GENERAL INFORMATION
Toronto Beaches Lacrosse Club (TBLC) minor Rep Field teams play in the Ontario Minor Field
Lacrosse League (OMFLL) in both the spring and the fall. The associations involved in the
OMFLL field season can be found on the OMFLL website.

TBLC SPECIFIC INFORMATION
PLAYER/COACH/TRAINER/TEAM MANAGER REGISTRATION

Prior to participating in any tryout, practice, game or on-floor/field lacrosse activity, every
player, team manager and all bench staff must be registered with the OLA
Insurance coverage starts upon registration
Maximum bench staff per game is five. (i.e. four coaches and one trainer)
New players must submit a photocopy of their birth certificate, passport, or other
government issued identifying document
Trainers must ensure a copy of their certification is on file with the TBLC
Coaches must ensure the official (with address) NCCP Transcript with registration form
and/or course certificate photocopy (if they have just taken the course this year) is on file
with the TBLC
All team staff (coaches, trainers and team manager) must have a current copy of their
criminal reference check clearance on file with the TBLC Privacy Officer
COACH/TRAINER CERTIFICATION
All coaches must be certified through the coaching courses offered by the OLA (found on the
OLA website www.ontariolacrosse.com). TBLC will reimburse course fees with prior approval.
Each team must have one certified trainer on the bench. A trainer is considered certified if they
have completed a St. Johns Ambulance or Canadian Red Cross Standard/Emergency First Aid
course, Sport Alliance of Ontario Sports Injury Prevention and Care course, Hockey Trainer’s
Certification Program, or is a medical doctor, registered nurse or first responder. The TBLC will
reimburse up to $50 for a trainer course. If a trainer requires reimbursement, provide a receipt
to the Vice President of Field ([email protected]).
Parents of players can speak directly to the trainer if there is any particular information they
would like him/her to be aware of.
SECURITY CLEARANCE (FOR BENCH STAFF)
All team staff must obtain and provide a criminal reference check. Forms are coordinated
through the TBLC Administrator ([email protected]). Once the cleared form is
received it must be sent to the TBLC Privacy Officer, John Steele
([email protected]).

TRYOUTS
The Facilities Director, in co-operation with the Vice President of Field is responsible for
scheduling tryouts. Tryout sessions are posted on www.beacheslacrosse.com. Each division is
responsible for managing their tryout sessions.
There is a fee charged to all players trying out, which helps the TBLC offset the cost of facilities.
In addition, each player will pay a Club Membership Fee when registering which is a yearly fee
that covers administration costs of the TBLC. If you register for both field and box, you will only
pay this fee once.
A player is only able to step on the floor/field for tryouts if they are registered with the TBLC.
This means each player must register online and pay the registration fee before stepping on
the floor/field. If a player is not registered, they cannot tryout as they are not covered by
insurance.
OFFER LETTERS
Offer letters and conversations about roster decisions are the responsibility of the head coach.
All roster decisions must be approved by the Vice President of Field before letters are sent.
The head coach will send an offer letter to each player that makes the team. The offer letter
should include information about the coaching staff, what type of commitment will be required
and a request for the player to respond to the offer within a few days. It should be on approved
TBLC letterhead.
The head coach will also inform those players that did not make the team of their decision.
ROSTER
A list of team staff (coaches, trainers and team manager) needs to be submitted to the Field
Registrar ([email protected]) and Vice President of Field with phone and
email contact information as soon as the positions are approved.
The maximum number of players on an OMFLL game sheet (U-11 to U-17) is 23. Depending on
the number of players available in an age group the Vice President of Field may ask that the
number of players a team has on its roster be under the league maximum. Currently U-9 (tyke)
field is played seven versus seven (with modified rules) which means the rosters are usually 14
or fewer players.
Your final OMFLL Official roster must be submitted in electronic format by the OMFLL specified
date. You will receive an email from the Vice President of Field with the roster template and
due date. Once completed, return the roster to the Vice President of Field
([email protected]) who will send in to the OMFLL on behalf of the TBLC.

