jean shorts allowed. Your child is responsible for all
items brought to swimming.
Parents, if your child is too unwell to swim, please make arrangements for
them to stay somewhere else on swim days. It’s extremely hard to watch a
child sit on the side of the pool and not participate. They are simply miserable.
SACC staff members are not responsible for any lost/stolen items and it is the
program policy that they leave personal items at home.
Inclement weather may cause fieldtrips to be postponed or cancelled. The
Program Director will make all decisions.

Camp SACAWANNA is proud to report that starting in June (look for notice on
the Parent Table) we plan to have an Ice Cream truck come to your child’s
school on Friday’s. The minimum cost is $1.50 and the maximum cost is $5.00.
This is a parent’s choice to participate.
FOOD
Please provide a sack lunch with a drink (staff do not have
access to a drink machine) for your child(ren) daily unless
otherwise notified. The Parent Table will post any days you are not required
to send a sack lunch.
Please do not send meals that need to be heated. SACC does not have daily
access to a microwave.
A morning and afternoon snack/juice will be provided daily. Children can
bring snacks/juices from home but are requested not to share them due to the
possibility of an allergic reaction.
GROUPING OF CHILDREN
Children will be grouped by grades. We will use the grade level completed in
the current 2016-17 school year. Byars Dowdy, Coles Ferry, Castle Heights,
and Sam Houston will host grades Pre-k through 4th.

If numbers allow, Walter J. Baird will host grades *5th – 8th. Please note that
we normally do not have any 8th graders during the summer. Yet, since we
cover that grade during the school year, we find it only fair to offer the service.
*To better prepare our 5th grade students for their next school/SACC
experience, we feel it is beneficial to have them attend Walter J. Baird during
the summer program. This way, they can get to know the teachers and the
routine. However, if Walter J. Baird should not have enough students to open,
5th graders will have the choice of attending their elementary school for the
summer.
During the day the entire group will come together for certain activities. The
child to teacher ratio set by the Department of Education will not exceed 1:20.
Due to the early arrival time provided to our parents, there will be a time set
aside each day that is classified as down time. It is usually at this time that we
view a movie. We do not require them to take naps. This is just a time
provided that allows children to relax and unwind. It will be at this time that
staff shift changes will take place.
TOYS
We strongly discourage parents from letting their children bring toys, video
games, cell phones, etc. from home. Any toys or personal items
brought from home should be labeled. It is your child’s
responsibility to keep up with any such items. Parents allowing such
items to be brought to Camp Sacawanna will accept full
liability/responsibility if damaged, lost, or destroyed.

If electronic games are allowed at your child’s site (“Fun Friday’s), they must
be fully charged. Children will not be allowed to access electrical outlets.
The SACC program, its staff, or Program Director is not responsible for
lost, broken, or stolen items.
CLOTHING
Let your child wear comfortable, inexpensive clothing while at Camp
Sacawanna so that they can enjoy activities and not have to worry about their
outfit. Many summer activities are messy and involve water, clay, paint and/or
mud, etc. Parents, please be mindful of appropriate wear at all times. Shorts
must meet the fingertip guideline. Hands by your side, shorts have to be as
long as your fingertips.
Due to the possibility of bee stings occurring on the playground,
we encourage the children wear tennis shoes. Sandals, flip-flops
or jellies are the perfect shoes for accidents to happen in.
Children in grades Pre-k through 2nd grade are encouraged to always keep a
change of clothes in the event of an accident. While accidents can occur, they
cannot be the daily occurrence due to all children attending must be potty
trained.
Parents: Due to limited storage / square footage that holds each child’s
belongings, PLEASE limit the amount of things they bring from home.
Rule of thumb: If it fits in the box provided, then it stays.
If not, please take it back home.

COMMUNICATION
As stated repeatedly throughout this manual, we encourage parents to take
the time to read material provided on the Parent Table. Information
concerning weekly activities and child supply needs, if any, will always be
posted at this checkpoint. Schedules often change so please check daily. You
may also check our SACC website, www.lssd-sacc.org for updates, pictures,
videos, notices, etc.
