Monitoring and mentoring of the participant: The job supervisor shall be responsible for student’s tutoring and assessment according to this agreement. The supervisor at the college/workplace: - guides and advises the student on labour protection and occupational safety. introduces the student to the working methods in the class room or work place. discusses the tasks the student needs to learn with him/her when needed . follows the student’s working performance during the period. confirms with his/her signature student’s working days and hours during the period. contacts the teacher if needed. issues a Certificate of Partcipation or Job Certificate to the student after the period. gives feedback on the period to Hyria Education and completes the evaluation forms. The teacher shall participate in tutoring and evaluating the student during the period according to this agreement in the following ways: - the teacher gives the student written instructions for reporting and keeping of the learning diary/blog. the teacher will maintain contact with the student and provide tutoring through email/blog. if necessary, the teacher will maintain contact with the receiving organisation's contact person and job supervisor, especially in the beginning and the end of the period. if the student is taking the skills demonstration/competence test the teacher responsible for period gives the evaluation forms and criteria to the job supervisor and to the student. the teacher will collect the evaluation material and will give the final grade based on the given facts. Evaluation and validation of the study/training period: Work placement with skills demonstration or competence tests When the student during the work placement period abroad demonstrates the skills required in practical work assignments and activities in a competence test he or she is assessed by the job supervisor according to the qualification-specific requirements. The teacher responsible for work placement sends the evaluation criteria to the job supervisor and provides instructions for the necessary procedures. Work placement without skills demonstration If the student does not take a competence test she or he is assessed according to the target country’s assessment criteria by the job supervisor. When the assessment differs from the home country’s assessment, the teacher will inform the student of the differences. Student assessment is continuous; the student is to obtain tutoring and encouraging feedback regularly from the employer and/or host-organisation during the work placement period. In the event that the work responsibilities differ significantly from what was agreed, the teacher responsible for the work placement and the job supervisor will discuss methods to acquire the competence and, if necessary, change the objectives. At the end of the period, the job supervisor provides his or her assessment using an evaluation form for student work placement during an evaluation discussion with the student. The student participates in the assessment by evaluating his or her own performance. The competence assessed in the target country will be recognised and validated as a part of the student's studies in the home country. The student delivers the Evaluation Form, a Job Certificate or/and a Certificate of Participation and a timesheet to his or her teacher. The teacher responsible for work placement recognises the student’s acquired skills based on a feedback discussion, evaluation form, the learning diary/blog, communication during the work placement period and potential skills demonstration/competence test. If necessary, the guidance counsellor will help with providing recognition, but the teacher responsible for the work placement is responsible for the assessment. The teacher or the head of education then validates the competence according instruction for competence recognition and validation. 3. INSURANCES The Student is covered by Hyria Education’s accident insurance, general third party liability insurance (damage caused to others) and statutory workers’ compensation insurance during the study period. Define the envisaged learning outcomes of the mobility period in terms of knowledge, skills and competences to be developed. If you send learners who face barriers to mobility, special arrangements for those individuals must be made (eg those with special learning needs or those with physical disabilities). Prepare participants in collaboration with partner organisations for the practical, professional and cultural life of the host country, in particular through language training tailored to meet their occupational needs. Manage the practical elements around the mobility, taking care of the organisation of travel, accommodation, necessary insurances, safety and protection, visa applications, social security, mentoring and support, preparatory visits on-site etc. Establish the Learning Agreement with the participant trainee and the host organisation to make the intended learning outcomes transparent for all parties involved. Establish assessment procedures together with the host organisation to ensure the validation and recognition of the knowledge, skills and competences acquired. Establish appropriate communication channels to be put in place during the duration of the mobility and make these clear to participant and the host organisation. When necessary for special learning needs or physical disabilities, use accompanying persons during the stay in the host country, taking care of practical arrangements. Arrange and document together with the host organisation, the assessment of the learning outcomes, picking up on the informal and non-formal learning where possible. Recognise learning outcomes, which were not originally planned but still achieved during the mobility. Evaluate with each participant their personal and professional development following the period abroad. Recognise the accrued learning outcomes. Disseminate the results of the mobility projects as widely as possible. Self-evaluate the mobility as a whole to see whether it has obtained its objectives and desired results. Obligations of the Sending and Host Organisation Negotiate a tailor-made training programme for each participant. Define the envisaged learning outcomes of the mobility period in terms of knowledge, skills and competences to be developed. Establish the Learning Agreement with the participant trainee to make the intended learning outcomes transparent for all parties involved. Establish appropriate communication channels to be put in place during the duration of the mobility and make these clear to participant. Agree monitoring and mentoring arrangements. Evaluate the progress of the mobility on an on-going basis and take appropriate action if required. Arrange and document the assessment of the learning outcomes, picking up on the informal and non-formal learning where possible. Recognise learning outcomes which were not originally planned but still achieved during the mobility. Obligations of the Host Organisation Foster understanding of the culture and mentality of the host country. Assign to participants tasks and responsibilities to match their knowledge, skills and competences and training objectives as set out in the Learning Agreement and ensure that appropriate equipment and support is available. Identify a tutor or mentor to monitor the participant's training progress. 4 LEARNING AGREEMENT FOR A STUDY PERIOD and QUALITY COMMITMENT (Erasmus+ -programme) 5 (5) Provide practical support if required including a clear contact point for trainees that face difficulties. Check the appropriate insurance cover for each participant. Obligations of the Participant Establish the Learning Agreement with the sending organisation and the host organisation to make the intended learning outcomes transparent for all parties involved. Comply with all the arrangements negotiated for the training placement and to do his/her best to make the placement a success. Abide by the rules and regulations of the host organisation, its normal working hours, code of conduct and rules of confidentiality. Communicate with the sending organisation and host organisation about any problems or changes regarding the training placement. Submit a report in the specified format, together with requested supporting documentation in respect of costs, at the end of the training placement. 5
