Vestry Meeting Minutes May 19th, 2016
St. Thomas of Canterbury Episcopal Church, Greendale, Wisconsin
Present: Fr. Mark Moore, Rector; Paul Stoving, Senior Warden; Margaret Done, Junior Warden;
Kathie Hein; Gary Heaney; Lisa Chmieliwski, Dave Mecikalski, Kris Reed, Treasurer.
Absent: Joan Lamson; Angie Bier, Clerk; Donna Celsor; Ross Worzalla
Email Motions:
Call to Order: The meeting was called to order at 6:34pm. Father Mark Moore led our
opening Prayer.
A. Group Exercise: Vestry Members discussed ways their Ministries are or aren’t visible to
both the Congregation and the Community, and possible ways of improving that. We
also discussed how we learn and perceive things in different ways, so we need to be
visible in multiple ways
B. Standard Business
Consent Agenda:
Motion: Kathie Hein moved that we accept the consent agenda; Lisa
Chmieliwski seconded the motion; approved by all present.
Task list: Vestry looked over the Task List. Most items were already completed. Vestry
members were asked to look forward to June and July and come prepared for tasks
noted for those months
Calendar: The calendar was gone over and a note made to fix the Canterbury Crafter’s
meeting day
C. Business in Progress
a. Anne Yoker’s Memorial: There is no progress to report. Paul Stoving and Kris
Reed are going to ask their Contact what needs to be done to proceed with
setting up the accounts and depositing the money
b. Review of Norms: Vestry went over the Norms we decided on in February and
were reminded that some of them are slipping.
c. DCDI: Margaret Done handed out a flyer and information on the next class of
DCDI, beginning on November 5-6. We have 3 attending the current term, but
can have different cycles being attended at the same time.
d. Parochial Report: The 2016 Parochial Report was presented.
Motion: A motion to approve the Parochial Report was made by Kathie Hein. It
was seconded by Lisa Chmieliwski. Motion was passed by all present.
D. New Business
a. Agenda: Gary Heaney mentioned that he has been asked about the Vestry
Agenda. He suggested that a paper copy be placed on the bulletin board or be
included in the Bulletin on the Sunday of the Vestry meeting, when at all
possible. Kathie Hein is going to work with the Administrative Assistant to make
this happen, but its success relies on all Vestry members letting the Warden
know ahead of time of anything they want on the Agenda, and for everyone to
get their reports in on time.
b. Vestry Clerk: Angie Bier has resigned as Clerk of the Vestry. The effective date is
after she signs the Parochial Report. Vestry members are asked to canvass the
congregation for someone with basic organization skills who would be willing to
serve as Clerk.
c. Kid’s Closet: Kid’s Closet has shut down, and they have returned the check
Outreach sent them last fall. Outreach will select a similar charity to give the
money to, and announce it to the congregation in case anyone who donated
specifically to Kid’s Closet wants their money returned or directed elsewhere.
d. DCDI Project: The current group of those attending DCDI would like to take on a
reconfiguration of the Narthex as their first project. Ideally, they would like it to
be possible to hold Coffee Hour upstairs. Parish Life has no objection to this goal,
but everyone realizes there are challenges to making that happen without
infringing on the other uses of the space or causing a safety hazard. This will be a
work in progress through November.
e. Brazilian Jiu Jitsu: Fr Mark reported that he was approached by a Jiu Jitsu trainer
about use of STOC’s parish hall to use as he develops his business. Space has
been arranged to store his mats, and an agreement has been made that he’s
sharing the building with STOC groups and can’t make noise to disturb them.
Motion: Gary Heaney moved that we lease out the Parish Hall to the Jiu Jitsu
trainer, pending proof of insurance and liability, and the signing of a contract.
Dave Mecikalski seconded the motion. Approved by all present.
E. Upcoming Dates: The next vestry meeting is Sunday, June 26th ; all reports are due by
June 16th . Requests to remove items from the consent agenda due by June 23rd.
Adjourn: Kathie Hein recited a closing prayer. The meeting was adjourned at 7:55pm.

