To provide an effective and efficient level of cross College
administrative support across the areas of curriculum, student
services and quality.
Main Responsibilities

To provide excellent levels of clerical and administrative support
including, but not exclusive to, document processing,
photocopying, maintenance of filing systems, data entry fielding
telephone calls and taking messages.

To act as a first contact for student services, curriculum and
quality and signpost enquirers to appropriate support.

To provide a professional and effective reception provision,
demonstrating excellent customer service skills when acting as
the first point of contact for students, parents, visitors and
external agencies.

To assist with setting up College events, presentations and other
activities.

To maintain and update College records as appropriate.
Responsibilities

The production of documents and reports etc using the full
Microsoft Office applications including: Word, Excel, PowerPoint
and diary management.

Effectively use and interpret information from College systems
which may include Pro Monitor, Pro Achieve, Pro Observe and
the timetabling system.

Data entry, gathering/presenting numerical/statistical data and
College data, to prepare reports and to monitor projects as
appropriate.

Maintenance and development of systems and procedures in
both paper/electronic formats to ensure they are organised and
up to date.

Meeting arrangements, detailed minuting of meetings and the
monitoring of action points arising from the meetings.

Operate the College switchboard system ensuring telephone
enquiries are dealt with promptly including where necessary the
taking and relay of messages.

Deal with general enquiries from applicants, their families, staff,
students and visitors including email and telephone enquiries.

Have involvement as required in the administration / organisation
of College events.

Act as first point of contact for and respond professionally
signposting as appropriate to queries from students, parents and
colleagues.

Arrange and facilitate meetings as requested with colleagues,
students, parents and external agencies.

Support the monitoring of student attendance, maintaining and
ensuring the accuracy of student records. Assist in the following
up of student absences, taking action where necessary to
support and ensure continuous and effective implementation of
the attendance policy, marking registers, when requested.

Experience of working in an administration environment is
desirable as is the ability to demonstrate initiative with a
creative outlook to problem solving.
Experience of working with ICT packages to include
Microsoft office, internet etc.
Good interpersonal skills to enable effective
communication with students and staff at all levels.
Ability to demonstrate a high level of attention to detail.
Ability to work independently and share knowledge as part
of a small team.
Ability to prioritise a busy and diverse workload to ensure
services are delivered to meet time constraints.
Ability to work collaboratively with colleagues and carry out
tasks effectively, knowing when to seek help, support and
advice.
Ability to demonstrate a positive, friendly and ‘can-do’
attitude towards dealing with colleagues and students and
resolving issues to provide excellent customer care.

At least 4 GCSEs grade C or above including English Language

Apprenticeship Framework Level 3 and undertake training as
deemed appropriate for the post.
