Getting Started
Welcome to Visimeet!
This guide will introduce you to some of the main Visimeet tools and features you will be using
for your course. The guide covers a select number of tools and features but if you would like to
learn more about other features you can refer to the IOCOM Support page found here:
http://www.iocom.com/support/.
Creating an Account & Installation
Create your Visimeet account at “{Unique Link}” be sure to use this link because it will
automatically add you to the {Community Name} Community. {Community Name} Community
provides all students with presence with one another. All students who are part of the
community can communicate with one another without individually adding each classmate as a
personal connection.
Once you create your account you will receive an email to confirm your account and install
Visimeet. If you do not receive this email check your junk mail, if it is not in the folder contact
[email protected]. Follow the instructions in the email.
If you are not using internal audio and video devices be sure to install them before initiating the
Visimeet installation process. You can do this after installing Visimeet but it is best to do so prior
to configuring Visimeet.
Once you have confirmed your account and installed Visimeet the Visimeet Setup Wizard will
launch. If your devices are installed the Wizard will walk you through configuring them. You can
run the Wizard at a later time if your devices are not installed, the Wizard can be found under
the Tools tab.
As with any application, we strongly recommend that you install and test Visimeet prior to your
first meeting. We recommend doing so a day in advance so you can ensure your devices are
properly configured and Visimeet is running smoothly.
Prior to running Visimeet make sure that all other video conferencing applications are closed. If
you are running another service, be sure to exit the application and restart Visimeet. Running
two conferencing services simultaneously can cause audio/video device conflicts because the
devices are being identified by two separate applications and Visimeet may not detect them.
When you launch Visimeet for the first time a Quick Reference will appear, you can view the
Quick References at any time by looking under the Help Tab. These references will help identify
the various Visimeet tools and features.

Joining the Classroom
There are a variety of ways to initiate and join a Visimeeting. For class you will be joining a
dedicated Visimeet Room. Typical Visimeetings have a unique meeting code that changes
when a new meeting is initiated. Visimeet Rooms have a unique meeting code but the code
remains the same for as long as the room exists. The room is connected to the community
making it even more imperative for you to use the link mentioned above to create your account,
if you are not in the community you cannot access the virtual classroom.
The dedicated meeting room can be found under the Meetings Tab-Rooms. Click the room
name to highlight and click “Join” in the bottom right corner.
When you join the room some features and tools may be disabled by your professor.

Meeting Tools
Recorder
Your professor might record a lecture and make it available for future review. If you want to
access a recording that has been shared with you join a meeting (Meetings-Join New Meeting)
and click the icon for the Visimeet Recorder located on Visimeet control panel.
Choose “Shared Recordings” to see the list of recordings that have been shared with you, select
the recording and press the play icon to view the recording.
Meeting Notes
During a lecture your professor might request that you use the meeting chat to ask questions.
Text entered in the meeting chat can be seen by everyone in the meeting. The notes can be
saved to your system by clicking “save” in the upper right corner of the content section

The content tab can also be used to transfer files of any type by dragging and dropping the file
into the content field or using the file search to the left of the send button (

Raise Hand
You can virtually raise your hand to indicate you have a question or would like to participate.
Right click the microphone icon and check “Raise Hand.”
The talk bubble in-line with your name will turn orange to other participants.

Video Layout
Visimeet windows can be moved, resized, and closed to accommodate your display. Other
participants are not made aware of any changes made to video windows; these changes can
only be seen by you.
Move Windows
1. Click and hold the video or desktop share window you would like to move and drag it
where ever you desire and release
There are no requirements or limitations when arranging video windows, shared data, or the
Visimeet panel on your display(s).
Resize Windows
Windows can be resized to accommodate your display size or allow you to make videos or
shared desktops easier to see. There are two ways to resize a video window:
1. Hover over the corner of the window you wish to resize until the resize arrow appears
2. Click and drag the image outward to make the image larger, drag inward to make
smaller
3. Release when the window is the size you want. This option allows you to customize the
size of the window.
Or
1. Click the window you wish to resize
2. On the keyboard press S,M, or L (small, medium, or large)

Close & Open Windows
Video and desktop share windows can be closed and reopened at any time. This enables you to
free space on your display, decrease CPU consumption, or alleviate bandwidth usage.
To close a window:
1. Click
in the upper right hand corner of the window. If you are receiving the video
that you have just closed the user sending it will not be notified.
2. Once you have closed window that you are receiving the camera next to the user’s
name will turn red. This occurs if you close a shared desktop transmission as well.
Note: The camera will only be red on your end; it will not turn red for anyone else unless
they have also closed a window.
3. If you close a window of a video or desktop that you are transmitting, an alert will ask if
you would like to continue transmitting:
If you select “yes” your video or desktop can no longer be seen by other parties. If you select
“no” your video can still be seen by others but will no longer appear on your display.
To reopen a window:
1. Right click the red camera and choose which source you would like to view again. Some
users may only have one option to select if they are only transmitting one video or
desktop. A checkmark next to an option indicates that you are currently viewing it, if
there is no checkmark this means you have closed that item.

Options are not always labeled the same; users can choose the name of the image source or
keep the default names. For example, some cameras may be labeled by number, location, or
brand name.
Bring Windows to Front
During a meeting your windows may become hidden behind other windows whether they are
data share windows or even applications open on your computer.
1. To instantly bring all Visimeet windows to the front, click the large camera on your
Visimeet application panel. All hidden videos will instantly be in front of any other
application windows.
2. To keep windows on top, right click inside the window you would like on top and choose
“Stay On Top”

This can be done to multiple windows. No matter what application window opens, this
window will always remain on top. The window can still be moved anywhere on your
display.
3. To make “Stay on Top” the default setting for all meetings, go to Tools-Options-Video
and select “Windows stay on top”
Receiving Data
When receiving data, such as a PowerPoint or desktop view, you can resize and move this
video to fit your display.
To avoid the need to scroll, right click the data window and select “Fit to Window” and resize the
window.

Joining a Meeting (not for class)
At times you may wish to use Visimeet to collaborate with a peer or use it for non-class related
meetings. You can invite a contact to an instant meeting by selecting their name and clicking
“invite.”
A meeting invitation will appear – to join the user will select “accept.”
Another way to join a meeting is by using a meeting code. If a meeting has been scheduled or is
already in progress, a participant can provide you with the unique meeting code.
Under the Meetings tab enter the code in the empty field and select “Join Meeting.”

Tips & Tricks

If you join a meeting and notice any abnormal behavior try exiting and rejoining the
meeting. Do this under Meeting-Join Last Meeting.

Exit all video conferencing services prior to running Visimeet

Click the large camera icon (

To keep a video window on top of all other windows right click the window and select
“Stay On Top”

When receiving data (a shared desktop or application) right click the window and select
“Fit to Window” and drag the corners to make the window larger and eliminate the need
to scroll

