(Use Introduction to CareDirector User Guide to set your Dashboard) My Activities Assigned to Team j. Any outstanding Tasks or Case Notes Referrals that are Assigned to Team that are waiting to be allocated to a Social Worker Closure Requests Referrals that have had closure requested on them awaiting Team Manager Sign Off Don’t forget you can use your Views Forms Awaiting Manager Sign off Current Referrals Forms marked complete by the Owner that are awaiting Closure/Sign off 2 A list of all the current Referrals being worked in the team A View is a filter applied to a list of records. Each list of records in CareDirector has a View that filters the data displayed. In Dashboards you can change your views to see different teams, activities or data s You can choose different views from a drop-down list, which contain all the records or activities of a particular type or that are a subset TEAM MANAGERS BIBLE CAREDIRECTOR ALLOCATING WORK KEY WORKER  Referrals that are assigned to the team but awaiting a Key Worker, will be in your Dashboards under: Assigned to Team Once Allocated this will come out of your Dashboard and into the Key Workers Dashboard j. 1 – From your Dashboard in Assigned to Team, double click the blank part of the record to view the Referral (If you wish to also view the Person record click once on the name) 2 – In the Referral Scroll down to Assignment Information. Change the status from Assigned to Team to: Allocated for Assessment Continued  3 TEAM MANAGERS BIBLE CAREDIRECTOR 3 – Go to the Ribbon at the top 7 – Click Save & Close of your screen Click: 4 – Tick Assign to another User Assign or team Use the Lookup field to search for User 5 – Leave all the boxes BLANK 6 – Click OK 4 TEAM MANAGERS BIBLE CAREDIRECTOR SECONDARY WORKER  Secondary Workers are added under the Referral. The referral could be opened via your Dashboards or from a Person Search j. Check you are in the referral 2 – Click Connect on the Ribbon 1 – Click Involvements on the Navigation Pane Continued  5 j. TEAM MANAGERS BIBLE CAREDIRECTOR 6 – Save & Close Make sure the LOOK FOR is set to USER before you search 1 – Use the Lookup Field to add the Case Member 5 – Add an Involvement Status 4 – Set the Involvement 2 – Set the Role to Secondary Worker 3 – Add a Start Date Reason to Co-Working Use the Description box to add any relevant notes j. Once the Involvement has ended uses this screen to add End Date and Reason. This will remove the User as a Secondary Worker 6 j. TEAM MANAGERS BIBLE CAREDIRECTOR CLOSING REFERRALS AUTHORISING CLOSURE OF A REFERRAL  This is a 2 step process: Step 1 – Closure Request from the allocated worker / admin - Step 2 - Approval or rejection of closure by Team Manager Once the Request has been placed the referral will be added to your dashboard under Closure Requested If there are lots of requests – remember you can use the Quick Search Box 1 – Double Click the Record to open the referral 2 – Scroll down the screen to Assignment Information 4 – Add the Team Manager who is approving the closure using the Lookup Field 7 This will take you into the referral 3 – Change Status to Closed Fully using the look up function 5 – Add the Archive date 6 – Save and Close (on the Ribbon) TEAM MANAGERS BIBLE CAREDIRECTOR REJECTING CLOSURE OF A REFERRAL  If you reject a closure request – the case will remain open and show in the allocated workers Dashboard for completion Once the Request has been placed the referral will be added to your dashboard under Closure Requested If there are lots of requests – remember you can use the Quick Search Box 1 – Double Click the Record to open the referral This will take you into the referral 2 – Scroll down the screen to Assignment Information 3 – Change Status to Closure Request Rejected using the look up function 4 – Add any relevant notes if applicable 8 5 – Save and Close (on the Ribbon) TEAM MANAGERS BIBLE CAREDIRECTOR REOPENING A CLOSED REFERRAL  Open the Referral from your Workplace using