The first two buttons take you to additional menu pages (Student Information and Advisor Menu) FERPA Reminder Please be reminded that as an employee of Temple University with access to student records that you are bound by FERPA. You may not release student information other than what is considered directory information. If you have questions about what directory information is, please see Temple University’s policy on the “Confidentiality of Student Records. You may not acquire student information that you do not need to do your job, nor should you disclose/release information about students that you may have learned while performing your job. Student Information Menu Search for a student and retrieve program and contact information. General Student Information Overview of student’s program and current registration status. A Note About Menus in SSB Navigating between Student Information and Advisor Menu Academic History Lists all classes taken at Temple, in transfer, and in-progress View Holds, RAP Codes, Student Codes Be sure you check for Holds if a student is having difficulty with registration. View Holds, RAP Codes, Student Codes Student codes inform you of registration eligibility (e.g. clearances/candidacy) and special cohorts (e.g. sports/honors). RAP Codes Intro If a RAP code appears, you can provide that code to the student to allow him/her to selfregister. RAP Codes / PINs: Student Groups 1.New Undergrad students: issued at orientation 2.Students on Warning or Probation- Advising Unit can give students on Warning the RAP code after meeting with them but will not issue the code to those students on Probation. 3.Athletes and Honors- students with Sports Codes and those with an Honors Cohort code are assigned a code so that they can have Priority Registration. The code is supplied by their departments 4.International Students- RAP code is applied after second week of class so that they can not withdraw without seeing an advisor first 5. Non-degree Graduate students (if registered in current semester). RAP Codes: Scenario Why would a student in the College of Education need a RAP code? RAP Code Lookup If a RAP code appears, you can provide that code to the student to allow him/her to selfregister. 9-Credit Limit for Non-Degree Change Max Hours (overload permission) Enter the number of credits the student is approved to take so the student can register themselves Add/Drop Classes [Student Registration] REASONS NOT TO REGISTER A STUDENT REASONS TO REGISTER A STUDENT Not your class [never!] Change variable credit course Holds Enter “permission only” course Creating financial obligation Trying to “jump the queue” Countering other advice Drop a Course Add or Drop Classes is on both Faculty/Advisor Menu AND Student Information Menu Add or Drop a Course Use Add or Drop Classes to withdraw from classes (between 3rd and 9th week) (student uses this also). If a WITHDRAWAL is selected, the class can NOT be added back on SSB…must contact Registrar’s office Registration History Shows registration and withdrawal for current semesters –does not show drops Registration Error / Override “If I register a student for a class and get a ‘Registration Error,’ what happens? “ The Trouble with Overrides “How did Janey get in my class?!“ Registration Override IF an Advisor has approval to enter the override, select the appropriate code Override remains for this student/course, even if situation changes! If a student self registered and needs to increase credits (for Independent Study, for example), Advisor will need to drop the course and add it back Administratively and then change the credits. Course level (UG/GR/PR) always defaults to the level of the student’s degree program regardless of the course number. Student’s are billed according to their degree program. If the COURSE LEVEL is changed from Undergraduate to Graduate, it will be recorded in a Graduate Transcript and therefore will be part of the Graduate GPA and Graduate record. Likewise, if the COURSE LEVEL is changed from Graduate to Undergraduate, it will be recorded in the Undergraduate Transcript and be recorded in the Undergraduate GPA and the Undergraduate Record.
