GPDocs Version 1

GPDocs Version 1.1 from informatiks
Whilst we take great care with our software, you use this at your own risk. Please read the
full EULA for GPDocs, which you accept you are bound by when installing this software.
GPDocs has been written to facilitate the use of EMIS Wordmerge functionality. Many users
are daunted when they are faced with the prospect of navigating sub-directories of the
MSWDocs directory containing the Word documents.
GPDocs offers a user-friendly treestructure to enable easy selection of a
Word document. The directories can
be readily navigated using mouseclicks to expand and contract
directories at will.
Additionally, radio-button options
enable GPDocs to be customised so
that only sub-directories and
documents relevant to the user are
displayed.
The result is that all staff readily
adapt to using Microsoft Word as the
default wordprocessor in EMIS.
GPDocs is an evolving program and
this is the initial release. Extra
functionality will be added to version
1.1.
Install the DOT.NET framework. Download this from Microsoft unless it has been provided
for you:- Microsoft .NET Framework Version 1.1 Redistributable Package dotnetfx.exe.http://www.microsoft.com/downloads/details.aspx?FamilyID=262d25e3-f5894842-8157-034d1e7cf3a3&displaylang=en
Follow the prompts during the installation and re-boot your PC when asked.

Setting up GPDocs
Make sure that you have installed the
dotnet framework as instructed above.
1. GPDocs allows you to view PDF
files.
2. Install GPDocs using the
installation package provided to
you.
3. Startup GPDocs.
4. ‘Settings’ tab loads.
5. The screen displayed is to the
right.
6. Select ‘With Patient’
7. Click on the Computer icon – this
should enter the name of your
EMIS server automatically.
8. If it does not insert your server
name manually – e.g. emis1952
into the top textbox.
9. The lower textbox should be set
with the correct name of the
documents sub-directory – i.e.
MSWDocs.
10. SAVE Settings!
11. Click on the Make Directories
button which will create
directories for you on your server
in the MSWDocs directory. This
WILL NOT create problems on
your server, or copy any files to it.
If these directories already exist,
then these will be utilised.
Alternatively create these
directories yourself – see below.
12. Click on ‘Documents’ to go to the
main screen of GPDocs.
13. Select which area you wish to be
your default area – e.g. GP.
14. Select the ‘Settings’ tab again and
click on ‘Save’ to save your
settings.
15. Close GPDocs down and then
start the program up again.

Creating Directories (Folders) on EMIS
Setting up GPDocs is relatively simple.
Version 1.1 requires you to create a
number of subdirectories on the EMIS
server in the MSWDocs directory where
your word documents reside.
NO files are written to your server during
this process.
Alternatively, create these sub-directories
manually prior to starting GPDocs. The
easiest way to do this is through the
EMIS system. From the Main Menu or
Consultation mode use the following
keystrokes:1. F3 WP W M
2. This brings up the MSWDocs
sub-directory.
3. Create the following subdirectories.
a. GP
b. Nurse
c. Admin
d. PM
e. Others
f. Results
g. PILS
h. Intranet
i. Referral Letters
j. Travel
4. Place the documents that you
require for the relevant user in
these subdirectories.
Creating Subdirectories.
Creating directories in Windows is
relatively simple. Click on your R mousebutton to display a context menu. Select
‘New’ from the displayed options and
then ‘Folder’ from the subsequent menu.
Enter the relevant text into the text box –
e.g. GP Nurse or Admin. Click outside of
the text box with your mouse to save this
name. Repeat this process to create the
remaining directories (Folders).
You can also create further directories or
Folders within these directories. Click
twice on any directory that you have
created above, and then follow the same
process above.

Using GPDocs
GPDocs is very intuitive to use. Merely
expand or contract the directory icons
to show the sub-directories in each
area, along with the relevant
documents.
Select the document that you wish to
load, and reply to the prompt asking if
you wish to use the document. It then
loads into Word, and you can then use
the Word functionality in EMIS that
you would generally use.
Selecting With patient in the ‘Settings’
tab loads the Word document and
merges the patient details. Selecting the
‘Without Patient option loads the
document allowing you to edit the
original document that you can then
save back to the directory.

Using the Radio Option buttons
One of the strengths of GPDocs is the
facility allowing you to customise
GPDocs to display documents specific to
one group of users.
There are 11 radio-buttons at the bottom
of the main screen allowing the user to
display their directory of documents.
They still have the ability to view the
other directories using the option buttons,
and the ‘All’ option displays the entire
MSWDocs directory.
If you are a GP – click on the GP radiobutton. Go to the ‘Settings’ tab and click
on save. The next time you start GPDocs,
it will load to display the GP subdirectory as the default display.
Using this option correctly ‘hides’
documents from users who have little or
no expertise of ‘Windows’ and helps
them to adjust to using MS Word.
Giving documents obvious descriptive
names helps the user further to adapt to
the graphical interface.

Using the Intranet & PILS Directories.
A further strength of GPDocs is that it can form a repository, enabling you to place a
variety of documents that your staff can readily access. In this way it can act as a
useful mini intranet, along with an area for placing any PILS leaflets that you have
acquired.
Variety of document formats.
These two areas are not restrained to using RTF or Word documents. The following
file formats can be displayed and printed:1.
2.
3.
4.
5.
6.
7.
8.
Word – RTF & Doc.
Excel
Powerpoint

Acrobat PDF files
Visio files.

I already have a number of ideas for the next version of GPDocs, but if you would like to see
a feature, then please let me know.
