The location should be a clean place with good ventilation and no dust. Never install the rack where it is too hot, or near electronic noises or electromagnetic fields. • Place the rack near a grounded power socket. • Ensure that the leveling jack at the bottom of the rack has been placed firmly and evenly on the floor so that it can support the entire weight of the rack. Before opening a component of the rack, ensure that the rack is stable. • Install the stabilizer bar before installing the rack. • Install multiple racks in pairs. • Use an Uninterruptible Power Supply (UPS) to protect the RMX from switch-on surge current and peak voltage damages, and to ensure the device can work normally in the event of a power failure. • Before touching a power supply unit, wait until the unit has cooled off. • When not in use, shut down the bracket and board to ensure appropriate cooling. Polycom, Inc. 1 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) 1 Place the RMX product on a stable surface at the installation site. 2 Carefully remove the RMX device from the package. You can install the device in the rack or position it on an even surface. If you choose not to use the rack, place the RMX on a stable, even, and clean surface. To mount the RMX in the rack: — Install rack brackets, supplied by the rack manufacturer, in the rack. — Mount the RMX on top of the rack brackets. — Fasten the RMX to the rack with screws. 3. Connect the cables on the back panel of the RMX. — Power Cable: Firmly insert the plug into the power socket to prevent poor contact. — LAN Cable: Connect to the LAN1 port of the RMX. Before disconnecting from the power source, first turn off the power switch for the device. Do not cut off the power supply or unplug the power cable without turning off the power switch. Configuration Preparation Obtain Network Information Before configuring the RMX for the first time, obtain the following information from the network administrator to configure the RMX on your local network. Polycom, Inc. • Confirm the IP network type (H.323, SIP or H.323&SIP) and related configuration information. • Confirm the following information needed to configure the RMX to your local network: 2 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) — IP address — Subnet mask — Default gateway IP address of the RMX LAN port • (Optional) DNS server address • (Optional) Gatekeeper address, and the H.323 prefix and E.164 number to be assigned to the RMX • (Optional) SIP server address Obtain Product Activation Key Before using the RMX system, you need to activate the device. Follow the procedure below to obtain the product activation key. When you power on and log in to the RMX for the first time, the system displays the Product Activation dialog box requesting a Product Activation Key. 1 Go to http://support.polycom.com. 2 Log in or register for a new account. 3 Select Licensing & Product Registration > Activation/Upgrade. 4 Follow the instructions for each step on the page to generate the activation key. If you are required to enter the License Number and Serial Number for the device, you can find them in the documents included with the purchased RMX device. 5 Record the activation key displayed on the page. First Time Configuration Connect Your Computer to RMX 1 Connect your computer to the LAN1 port of the RMX with a cross-over network cable, or connect your computer and RMX to the same switch in the LAN. The LAN1 port is enabled by default. 2 Turn on the power switch on the RMX. 3 Configure the IP address for your computer. The IP address is in the same network segment as the IP address of the RMX. The default IP address of the RMX before delivery is as follows: — IP address of the LAN1 port - 192.168.1.254 — Subnet Mask - 255.255.255.0 — Default gateway IP address - 192.168.1.1 You can also view the current address information for the device using the RMX Discover tool provided with the device. Polycom, Inc. 3 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) To use the RMX Discover tool: a Run the .exe file in the CD provided with the product. b Click the Discover button to display the current address information of the device. • The discover tool should be saved in the same subnet of the RMX system. • To access the RMX Web user interface, use Internet Explorer 8.0 or 7.0 browsers for the best display quality. • If you are using Internet Explorer 9.0, click Tools > F12 developer tools, select Internet Explorer 8 under Browser Mode and Internet Explorer 8 standards under Document Mode. Quick Installation Setup Wizard Before using the simple conference management system, you need to first configure your system using the setup wizard, such as setting RMX time and creating address book. Simple Conference Management System only applicable on RMX500 Hardware Version A. Product Activation The Product Activation page is used in the following activation cases: • To activate the newly purchased system • To activate the purchased optional function Activating simple conference management system: 1 In the Web browser, enter http://<RMX IP address> in the address bar, and then click Enter. 