HIRE FAQs
What do I need to hire a vehicle?
You’ll need to bring all of the following documentation with you at
the time you hire the vehicle from us:

What size of vehicle can I drive if I have a standard driving
licence?
1) Your driver’s licence
You must have a current full driver’s licence which you’ve held for at
least 12 months. This period will be longer for MVPs and minibuses
(endorsements and restrictions permitting).
If you passed your driving test after 1 January 1997
To drive vehicles up to and including 3.5 tonne GVW, Category B
entitlement applies. To drive a 7.5 tonne GVW vehicle, Category C1
entitlement is required. You’ll need to take a further test to achieve
this category if you don’t have this.
You’ll also need a standard goods vehicle operator’s licence if you’re
hiring a vehicle over 3.5 tonnes and carrying other people’s goods for
sale or reward. If this is the case, you must present this at the time of
hire. If you don’t have this licence, you can apply for one at https://
www.gov.uk/being-a-goods-vehicle-operator/apply-for-a-licence
If you passed your driving test before 1 January 1997
You’re usually automatically entitled to Category C1 if you passed
your driving test before 1 January 1997. If you’re in doubt, please
check your driving licence. Alternatively, you can check your driving
category at www.gov.uk/view-driving-licence.
However, you won’t need this type of licence if you’re transporting
your own goods, and they’re not for sale or reward (for example, if
you’re moving house).
Non-UK licence holders
Category B normally applies. If you’re in any doubt, please check at
www.gov.uk/driving-nongb-licence.
Non-EU driving licences may require an International Driver Licence
for translation. If you have a non-EU driving licence we’d advise you
to check if you’re eligible to drive in the UK, as certain restrictions
apply if you’ve been resident in the UK for more than 12 months. You
can do this on the GOV.UK website
What’s included in the price?
• All prices are subject to VAT at the current standard rate
• There are no hidden extras and no extra mileage charges
• All prices exclude insurance. If you require insurance cover, please
select this on the optional extras page at the time of booking.
An excess surcharge will be payable if you make a claim, but this
will be waived if you pay the small charge for a collision damage
waiver (CDW) at the time of hire. Please note - for each additional
driver, there will be an additional daily insurance fee. This is
outlined on the optional extras page.
• Vehicle checks will be conducted at collection and after return
of the vehicle. Any damage caused to the vehicle during the hire
period, outside of allowances, will incur a charge. This will be
deducted from your deposit.
• We do offer a vehicle delivery and collection service, please call
our office for more information.
Important information for UK driving licence holders
You must produce either your photocard driving licence or an old
paper-style licence. Please note that the paper counterpart driving
licence was abolished on 8 June 2015*.
All driving records are now stored digitally by the DVLA, and you’ll
need to get an access code from them so we can check your driving
record. You can get this code at www.gov.uk/view-driving-licence
[free of charge], or by calling 0300 083 0013 from 8am- 7pm Monday
to Friday or 8am-2pm on Saturday (choose the ‘online application’
option). Remember that your access code is case-sensitive, can only
be used once and is valid for 21 days.
Underneath the code you’ll see a link to print your driver summary.
If you have access to a printer, please print it and bring it with you
when collecting your vehicle, as this will save you time. You must
produce the access code or driver summary at the time of hire.
*Changes from 8 June 2015 in GB to the paper counterpart of driving
licences don’t affect driving licences issued by the DVA in Northern
Ireland. Northern Ireland driving licences still require both the plastic
photocard and paper counterpart.
2) Two further types of identification
These should confirm your current address. Suitable items include
bank or credit card statements, or utility bills dated within the past
6-8 weeks. Online bills or statements that you’ve printed out are
also acceptable as long as they show your current address and a
recent date. Alternatively, you can email the online bill or statement
to us from your smartphone when you collect your vehicle. We can’t
accept passports for this purpose as they don’t contain a printed
address.
If you have a non-photocard driving licence, you’ll need to bring
additional photographic ID with you (a passport is acceptable here).
Please note that the above also applies to all additional drivers.
If you’re a non-UK resident or visitor, you must bring the following:
• Your driving licence and International Driving Permit (where
applicable)
• Proof of where you’re staying in the UK (such as your hotel
booking confirmation or printed verification or a family member’s
address if you’re staying with them)
• Evidence of your return travel (such as your flight confirmation
document)
• Your passport
All payments must be made with the hirer’s credit card.
3) A credit or debit card
You’ll need to pay the hire charge and deposit by credit or debit card
at the start of the hire period. If the cardholder won’t be there when
the vehicle is collected, please contact us beforehand.
How old do I have to be, and how long do I have to have held my
driving licence?
To hire a light van or commercial vehicle, you need to be aged at
least 21 and have held a driving licence for a minimum of 12 months.
Please note that if you wish to take out insurance cover with us
(provided by Insure care hire), you must be aged 25 or over.
What happens about fuel?
All vehicles leave our premises with a full tank of fuel. The fuel level
will be noted on the pre-collection vehicle inspection sheet and
signed off by both the hirer and the FAW representative.
Please make sure you’re aware of the type of fuel required before you
leave, and return the vehicle with a full tank (or to the level stated
on the vehicle inspection sheet). If not, you’ll be charged for the
missing fuel.
Can I take the vehicle out of the UK?
No - our vehicles can only be used on the UK mainland unless you’ve
made prior arrangements with us. In these cases, additional charges
and requirements will apply. More details are available on request.
How much deposit will I need to pay?
Deposits vary depending on whether you took out CDW (collision
damage waiver) at the time of hire. Please call us to check before
picking up your vehicle, as you’ll need to pay the deposit as well
as the rental charges at the time of hire. If you have booked online
and have already paid the rental charges, your deposit will still need
to be paid at time of collection*. Please note that if you have any
endorsements you may have to pay a larger deposit.
We’ll refund your deposits when you return the vehicle, as long as:
• It’s within the hire period
• The vehicle is full of fuel (or to the level stated on the vehicle
inspection sheet)
• There are no insurance excess claims.
• There is no damage to the vehicle outside of fair “wear and tear”
allowances.
We’ll deduct any additional charges from the deposit.
*Deposits must be paid by credit or debit card. We cannot accept
deposits paid by cash or cheque. If you choose to have your vehicle
delivered and collected, we will contact you to arrange deposit
payment over the phone.
How much is the insurance excess?
Our insurance is provided by Insure car hire. Insurance excesses vary
on a number of factors such as age and licence endorsements. You
will be advised of your insurance excess on collection of the vehicle
and this will be outlined in the documentation provided to you.
You’re responsible for any damage, loss sustained or third party
claim against the vehicle, and are liable to pay the insurance excess
in this event.
What is the collision damage waiver (CDW?)
If you make an insurance claim, the collision damage waiver (or CDW,
for short) can reduce your deposit or excess, or protect you from
losing your deposit altogether.
You can take out a CDW by paying an additional amount at the time
of hire – we’ll advise on the cost at this time. Please note, however,
that the CDW doesn’t cover you for the loss of or damage to tyres,
wheels, keys and audio equipment; fuel contamination or the theft
of contents. It’s also worth noting that the cover only applies to one
single incident or accident. And if you want a replacement vehicle,
you’ll need to pay another full deposit.
If you’re hiring one of our vehicles, you’ll only be eligible for a CDW if
you hold a full UK licence, are at least aged 25 and have a satisfactory
driving record.
CDWs aren’t available to non-UK licence holders, as we can’t check
for driving endorsements or restrictions.
Is windscreen cover included?
Any damage to the windscreen is your responsibility unless you take
out a collision damage waiver (CDW) at the time of hire.

