The show will be attended by members of the National Academy of Philately of Russia, the Union of Philatelists of Russia, the European Academy of Philately and national academies of philately in Europe, postal organisations, collectors, community organisations, and associations. The Club de Monte-Carlo and the Royal Philatelic Society of London will be honorary participants of the show. Several notable events will be commemorated during “Rossica-2013”: The 100th anniversary of the first Russian issuance of commemorative postage stamps, The 155th anniversary of the issuance of the first Russian postage stamps, The 150th anniversary of the release of the first Russian postage stamps for the municipal post offices in St Petersburg and Moscow. The International Philatelic Show “Rossica-2013” in Moscow will promote all aspects of the post and philately; the philatelic movement associated with Russian themes in Russia and the world; and the development and growth of friendly relations between the European Academy of Philately, national philatelic academies, and Rossica clubs. To commemorate “Rossica-2013”, there will be the release of a special postcard with an original stamp, and postcards dedicated to the days of the exhibition. A vintage car will pass the “baton” from the “Rossica-2013” exhibition to “MonacoPhil-2013”. Informational support in Russia is provided by the Russian Chamber of Commerce and Industry, and international informational support is provided by the International Association of Philatelic Journalists. International Philatelic Show “Rossica-2013” EXHIBITOR HANDBOOK 11 General Rules of Participation in IPhS “Rossica-2013” Dear Exhibitors! Please read the following terms of participation. To enter IPhS “Rossica-2013” from 27 to 29 September, Exhibitors must show their badges. Badges can be obtained from the Exhibition Directorate on the day of arrival to the exhibition, 26 September, from 12.00 to 20.00. On the day of arrival to the exhibition, 26 September 2013, each exhibitor must: Have an authorised representative with the right to sign financial documents (Power of Attorney – Form No. 7 of this Handbook) to deal with organisational and technical issues; Be at their stand or table from 12.00 to 14.00; Be aware that stands or tables that are unoccupied by 15.00, 26 September, are considered available and may be transferred to another company, unless otherwise negotiated by the Exhibitor with the Directorate of the Exhibition; In the event of damage by the Exhibitor during the installation of equipment and exhibits by the Exhibitor, compensate the Organiser for repair or purchase of any of the stand’s elements and equipment. During the exhibition’s working days, each Exhibitor must: Arrive at their stand or table between 10:30 and 11:00; At the close of the day, wait for the arrival of an authorised member of the RF CCI’s security team to transfer the stand into their protection; At the end of the day, place the waste baskets in the aisles. The Organiser will provide the cleaning of the exhibit area. On the closing day of the exhibition, each Exhibitor must: - Remove their exhibits and materials on 29 September 2013, from 16:00 to 20:00. For the delivery/removal of exhibition materials, the Exhibitor must have with him 2 (two) copies of the letter with the list of delivered equipment (Form № 6). At the entrance, the Exhibitor must ensure that both copies of the aforementioned letters (Form № 6) are marked “Delivery approved” by the Directorate. One copy will remain at the Registration desk (with the Directorate). The second copy should be shown when bringing equipment, etc., into the pavilion. Upon departure, the same procedure as above must be followed, the Directorate (at the Registration Desk) must mark the letters “Removal approved”. For the delivery/installation/removal personnel to gain entrance to the venue, the Exhibitor must obtain special technical staff badges from the Directorate (at the Registration Desk). During the working hours of the exhibition, the Exhibitor bears responsibility for the safety of the exhibit. Note! In case of failure by the Exhibitor to observe the above points, exhibition management and the RF CCI security service cannot accept responsibility for the security of exhibits. The security agency reports to the Directorate of the exhibition every morning and evening indicating the stands where representatives were absent. IMPORTANT! Obtaining a Russian Visa To enter the Russian Federation, a foreign national must present a valid passport containing a visa, unless visa-free travel is allowed under an international treaty. Please refer to the website of the diplomatic mission or consular office of the Russian Federation for your location for detailed information. The purpose of entry and for the stay in Russia must correspond to the type of visa issued (tourist, business, etc). NOTE! For a Tourist Visa, Exhibitors who book rooms at the Hotel Marriott Royal Aurora may request that an Invitation be provided by the hotel. When filling out the accommodation form, you must tick the appropriate box on the form. The cost of the invitation (licence fee) is included in the room price. In the case of cancellation, the guest will be charged a fee of 3,000 roubles for the invitation service. NOTE! For a Business Visa, contact Andrey Strygin, Coordinator of “Rossica–2013”, by e-mail: [email protected] at the earliest opportunity, but no later than 1.5 months before the date of entry to Russia in order to obtain the required invitation from the Russian Federal Migration Service (FMS). The request for a business invitation must be written on company letterhead and signed by the head of the company. It must include clear copies of the passport pages with the photograph, passport number, and its expiry date. The passport must be valid for not less than 6 months after the end of the period of validity of the visa. The business invitation request must contain the following information: 1. The name of applicant, 2. Company position of the applicant, 3. Title of the exhibition, 4. Date, country and place of birth, 5. Citizenship, 6. Sex, 7. Country of residence, 8. Date of entry to Russia and departure date, 9. The full name and address of the company, 10. The place where the visa is to be received—city where the Russian consulate or Embassy is located, 11. That the company guarantees to cover all expenses related to the stay in Russia of the invited representatives of the firm, including in the event of deportation. A foreign citizen may stay in Russia for less time than listed on the visa and invitation, but extending the time will require a new invitation and visa. The invitation will be sent by email. Usually a copy is acceptable, but sometimes the original may be required (especially for multi-entry visas). If the Russian Embassy or diplomatic mission in the International Philatelic Show “Rossica-2013” EXHIBITOR HANDBOOK 23 applicant’s country does not accept a copy of the invitation, the applicant must arrange delivery of the original by express mail. To obtain a Russian visa, an eligible foreign citizen must present to a diplomatic mission or consular office of the Russian Federation the following documents: An invitation to enter the Russian Federation; A valid identity document (normally a passport) recognised by the Russian Federation; A completed visa application form; 1 photograph 3 × 4 сm; A medical insurance policy valid in Russia; If a foreign citizen applies for a visa for more than three months, a certificate verifying the absence of HIV infection must be submitted. For EU citizens, the visa fee is 35 Euros (up to 20 working days), and 70 Euros for an urgent visa (within three working days). Other nationals should check with their Russian consulate or embassy. When entering Russia, at passport control a foreign national will be given a migration card. All foreign nationals must be registered with the migration service if staying longer than 7 days.