The Vice President of Field must approve any call-up players used during the season. Call-ups
may only be from the next lower age group and no more than three call-ups may be used per
game. They must be clearly marked on the game sheet. No player is allowed to win two
Provincial Championships in one year so be mindful of this if you are calling up for a Provincial
game. Call-ups are not allowed in the Fall program.
COMMUNICATIONS
The team manager should set up an easy way to ensure all parents receive the schedule for the
season as well as track availability and send notes throughout the season. Some teams use
web-based platforms such as Teamsnap. If a platform is chosen that has a fee for which you
require reimbursement, money will need to be collected from team parents. This will not be
managed through the TBLC set fees.
If your team has good news or information they would like to share with the broader lacrosse
community, they can do so through the TBLC Webmaster ([email protected])
who can share news on the TBLC website, Facebook page or Twitter account.
Note: Use of the TBLC logo for communication purposes must be approved by the Webmaster
to ensure consistency and quality of the TBLC brand.
SIGNED OLA FORMS (aka “Cards”)
Team managers will receive OLA forms for all players and team staff from the Field Registrar or
Club Administrator. These are referred to as “cards”.
Team managers must have the cards with them to present at field provincials before every
game or when requested. These cards are extremely important to have so ensure that you
double check that you have one for each player and team staff, they are all signed properly and
the information included on each is correct. If there are any discrepancies or concerns, contact
the Field Registrar ([email protected]) immediately. Players/Coaches WILL
NOT be allowed on the field without this card.
In addition, even if a coach is a certified trainer, he/she cannot act as a trainer unless his/her
card specifically says coach AND trainer. There can only be one person acting as trainer on the
bench. You may ask any TBLC coach/trainer to be on the bench as long as they have an
approved OLA card and you have it with you at the game.

SCHEDULING: GENERAL
Any requests for changes to the practice scheduled, including extra practice time, cancellations
or switches must be sent to both the Facilities Director ([email protected]) and
the Vice President of Field who will ensure that field time is available and that all the
appropriate parties are engaged. TBLC can run into trouble with permits from the City of
Toronto for field times not being used, so it is very important to work with the Facilities Director
and the Vice President of Field in all scheduling matters.
SCHEDULING: PRACTICES
The schedule for practices will be released as soon as possible after the tryouts once the
master schedule is set. Generally, there are two practices per week. The majority of practices
are at the Cherry Beach Sports Fields.
SCHEDULING: GAMES
Games are scheduled by the leagues (OMFLL and OJMFLL) and are posted on their websites.
There will be at least two games on one day each week, generally Saturday or Sunday. Players
must play 50% of games to qualify for Provincials.
Spring season OMFLL A-Loop teams will play in a round of Qualifiers at the end of the regular
season, scheduled by the OMFLL. Spring Provincials are held the Victoria Day Long Weekend.
Fall season OMFLL provincials are on Thanksgiving weekend. OJMFLL provincials are on either
the last weekend of October or the first weekend of November.
UNIFORMS
The TBLC Apparel Director ([email protected]), in partnership with the Vice
President of Field, handles all requests for jerseys and shorts. It is the responsibility of the
team manager to advise the Vice President of Field and the Apparel Director how many
jerseys/shorts are needed as well as jersey numbers. Parents will be able to pay for jerseys and
shorts online when they pay the player fee. Team managers must track the jerseys/shorts
ordered and handed out so reconciliation can be done of online payments.
Each player will purchase a jersey and shorts that will be theirs to keep. If they have either
from the previous year that are in good condition and still fits they do not need to purchase
new ones. TBLC has committed to keeping jersey designs in place for a minimum of three years
to avoid players needing to purchase a new jersey every year and to create a consistent brand.
Sometimes this results in two players having the same number. The general rule is that the
older player can keep the number. The Vice President of Field will assist in getting a
replacement jersey for the other player.

APPAREL (“SWAG”)
Teams wishing to order other off-field apparel from the current TBLC offering must contact the
Apparel Director ([email protected]). Large orders should be placed as early as
possible as TBLC does not keep a large inventory. Lead times for some items can be as long as
three to four weeks.
All apparel and use of the TBLC logo must be approved by the Apparel Director. If a team wants
to order non-standard off-field clothing or swag that is not provided by the TBLC, they must
contact the Apparel Director as early in the season as possible and comply with the following:

Provide a description of the item(s)
Make and model number if applicable
Have all artwork and the application process reviewed and approved by the Apparel
Director
Work with Apparel Director for assistance in sourcing/ordering/art production
Include a small mark-up cost to the custom item which will be contributed to the TBLC
Note: The Club receives nominal revenue on all “swag” items bearing the TBLC logo. The
Apparel Director can provide more information.
EQUIPMENT
The TBLC Equipment Manager ([email protected]) handles all requests for
goalie and player equipment. In some cases equipment is provided by the TBLC. All requests for
equipment from the TBLC should go through the Equipment Manager and the Vice President
for Field.
Each team will receive a set amount of balls from the TBLC. These can all be obtained from the
Vice President of Rep Field.
Ensure all players and bench staff are aware that all players MUST wear a CSA approved helmet
and a mouth guard whenever they step on the field.
Equipment that is loaned to players/coaches by the TBLC must be returned promptly at the end
of the season.

