Talent Pools
Objective
This guide explains the Talent Pools feature. It includes information explaining how to invite an
applicant to join a talent pool, how to manage and search the pool, and how to contact job seekers
that are registered in the pool. It also shows you what the talent pool applicants will see.
Introduction
NHS Jobs provides a Talent Pool feature which enables you to invite applicants that were
unsuccessful with their application following interview to join your talent pool. You can search the
talent pool for suitable candidates and contact them through NHS Jobs.
Talent Pool Permissions
Users with ‘Manage applications (HR)’ or ‘Manage applications (Recruiting manager)’ permission will
be able to view, search and add/remove applicants from the talent pool.
These permissions are by default associated with the following system roles:
Recruitment Officer
System Administrator
Recruitment Team Manager
Recruiting Manager
Inviting an Applicant to Join the Talent Pool
The option to invite an applicant to join the talent pool is available when rejecting an applicant after
interview (they cannot be invited to join the talent pool when rejecting at an earlier point in the
recruitment process).
From the applications list, select the applicant(s) that you wish to reject following interview.
Select the ‘Reject’ action. You will then be offered the option to ‘Add to talent pool’.
Note: Only online applicants can be invited to join the talent pool.

After confirming the action, the application status will change to ‘Rejection Pending’.
Note: Invitations to join the talent pool will only be sent to the rejected applicants when the status
of the successful application is changed to ‘Offer Accepted’.
Talent pool categories
The system administrators for your organisation are able to create talent pool categories to help
classify talent pool applicants within locally defined groups.
If you would like to add a category, please contact your local system administrator.
Note for system administrators
As a system administrator, you can add and manage Talent Pool Categories from the Admin area of
your user account. You can have up to 20 categories for your organisation which will be selectable
when adding an applicant to the talent pool.

What Does the Applicant See?
Email invitation
Applicant Account
The applicant will need to log into their NHS Jobs account and select ‘My Pools’ from the ‘My NHS
Jobs’ menu. Options to ‘Accept’ or ‘Reject’ the invitation will be available.
After accepting the invitation the applicant can withdraw from the pool at any time.
Note: Talent pool applicants will automatically be removed from the pool after six months.

Searching the Talent Pool as a Recruiter
Select the ‘Talent Pool’ option on the left hand navigation menu within your NHS Jobs account.
Applicants that have been added to the talent pool will be listed. Any applicants that have not yet
agreed to be in the talent pool will show as ‘Pending’.
Click ‘Search’ in the left hand navigation menu to carry out a specific search for pool
applicants.

Contacting Talent Pool Applicants
You can email talent pool applicants through NHS Jobs. Select the applicants you wish to contact
then click ‘Mail selected applicant(s)’.
Add the message that you would like to send to the selected applicant(s) through NHS Jobs and
select the ‘Send mail’ button.
Note: Make sure you include your contact details if you would like the applicant to respond to the
email, and remember to include the reference number(s) of any vacancies you wish to refer the
applicant to if you’d like to invite them to apply for another relevant post.
