TEAM MEETINGS:
Availability - Our team will meet once a week outside of class time. If someone is unable to attend a
meeting they must inform the other members of the team at least 24 hours in advance (unless
exceptional circumstances apply). They are responsible for reading the Minutes and catching up.
Agenda - Each meeting will discuss the individual progress and the set deadlines. We will review the
tasks to be done, ensuring that there is an appropriate amount of work to be done each week.
Weekly meetings will also provide a venue to discuss concerns and further discuss missed
specifications. The agenda will be created and emailed to all the members at least 24 hours before
the meeting.
Minutes - Minutes will be taken by the Secretary. The minutes will be uploaded to Google Docs as a
new page within 2 days of the meeting. Minutes will be approved at the successive meeting.
Decision Making - Decisions will be made by majority rule through voting. If a vote ends in a 50/50
split the professor will be consulted for advice.
Communication Between Meetings - The team will communicate primarily through email and will
use phones or texting if needed. All documents will be shared through Google Docs.
RESPONSIBILITIES:
Team Responsibilities






All team members are expected to have their tasks completed by the assigned date as
agreed upon by the team.
Overall project decisions cannot be changed unless there are concerns among the team
members. If concerns exist, the team must discuss the changes and reasons with the
professor before instituting them.
Small changes regarding an individual's tasks that do not affect the other members of the
team may be changed by that individual.
All members must accurately record the time spent on individual tasks.
When a task is completed the team member must record as arranged by the team and
inform the other team members.
Team members must treat all other team members with respect and integrity. All criticism
should be constructive and politely delivered.
Project Manager: Name one person

Oversee the entire project and ensure that the team works well together and is completing
the necessary tasks according to schedule, as established by the team/professor.
Communicate with the professor, and team members as necessary.
Assist the Secretary
Assist any of the other team members when needed.
Create and email the agenda and meeting location to the other team members at least 24
hours in advance to the meeting.

Manage the creation of screen flow diagrams and story boards.
FAILURE TO FULFILL OBLIGATIONS:
Missed Classes and/or Meetings - If a team member is unable to attend a meeting, they must tell
the team at least 24 hours in advance (unless in exceptional circumstances). They will be responsible
for reading the Minutes and catching up.
Persistent Failure to Attend Classes and/or Meetings - If a team member misses more than two
meetings, the team will approach the professor regarding the member's behaviour.
Late for a Class and/or Meeting - If a team member is unable to arrive on time to a meeting, they
must notify the other team members in advance. If a team member arrives late without any valid
reason, they are responsible for bringing a snack for the whole team to the next meeting. If a team
member is persistently late, the team may approach the professor.
Failure to Complete Work - If the incomplete task was needed by another team member or if the
team member did not give any notice of being unable to complete their tasks, that team member is
given a warning. After 2 warnings the team may talk to the professor.
Persistent Failure (3 or more) - The team may meet with the professor to discuss adjusted marks for
the team member who persistently fails to complete their tasks.