TEAM FEES
All field teams have a set budget managed by TBLC. The fee per player covers: OMFLL and OLA
fees, two dozen lacrosse balls, $50 trainer course reimbursement, fields for tryouts and
practices and non-parent coach honorariums. There is a slight difference in the fee for each
team due to the following: not all teams play in the Jammer tournament, “A-loop” teams may
incur extra expense due to fees for “A-loop” Provincials, etc.
If your team chooses to incur additional costs (Teamsnap, team events, tent, pinnies, etc.),
these should be collected by the manager from parents separate from the player fee. These
expenses will not be managed through the TBLC.
Team managers must ensure that parents pay their player fee on the online registration system
(https://admin.sportzsoft.com/apps/regWeb.dll/Login?OrgId=3354). Parents should login to
the system and register for the applicable team (listed by age and coach name). If a parent
prefers to pay by cash or cheque, please collect and ensure the TBLC Administrator receives
payment as soon as possible.
Set Fees per Age Group:
U-9 $195
U-11 through U15 “1” $215
U-17 “1” $235
U-11 through U-17 “2” $195
THE JAMMER CLASSIC
The Jammer Classic tournament is the unofficial start of the Spring Field season. The
tournament takes place the weekend before the OMFLL season starts and is hosted by the
TBLC. Beaches “1” teams from all age levels are invited to play in the tournament. Coaching
staff will receive the invite and schedule from the Vice President of Field.
GAME RESPONSIBILITIES: (GAME SHEETS, GAME BALLS, GAME VOLUNTEERS)
It is the responsibility of the team manager to fill out the game sheet and have the coaching
staff sign the game sheet before each game. The game sheet can be found at a table that will
be set up on the coaches’ side of the field.
Every team must provide a Timekeeper (stopwatch is required) or Scorekeeper (bring a backup
pen) for their game. Each team must provide a Ball Runner (and 4 balls) on the end line. The
home team must also provide a clean game ball. Generally, instructions for Timekeeper and
Scorekeeper are provided in a box located with the game sheets at the officials table.

What may not be understood about these responsibilities is that they are off field officials. This
means that the volunteers should not be coaching on the bench side or end lines and they
should not be cheering loudly or questioning referee calls. For this small timeframe, they are an
off-field official and should be working in partnership with the on-field officials.
MAJOR PENALTIES/SUSPENSIONS
The OLA and league rules dictate that suspensions may be imposed if a major penalty is
assessed.
Suspensions must be served in the next scheduled games after the suspension is assessed (i.e.
you cannot schedule exhibition games after the fact to burn off a suspension). Clearly indicate
on the game sheets that a player is serving a suspension (e.g. 2 of 3 games).
It is good practice to email the TBLC Referee in Chief ([email protected]), Vice
President of Field ([email protected]) and the TBLC President
([email protected]) immediately after a game where a possible suspension has
happened. Most major penalties result in at least a one game suspension. Do not let a player
into a game if they are suspended.
FINES: LEAGUE AND OLA
If a player or coach receives a major penalty the league will assess a fine as per its Policy
Papers. The league or the OLA notifies TBLC of the fine. The TBLC will pay the fine and then will
bill the offender for the fine. It is TBLC policy that individuals are responsible for their own fines
not the team. All fines must be paid before the player or coach is allowed on the bench again.
A-LOOP QUALIFIERS
Spring OMFLL teams that are in the A-Loop will play a round of qualifiers at the end of the
regular season in order to move on to the Provincials.
PROVINCIALS
The Spring OMFLL Provincial Championships are held every Victoria Day long weekend; the fall
season OMFLL provincials are on Thanksgiving weekend. OJMFLL provincials are on the last
weekend of October or the first weekend of November.
Ensure that you bring the OLA cards with you for each player and bench staff and have them
with you at all times throughout the Provincials.

You will be required to fill out the game sheet for each game. League reps will have copies of
the game sheets at a central location at each venue. Ensure that the bench staff visit the
registration area to sign the game sheet before each game. Typically, the last team to fill out
the game sheet brings it over to the field.
You are required to provide a scorekeeper or timekeeper and a ball runner (and balls) for each
game. Supplies may not be provided so ensure to bring something to use as a timer, a pen and
a clipboard.
Game times can often start early or late, so ensure your team is at the field and ready to play
with plenty of time. The OMFLL reserves the right to make late schedule changes; you can
check the schedule at the OMFLL tent as well as confirm whether your team is going further in
the tournament.
AFTER THE SEASON
Once the season is over, the team manager is responsible for the following:
• Return all equipment (goalie equipment, long poles, nets etc.) borrowed from the TBLC
• Cancel Teamsnap or other accounts
MANUAL UPDATING PROCESS
This TBLC Rep Field Team Manager Manual will be updated annually to ensure content,
processes, and web links are correct. The TBLC Secretary will review and update at least once a
year between November and January.

FINAL NOTE
This team manager’s guide is not intended to be all inclusive of rules or other guidelines. Team
managers are expected to be resourceful in sourcing out information on the TBLC website, the
OMFLL website and the OLA website. You can also speak to any of the TBLC Board Executives
and other team managers – they are all willing to help out.