Referral Search 1 –Click the Reactivate Case on the Ribbon j. 2 –Confirm if you wish to Reactivate: The case status will now revert to Assigned to Team; and the Key Team/Worker will be the owner of the case when it was closed. Click OK You can now Allocate for Assessment A Case Note or Task can be added under the Referral explaining the reason for reopening and assigned to Worker if applicable 9 TEAM MANAGERS BIBLE CAREDIRECTOR APPROVING FORMS AUTHORISING CLOSURE OF A FORM  When the Owner of the form sets the status of the Form to Complete, it will automatically populate your dashboards waiting for sign off . Once completed this will come out of your Dashboard (and only if rejected go back into the Key Workers Dashboard) j. 1 – From your Dashboard in Forms Awaiting Manager Signoff, double click the blank part of the record to go to the Form Please Note: currently the dashboard will show all forms waiting sign off from all teams, you can order the forms by team or check the view to show only your team Continued  10 TEAM MANAGERS BIBLE CAREDIRECTOR To View the Form: Click Edit Form on the Ribbon 3 – Save & Close 2 – Once the form has been viewed and you are happy for it to be closed: 3 – Insert Team Manager Name and Sign Off Date Change the Status from Complete to CLOSED 11 TEAM MANAGERS BIBLE CAREDIRECTOR To View the Form: REJECTING CLOSURE OF A FORM Click Edit Form on the Ribbon 3 – Save & Close 2 – Once the form has been viewed and if you are not happy for it to be closed Change the Status from Complete to IN PROGRESS 12 The form will now populate the Dashboard of the Original Lead Assessor to complete TEAM MANAGERS BIBLE CAREDIRECTOR TRANSFERRING REFERRALS BETWEEN TEAMS AND TO A SECURE TEAM  Follow these steps if you are Transferring a Referral between Teams (not including Secure teams) Open the Referral from your Workplace using Person Search j. j. 1 – In the Referral Scroll down to Assignment Information. Change the status from Assigned to Team to: Assigned to Team Continued  13 TEAM MANAGERS BIBLE CAREDIRECTOR 2 – Go to the Ribbon at the top 6 – Click Save & Close of your screen Click: 3 – Tick Assign to another User Assign or team Use the Lookup field to search for TEAM 4 – Leave all the boxes BLANK 5 – Click OK 14 TEAM MANAGERS BIBLE CAREDIRECTOR FROM A SECURE TEAM (TO A NON-SECURE TEAM)  Follow these steps if you are Transferring from a Secure Team to a non-Secure Team Open the Referral from your Workplace using Person Search j. j. 1 – In the Referral Scroll down to Assignment Information. Change the status from Assigned to Team to: Assigned to Team 15 TEAM MANAGERS BIBLE CAREDIRECTOR 2 – Go to the Ribbon at the top 6 – Click Save & Close of your screen Click: 3 – Tick Assign to another User Assign or team Use the Lookup field to search for TEAM 4 – Tick the boxes EXCLUDING: Case Notes Attachments Forms Inactive Records Related Secure Records 5 – Click OK 16 TEAM MANAGERS BIBLE CAREDIRECTOR TRANSFERRING FROM CIC OR S&P TO CIC ADOPTION OR S&P ADOPTION SECURE TEAM  If a Child in Care is placed for Adoption the record needs to be transferred into the CiC Adoption Secure Business unit Open the Referral j.2 – Tick Assign to another User 1 – Go to the Ribbon at the top or team of your screen Use the Lookup field to search for TEAM: CiC Adoption, S&P Adoption1 or S&P Adoption 2 Click: Assign 4 – Leave all the boxes BLANK 3 – Click OK 17 5 – Click OK TEAM MANAGERS BIBLE CAREDIRECTOR The Assignment information should now show as Allocated for Assessment, the Key Team should remain as the Original Team and the Key Worker will now show as The Secure Team i.e. CiC adoption or Safeguarding and Permanence Adoption 6 – Save & Close YOU NOW HAVE TO ADD THE KEY WORKER UNDER INVOLVEMENTS Make sure the LOOK FOR is set to USER before you search 1 – Use the Lookup Field to add the Case Member 5 – Add an Involvement Status 2 – Set the Role to Secondary Worker18 4 – Set the Involvement Reason SECURE PRIMARY WORKER to 3 – Add a Start Date
