MUSIC ON MAIN VENDOR PROGRAM Music on Main returns to Victor City Park for its 9th season of music, community, and FOOD! Our kick-off show will be Thursday, June 26th and our closing concert August 14th – a total of 7 shows with no show on July 3rd. Last year, Music on Main experienced tremendous growth, averaging 3,500 attendees per show with a high attendance of 4,000. We are looking at 10 vendors again this year with the breakdown below. FEE STRUCTURE / VENDORS PER SHOW Food Vendors - $125 per show – 7 total food vendors per show Dessert Vendors - $100 per show – 3 total dessert vendors per show Music on Main will try to give everyone an opportunity to participate. Due to the reduced number of slots, vendors may not be offered a space on all the nights they request. We will give preference to the following: Music on Main Sponsors Vendors who have supported the Teton Valley Foundation and its programs (Music on Main, Kotler Ice Arena, etc.) via cash and in-kind donations Established local, “brick and mortar” operations Vendors with a strong track record of performance, dependability, and quality (Conversely, a vendor’s poor past performance will be taken into account) *Vendors are encouraged to limit the number of offerings on proposed menus. Music on Main is a madhouse when the crowd is at its peak size on Thursday nights. The more focused your food offerings are, the more you can streamline your production, serve more people, and limit the amount of time people spend looking at your menu when you are ready to take their order. *Music on Main will make every reasonable effort to include as many vendors as possible in the series in an equitable distribution of the dates of the series. *Vendors will be paired as needed to provide a diverse offering of foods. *Music on Main retains the right to deny vendor applications based on the criteria described above, based on availability, and based on any other relevant considerations. *If you would like your restaurant to be listed in the Music on Main Playbill Dining Guide, contact Aska Langman at the Valley Citizen at [email protected]. It is only $115 for the entire season. This is a resource that tourists and residents have access to all over the region. Erica Linnell Executive Director MUSIC ON MAIN VENDOR RULES AND REGULATIONS 1. Vendors are required to arrive between 4:00 and 5:00 pm for set up. 2. Weekly Vendor spaces will be pre-assigned. Vendors will receive the full schedule, vendor space maps, and location assignments at least one week before the first show. Vendors are responsible for knowing where they are setting up prior to arrival. 3. Victor City Park Vendor Areas We are currently evaluating the best layout for us to place vendors. We will be sure to let you know the final plan for 2014 prior to the first concert. We are evaluating whether or not we will place vendors on the east, west and north sides of the park, or if we will shift the plan to only use two sides of the park. In the meantime, below is a description of set up for all three locations. a. East Side of the Park i. Vendor spaces will be lined up along the Eastern Fence of the Park ii. Vendors can pull their vehicles into the parking lot behind the Library to unload, then must promptly remove their vehicles from that area. iii. If you need to drop off additional food supplies during the show, you can use this same access, but you must coordinate with Security personnel in advance so they are aware of your plans. DO EVERYTHING YOU CAN TO HAVE ENOUGH SUPPLIES WITHOUT RESTOCKING (the back parking lot becomes quite crowded and it is dangerous to use vehicles in the area during the show.) iv. Vendor spaces have access to power. Vendor spaces do not have water. v. NO VEHICLES OR TRAILERS MAY DRIVE OR SET UP ON THE GRASS IN THIS AREA OF THE PARK. b. West Side of Park & Kids Area i. Vendor Sites will be lined up along the Kids Area fence and along the Western Fence on the Main St. side of the Park ii. Vendors can pull their vehicles into the parking lot behind the Library to unload, then must promptly remove their vehicles from that area. iii. If you need to drop off additional food supplies during the show, you can use this same access, but you must coordinate with Security personnel in advance so they are aware of your plans. DO EVERYTHING YOU CAN TO HAVE ENOUGH SUPPLIES WITHOUT RESTOCKING (the back parking lot becomes quite crowded and it is dangerous to use vehicles in the area during the show.) iv. Some vendor spaces in this area have access to power, some do not. Please make your power needs known in your application. Vendor spaces do not have water. v. NO VEHICLES OR TRAILERS MAY DRIVE OR SET UP ON THE GRASS OR SIDEWALK IN THIS AREA OF THE PARK. c. North Side of Park – Birch Street Parking Lane – Trailer Vendors Area i. This is the only area where Vendors with Trailer operations are allowed. ii. Trailers may not occupy more than 25 lineal feet (including tongue and hitch) of sidewalk frontage on the serving side of their trailer that faces the Park. iii. Vendors will be directed into place by on-site staff beginning promptly at 4:00 PM. Vendors will be asked to arrive in a specific order, with 5 minute increments, to facilitate proper placement of trailers. iv. Towing vehicles will need to be detached and parked next to trailers. Other vehicles will need to park elsewhere. v. All trailers and towing vehicles will be fenced into the park, so there will be no access in or out of this vendor area. vi. This area also houses all sound/stage/production activity and heavy pedestrian foot traffic from parking areas, so it is imperative that vendors arrive on time so Music on Main can properly secure this side of the park. vii. Vendor spaces have access to power. Vendor spaces do not have water. viii. NO VEHICLES OR TRAILERS MAY DRIVE OR SET UP ON THE GRASS OR SIDEWALK IN THIS AREA OF THE PARK. 4. Opening Act begins at 6:00 p.m. 5. Vendors are responsible for making their own change for customer purchases. 6. Vendors are responsible for collection and payment of sales tax as required by law. Vendors are also responsible for securing a business license from the City of Victor, as required by City regulations. Vendors must provide at least one 50ft extension cord and a splitter for their own power needs. Power will be provided to a location within 50 feet of all vendor spaces, but not directly to every site. 8. Vendors who miss a show, without at least seven (7) days notice, will lose all remaining dates in the current season without a refund of fees, and will not be considered in the future, no exceptions. 9. Vendors may be required to sell specific beverage products due to major sponsorship. 10. We strongly encourage vendors to use compostable napkins, plates, bowls, cups, and silverware for all food and beverages served to patrons. This helps reduce waste and encourages recycling. 11. No Alcohol is to be sold or consumed on the premises other than that legally sold by Music on Main and the Teton Valley Foundation under a State issued permit. 12. Vendors must comply with Board of Health regulations regarding food vending, including a current license to vend. VENDORS MUST OBTAIN HEALTH DEPARTMENT APPROVAL, TWO WEEKS PRIOR TO DATES THEY ARE SCHEDULED TO VEND AT MUSIC ON MAIN. 14. Vendors are required to pick up trash and food around their vending site after every show. It is often quite dark by the time the concerts end, but it is each vendor’s responsibility to ensure that the area around their site is in the same condition as when they found it. 15. Failure to comply with the above rules will result in your vending slots being given to another compliant vendor. 16. Vendor fees must be paid in full by June 6, 2014, NO EXCEPTIONS. a. Failure to pay vendor fees by June 6, 2014 will result in reassignment of vendor spaces. Vendors can pay by cash or check made payable to the Teton Valley Foundation.