2 On the Login interface, enter the default User Name (POLYCOM) and Password (POLYCOM). Click Login. 3 Click Product Activation at the top toolbar of the screen. The Product Activation page appears, which lists the serial number, current version number, and other device information. For initial login, the product activation page will appears automatically. Polycom, Inc. 4 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) 4 Enter the activation key obtained in the Activation Key input box on the page. Then, click the Save button to activate the RMX system. • You need to reboot the system for the activation to take effect. • After the device is successfully activated, you can click Maintenance > License information to view total number of resources, RMX version, model type and serial number. Using quick installation setup wizard: 1 In the Web browser, enter http://<RMX IP address> in the address bar, and then click Enter. 2 On the Login interface, enter the default User Name (POLYCOM) and Password (POLYCOM). Click Login. 3 Click screen. 4 Set RMX system time. Select a time synchronization mode: Quick Installation Setup Wizard at the top toolbar of the — Select the Synchronize device time with a time server option to synchronize the system time with a network time server. In this case, enter the IP address or domain name for the time server in the Time Server field. — Select the Synchronize Date & Time with My PC option to synchronize the system time with your computer that is connected to the system. 5 Configure the IP Address, Subnet Mask, and Gateway. You can obtain this information from your network administrator. 6 To configure RMX system information, you can register to Gatekeeper and SIP server. 7 To configure the system to send conference notification email messages to participants, specify whether to use the Internal Mail Serve or an External Mail Server for email delivery. 8 Set Video Quality and Line Rate. When you make new conference reservations, the system configures highest resolution and connection rate in accordance with your settings. 9 Polycom, Inc. If system needs to enable the built-in GAB server, tick Enable Builtin GAB Server checkbox and enter password, if required. 5 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) Use Simple Conference Management System To modify default simple conference management system user password: 1 In the Web browser, enter http://<RMX IP address> in the address bar, and then click Enter. 2 On the Login interface, enter the default User Name (POLYCOM) and Password (POLYCOM). Click Login. 3 Click pane. 4 Follow the on-screen prompts to enter the new password and click OK. Maintenance, click Change Password on the Maintenance Add Contacts to the Address Book 1 Click Address Book> Contacts > New. 2 Enter a name to identify the participant and an email address to use for sending conference notices. You can add up to 100 contacts to the Address Book. Add Endpoints to the Address Book 1 Click Address Book > Endpoints > New. 2 Enter the information about the endpoint. You can set the endpoint type: H.323 or SIP. You can add up to 100 endpoints to the Address Book. Setting up Conferences You can either hold an instant one-time-only conference (Ongoing Conference) or reserve a conference for future use (Future Conference). To reserve a conference: 1 Click New Reservation. 2 Enter a conference name. 3 Set reservation time: Choose a date from the calendar and enter the Start Time and Duration for the conference. Polycom, Inc. 6 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) You do not need to specify a start time for an instant conference. 4 Select one or more participants. You can enter the full name of the participant or enter part of the name and search for matches. Enter names in the Address Book for easy selection of participants. 5 Select one or more endpoints. You can enter the full name of the endpoint or enter part of the name and search for matches. If you do not see a list of endpoints you need to create endpoint list in Address Book firstly. For RMX 500 Hardware Version A with 6 ports, you can add up to 6 endpoints to one conference. The number of endpoints is determined by license controlled port number. 6 Check Email Information Verification information and make changes if necessary. 