JOB DESCRIPTION
NZ SECONDARY SCHOOL CHAMPIONSHIPS TOURNAMENT DIRECTOR
The NZSSUC Tournament Director (TD) is a leadership role responsible for the overall organising and
actual day to day management during the running of the event. Tournaments do not happen without
quality leadership. The TD will organise, lead and manage a team of volunteers in all tournament
phases from pre-event planning, in-event management and post event evaluation.
The TD will be appointed to run the Event on behalf of NZU. The tournament will be run in a similar
way to the other NZU National Championships events, and therefore the Championship Tournament
Manual will be used as a basis for the organisation of the event, with variations as required to take into
account the unique aspects of running a schools tournament.
The TD will work closely with the NZU Schools Committee to ensure a successful event.

Main Objectives
1.
Delivering a quality New Zealand Ultimate Championship Event.
2.
Ensuring satisfaction of the players, spectators, sponsors, schools, and other stakeholders.
3.
Increasing positive visibility for NZU and the sport of Ultimate via its Championship Events.
4.
Creating a life-long love of the sport by the players, coaches, parents through a fantastic
tournament experience.

Key Tasks

Establish
a

event and recruit volunteers to assist in the
organisation and running of the Event.
TOC established with the required skills. Ideally
seven (7) months out from the Event.

Create and manage the Event budget.
Board approves the Event budget.
Tournament is delivered within budget.
3.
Book fields/venue and source required
equipment.
Quality venue booked seven (7) months prior to
the Event.
Sufficient equipment organised within budget.
4.
Manage team entry and player registration
process.
Team entries are confirmed three (3) weeks out
from the event.
All players are properly registered for the
tournament in line with NZSSSC regulations
prior to the manager’s meeting.
5.
Communicate with all teams/schools via
email, Facebook and the NZUC website
with the Event details.
Event details are clearly communicated in a
timely manner.
6.
Prepare and distribute game schedules.
The seeding and draw will be provided by
the designated NZU Events Co-ordinator.
Game schedule creates a fair and robust
competition for the National Championships.
Game schedule is available at least two (2)
weeks before the Event

Publicise Event
Event is promoted heavily through all NZU
channels and also to the public.

Prepare Team/player packs

Liaise with the NZU Treasurer to arrange
for invoices for the schools involved and
ensure all income is collected and
expenses are paid.

Key Skills and Experience

Must be able to manage projects independently and prioritise tasks.

Experience managing people and/or events

Able to delegate responsibility and track work of others.

Excellent knowledge of Ultimate

Budgeting and financial management

Access to internet; skype/email

Proficient in Microsoft Office (including Word, Outlook, Excel and PowerPoint)

Excellent interpersonal and excellent verbal, written, and organisational skills required.
Time Commitment
Variable dependant on the stage in the organising process. The TD is required to be present at the
Event throughout its duration in a non-playing capacity.
Remuneration
The role is a volunteer position, but reasonable costs incurred by the TD while carrying out their role
will be covered by NZU and should be covered in the budget (eg. Travel to and from the venue,
accommodation, meals, petrol, phone calls).
Appointment Process
The NZU Schools Committee will advertise for and consider written applications.
Witten applications should contain all information deemed necessary to support the application; brief
CV, references, written testimonials, etc (max. 1 A4 page).
Where no applications are received, the Board will look to co-opt a suitable person to the role.
Duration of Appointment
From the time of appointment (approximately seven (7) months prior to the Event) until the submission
of final accounts and Event report (approximately six (6) weeks after the Event).
Reporting
The TD reports to the NZU Schools Committee through the committee Chairperson. Four (4) reports
are required to be submitted at regular intervals by the TD prior to the Event. At the completion of the
Event the TD is to submit their final report including the final accounts and the player/membership data
to the NZU Board. Report templates will be supplied by NZU.
Removal Process
The Tournament Director may resign at any time with four weeks written notice.
The NZU Board may remove the Tournament Director from the role if performance is not in line with
the outcomes noted in this job description. Notice to remove the Tournament Director should include
clear indications of the actions or omissions leading to the removal. Where the Tournament Director
can demonstrate that the issue identified can be remedied to the Board’s satisfaction, the notice to
remove the TD should be cancelled.
