Database Evidence
I have chosen to do the
data type as ‘Text’ as we
are using words for
listing the food items.
I have chosen to make the
field size 20 to fit in the
food names. This means it is
big enough to put in the
data, but not so big that
you can not fit any more
data in.
I chose Lookup wizard, so
that I can create a drop
down box for the 7 food
groups. This means it is
quick and easy to use in
the database.
I have typed in the 7 values I want,
“FT” “VG” “MT” “FH” “CG” “DY”
“BP” this will put them in a drop
down box to make it easy to pick
the desirable food group.
I have chosen
field size 2
because we
are only using
a code of 2
letters.
I have included a
validation rule so
that you can only
type in the specific
values. This makes it
easier to collect the
correct information.
The validation text
means a message
will appear if they
type in an unknown
value.
I have chosen text for the
Unit field as the unit is
not measured in numbers
but words/letters.
I have chosen the field size of
15 as the Unit are not long
words or just a couple of a
letters.
I have chosen the Data type
‘Number’ as the Quantity is
measured in numeric form.
The field size has to be set
to Integer as we are dealing
with numbers so does not
have the usual field size of
putting in a specific number
of characters.
I have chosen the data
type of ‘Number’ as the
carbs is measured in
numeric form.
I have chosen the field
size as ‘Double’ as we
are dealing with
decimals so this is the
format for when using
them.
I have chosen the date type as
‘Number’ as the field is
measured in numeric form.
I have chosen the field size
as ‘Integer’ as we are using
whole numbers for this field.
I have chosen the Data
Type ‘Number’ because we
are dealing with Numeric
form for this field.
I have chosen ‘Double’ as
we are dealing with
decimals and this is the
format when using them.
I have chosen the Date
Type ‘Number’ because
we are dealing with
Numeric Form for this
field.
I have chosen the field size
as ‘Integer’ because we are
dealing with numbers
rather then letters so this is
the format we need to use.
Importing the Data
After I have imported
my text file my
database is now
complete and ready
to use. When I have
imported my data I
can see if my
validation rules and
date types are correct
by looking at the
values in my columns.
I have been given a text file which
provides me with all the
information of all the different
foods I need to include into my
database. This means I need to
import it as a Text file to make
sure it works. If I don’t my
database will go wrong.
Testing
I tested my database to make
sure that you could only type
in the specific food groups. I
typed in the letters “BD” and
as expected a warning box
came up explaining that it
was not an item in the list.
This proves to me that my
database is working. My
validation rule also prevents
typing in more then two
letters so we are not taking
up too much space.
My validation rule prevents
anyone typing in words
into the quantity section.
This is because I set it to
integer which is numerical
values only. By typing in
“eighty” instead of 80 it
shows that my validation
has worked.
Queries
My first query was a healthy fruit based desert, so I had to put in certain
criteria for it to be just right.
I had used the food group “FT” in my query this means only fruit will come
up. I have also put in <35 calories which means the fruit will have low calorie
content which makes it healthier.

My second query is food preferences in sensible portions. I got my research
from my survey and found out that the favourite food group was meat.

I typed in the food group as “Mt” and typed in <80 to show lower
then 80 calories so that it is not an excessive portion of meat. Small
portions are healthier.

My final query was on main courses. The main course had to be from the
good group that was least popular as part of the try something new
scheme. From my survey I found that vegetables were my least popular.

I typed in the food group “VG” as it was the least popular food group and
then under 20 calories so it is healthy for the eater.
Creating Reports
Changing a query to a report turns it into a new format which is
easier to see and print out for people to look at.
When I had made my report
I had to turn it into a pdf
file so it was easier to view.