STOC Vestry Report – Worship – June 2016
Ministry Area: Worship

Changes in the past month:
We are continuing to use Rite II through the summer 9:00 services except on the
third Sunday of each month, which is using Rite II.
Needs for the futureShort Term: Attend the 9:00 service during the summer as much as
possible regardless of worship style and setting.
Long Term: One of our goals this year was to expose ourselves to different
worship styles. Reflect on those that we have used through the past year,
and talk to a worship committee member if there is anything else you’d like
to try.
Next Meeting: Wednesday, August 10th at 6:00 PM

STOC Vestry Report – Finance – June 2016
Ministry Area: Finance

Changes in the past month:
We held a finance and stewardship meeting on Sunday, June 5th, and discussed our
special appeal for the spring of 2016 to help balance the budget, and the
stewardship campaign for this fall. Per vestry motion two months ago, we have
placed a total of $20,000 from Anne Yoker’s memorial into the Combined Fund, a
Diocesan Investment vehicle: $10,000 in the Long Term Investment Pool, and
$10,000 in the Short Term Investment Pool, until we can determine appropriate
actions to do with these monies.
Needs for the futureShort Term: As leaders in our church, think prayerfully as to whether you
can give some extra donations towards balancing the budget if you have not
already done so. Review the budget, and be prepared to discuss it with
others. The stewardship committee will be purchasing books as guides for
our stewardship program, but it is expected that these will fall below $100.
Long Term: The finance and stewardship committee will be kicking off a
stewardship program called New Consecration Sunday later this summer.
Start to think about whether you would like to be a part of this.
Next Meetings: July 24th after the Sunday service

Communications Vestry Report June 2016
Ministry Area: Communications

Changes in the past month: Research has been done and ideas have been proposed
about a possible Announcement Policy.
We are also looking into a possible format change for the weekly bulletins.
Flyers were made to advertise the Rummage Sale. Flyers were also made to be
made available at the rummage sale to let people know STOC service times.
Places to advertise the Rummage Sale (the Patch, online sources) have been noted
and notices are ready to be posted.
The Vestry reports for each meeting are being made available on the website.
There has also been requests from two different people to have the Agenda
available ahead of the meeting, so we’re going to try to have one available on the
bulletin board ahead of the June meeting, as discussed in the May Vestry meeting,
and if at all possible, in that week’s announcements.

Parish Life Vestry Report June 2016
Ministry Area: Parish Life

Changes in the past month: The new coffee hour sign up was a success. Only July
3rd went without a volunteer, and there was positive feedback received about the
new system. It will be used again in the fall.
Plans for the Rummage Sale on Jun 25th are on track. A flyer was posted in
Greendale Library on June 15th, and more flyers will be distributed by Karen
Lezcynski and Marge Hill next week
A cake was provided to celebrate the completion of the Communion Class,
coordinated with that week’s coffee hour hosts

STOC Vestry Report for June 2016
Ministry Area: Outreach

Changes in the past month: We delivered a goodly portion of the clothes
donated by Carol Kelly to the Hospitality Center. We gave them all the shoes and
tee shirts and a bag each of shirts and pants. We also delivered groceries. The
remainder of the clothes as well as clothing donations from other parishioners were
donated to The Red Door ministry at St. James.
In regards to the returned Kid’s Kloset funds, the Outreach committee narrowed
down the possible recipients to bus tokens for Hospitality Center or funding for the
local food pantry for non-food items. We will a final decision very shortly.

Changes in the past month: Sunday School ended on Mother’s Day
Needs for the future: Beginning to consider class structure for next year. A
meeting will be scheduled soon.

STOC Vestry Report for June 2016
Ministry Area: Buildings and Grounds

Mark repaired the lights around the garden area.

Hinge on Grange Ave sign was repaired on the May 14th weekend

Walk path by main entrance was patched with filler to repair deep
cracks along front stoop and by handicap area.
Needs for the future:
Long Term Recommendation
Repaint the lower kitchen area with funds provided by the dollars lift over
from the kitchen fund.
Repaint the lower level of the church, along with the small meeting room.
Discuss how to obtain volunteers on performing the painting task of the lower
level, along with the proper time of year to complete this task.

evangelism and Vision Team. We had to delay a meeting one week. Next month’s meeting there should