Can I add another driver?
Yes, you can have additional drivers however there will be an
additional insurance fee to pay per driver per day. This fee is outlined
on the optional extras page on our online booking system. Additional
drivers must be present at the time of hire with their driving licence.

How can I pay?
By credit / debit card only
All hire charges and deposits must be paid by credit or debit card. We
accept all major credit and debit cards, including Visa, MasterCard
and American Express. Unfortunately we are unable to accept any
cash or cheque payments at this time.
Vehicles can be booked and paid for; through our website, over the
phone or in person at our office. Please see the “contact us” page for
contact details.
What happens if I return the vehicle late or I want to extend
the hire period?
In either of these circumstances, it’s important that you let us know
as soon as possible. We can then advise you of any additional
charges, and arrange payment and insurance cover if necessary.
You’ll need to pay any additional rental charges before your current
rental period is over. We’ll take any payments from your credit or
debit card.
What happens if I break down?
All our vehicles come with full nationwide 24/7 breakdown coverage.
We’ll include details of this with the documents you’ll get from us at
the time of hire, it’s important that you keep these with you for the
duration of the hire.

What do I need to do when returning the vehicle?
Just return the vehicle to our premises with a full tank of fuel (or to
the level stated on the vehicle inspection sheet). You’ll be met by a
member of our team who will conduct a post hire vehicle inspection
with you present and will complete the necessary paperwork. Any
charges applicable will be outlined and deducted from your deposit.
If no charges are required, your deposit will be refunded to your
card in full.
Please note that vehicle collections and returns will be within office
hours (shown on the “contact us” page). However if you need to
collect or return a vehicle out of office hours, this will be possible if
prearranged with a member of the team.
Do you need an operator’s licence?
Please remember that you must state if you need a standard goods
vehicle operator’s licence to hire a vehicle. You’ll need one if you’re
hiring a vehicle over 3.5 tonnes and carrying other people’s goods for
sale or reward. If this is the case, you must present it at the time of
hire. If you don’t have this licence, you can apply for one at https://
www.gov.uk/being-a-goods-vehicle-operator/apply-for-a-licence