7 Click Finish. The system sends an email to all participants including the Conference Start Time, Conference End Time, Contacts, and Endpoints. • You can add participants and endpoints prior to the start of the meeting, or you can add endpoints during the meeting. • The dial-in conference ID in the email notification is created automatically by the system. Viewing Conferences You can view all ongoing conferences and related parameters, modify conference settings, and conduct conference control. The title bar of the conference list pane indicates the number of the ongoing conferences. Participants must know the conference ID to join the conference. Start Time Conference start time. Conference End Time The time the conference is expected to end. Control Type of control • Control an ongoing conference. • Control a future conference. For more information, refer to Conference Control on page 8 Delete Deletes the conference. Conference Control You can control an ongoing conference by connecting or disconnecting conference rooms. You can also modify start time for a future conference, participants or endpoints. To control an ongoing conference: 1 Click 2 Click 3 Click one or more endpoints to be controlled. 4 Click the toolbar button for the action you want to take. Button Polycom, Inc. Conference List. Control. Name Description Connect Connect the allocated endpoint to the conference. Disconnect Disconnect the allocated endpoint from the conference. Delete Delete the allocated endpoint. 8 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) Mute Audio Mute the allocated endpoints so that the audio of this endpoint will not be sent to the conference. Unmute Audio Unmute audio of the allocated endpoint. Add Endpoint Add a new endpoint to the current conference. To change the screen layout of an ongoing conference: 1 Click 2 Click 3 Click one or more endpoints. 4 Click Change Layout. 5 Select a layout mode. Layout Conference List. Control. Description Allows the system to choose the multi-screen layout according to the number of added endpoints. Displays the first participant who speak loudest. Displays the first two participants who speak loudest. Displays the first four participants who speak loudest. Displays the first six participants who speak loudest. • If no CP resources are available, the system automatically switches to the video switching conference. • Once switched to video switching conference, when clicking Conference List > Control, you can see Video Switching Conference after the Conference ID, and Change Layout becomes invisible. Control. 9 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) 3 Modify conference time, modify, or add participants or endpoints following the on-screen prompts. Multi-screen Conference and Video Switching Conference On RMX, we support two types of conference modes: the multi-screen conference and the video switching conference: Multi-screen conference (CP conference) The endpoint screen can spontaneously display the images of multiple sites. A user can also choose a preferred multi-screen layout. However, this mode occupies more MCU video resources. When a multi-screen conference is held, the system codes/decodes several channels of video streams with different capabilities, and exports the video with quality at several grades. RMX 500 Hardware Version A supports two channels of video streams. When an endpoint joins the conference, the system will, in accordance with the various channels of video stream parameters, the video protocol, bandwidth, resolution and frame rate, defined by the user, appoint the endpoint to a video stream channel which can match the endpoint's highest capability, so as to optimize the conference video output. The endpoint will access the conference in the pure audio mode when its maximum capability is lower than the parameters defined for all the video streams. Video switching conference When the system has not available multi-screen conference resources, the system will automatically switch to the video switching conference. The system only dispatches the video stream without coding or decoding. Therefore, this mode does not utilize the MCU video resources, and more conferences can be held. In the video switching conference, all the participants' endpoints use the same bandwidth and video capability, and can only display one image at a time. A user can use the voice activation feature to switch to see each conference site or just see a conference site specified by the administrator. The maximum number of video switching conferences supported by the system is equal to the number of participant connection resources available and is not related to the video capability of an endpoint. The video switching conference has the following limitations: Polycom, Inc. • Only one type of conference screen layout is supported. • Settings for the conference skin and Message Overlay are not available. • Settings for the conference name are not available. • The PCM menu is not available. 10 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) Endpoint Number and RMX Behavior When reserving a conference, user select some endpoints during this process. When the conference starts, the corresponding video resources will be located for the conference and this resource can only be released by the system when the conference is deleted or finished itself. Disconnecting or deleting endpoints during the conference will not release video resources. Connecting to a Conference - Dialing Methods To connect an endpoint to the ongoing conference, you can use one of the dialing methods below: • Use the remote control to dial the IP address of the RMX system. If the system is registered to a gatekeeper or SIP server, dial the E.164 prefix or SIP URL to connect to the system, and then enter your conference ID to join a conference as prompted. • Use the remote control to dial directly into the conference. For details, see the content below. H.323 Endpoint For an H.323 endpoint, if the endpoint has been registered to the same gatekeeper as RMX system, the dial-in number consists of the E.164 prefix of RMX system and conference ID. For example: RMX E.164 prefix: 925 ID of the conference to be dialed in: 1001 Then, the endpoint dials 9251001 If the gatekeeper is not configured on the network, the dial-in string consists of the IP address of RMX system and conference ID, separated with ##. For example: RMX IP address: 172.22.30.40 ID of the conference to be dialed in: 1001 Then, the endpoint dials 172.22.30.40##1001 SIP Endpoint For the SIP endpoint, you can use the remote control to directly dial into the conference only when RMX system and the endpoint are registered to the same SIP server. If the endpoint is registered to another SIP server, you can only first call RMX system's SIP URL to set up a connection, and then access the conference by entering the conference ID as prompted. The dial-in number of SIP endpoint consists of the static route domain name of RMX system and conference ID in the form below: <Conference ID>@<RMX static route domain name or RMX IP address> Here, the character within the <> symbols are mandatory. Polycom, Inc. 11 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) For example: RMX system static route domain name: polycom.com ID of the conference to be dialed in: 1001 Then, the endpoint dials 1001@ polycom.com If RMX system is not registered to an SIP server, the dial-in number consists of RMX system's IP address or FQDN and conference ID in the form below: <Conference ID>@<RMX IP address> Here, the character within <> symbols are mandatory For example: RMX system IP address: 172.22.30.40 ID of the conference to be dialed in: 1001 Then, the endpoint dials [email protected] If the conference ID the user entered that does not exist, RMX system will create a new conference with this conference ID. Use the Remote Control to Create a Conference -- Conference on Demand Through the remote control a user can enter the call character string that contains the conference ID, and directly start a new conference. The dialing rule varies, depending on the user's endpoint type, and whether other participants will be invited. H.323 Endpoint For an H.323 endpoint that is registered to the same gate keeper as the RMX system, the dial-in number consists of the E.164 prefix of RMX and conference information, such as the conference ID and participant address, in the following format: <RMX E.164 prefix><Conference ID>[*participant's E.164 prefix] Here, the characters within the <> symbols are mandatory, and those within the [ ] symbols are optional. Talk Hold Time 3S (when the period a participant speaks reaches 3S, the participant becomes the speech giver. The signaling status list is displayed. GK Information Click GK Information to view the endpoints info who register the internal gatekeeper of RMX system. The endpoint's IP, E.164, Status info will be listed here. For better performance of the RMX system, the maximum registration for the internal gatekeeper should be 30. Polycom, Inc. 15 Quick Start for Polycom RMX500 System with Hardware Version A (Simple Conference Management System) System Alerts When an error occurs in the system, the System Alerts function is activated. When a system error occurs, the system alert area blinks red until the problem is solved. Parameter Description Time Shows the date and time when the error occurred. It also shows a severity level identifier for each error (see item Level below) Level Shows the severity level of the error, each level corresponds to an identifier: • Description - Major error • - Minor error • - Startup error Shows the reason of the error with more details View License Information Click License Information on Maintenance pane to view the current device information, including total number of resources, RMX system version, model, and serial number. System Control Polycom, Inc. To restart the system, Click System Reset. Maintenance > System Control > To shut off the device, Click Down. Maintenance > Upgrade Log The system supports logging and can record and save the system information continually. You can save the log files to your local hard disk for system analysis and diagnosis. The log program is activated when the system starts. However, if you manually reboot the system or something goes wrong with the log program (such as a hardware drive error occurs when saving the log files,) the data generated during this period will not be saved. To view the log files, click Logger on Maintenance pane.
