Version: V.K.Computerized System /Customer Support management/2.0/January 2013 Customer Support Management Introduction With this add-on, you can maintain Sales/Service records of your customers. You can set reminder alerts for product subscription expiry or for service due dates, send out mass mails. Note: This add-on is mainly designed for IT Vendors (Including Tally Partners). Important! As a best practice it is advisable to take back up your company data before installing the add-on Setup Guide 1. Activate the Add-on For Tally.ERP 9 versions lower than Series A, Release 3.2 Go to Gateway of Tally > F11: Features > Accounting Features Set “Yes” to the option “Enable Reminder Alerts for customers” For Tally.ERP 9 version Series A, Release 3.2 and above Go to Gateway of Tally > F11: Features > Add-on Features Set “Yes” to the options “Enable Reminder Alerts for customers” 2. Add Details with Image To set the Reminder Alert Features, go to Accounts Info. > Ledger > Create/Alter and select the Ledger Set yes to the option “Set/Alter IT Product Details” and press Enter A new screen will appear as shown below. Enter the relevant information and save the screen You can also get the below screen at My Contact List menu. To enable the below Screen, go to Gateway of Tally > Account Info. >My Contact List > Select Group and select the Ledger and Press< ENTER> to get the same at Edit Mode Please Refer Note 1 for detailed use of this option. Note 1: If this option is set to “Yes” then, you can get Reminder Alerts when the followup date is greater or equal to System Date. This option has been created to send occasional greetings to various people (e.g. Accountant, Operator, Manager. etc.) If this option set to “No” then, you would not get Reminder Alerts. But this option is useful to maintain AMC service record of the customer. To secure Customer Sales/Service data, you can also allocate security rights through Security Control Menu > User and Password > two new option > Admin Rights and Support Rights > Provided. Left side > Customer Details > Only Product Validity Expiry Date will be shown and rest details hide for Support Executive. Press Enter to get above screen at Edit Mode and Press Ctrl+V to view the above screen at Display Mode Auto start-up Reminder Alerts After completion of all the details of Customer at Ledger Master, you can get Reminder Alerts if any Customer’s Validity is getting expired or follow-up date is greater or equal to system date. NOTE: Reminder Alerts will prompt before 10 days of Validity Expiry Date. So you can remind to your customers before Validity expires. You can get Reminder Alerts both while loading company or through Gateway of Tally > Display Menu > Reminder Alerts Report (Note: Report would be activated only When Reminder Alerts are shortlisted for the same) Send Mass / Selected Mail You can send (Mass/Selected) mail to the Party with all relevant details regarding subscription renewal or follow-up reminder description message. 1. To send mass mail, Go to > Display Menu > Reminder Alerts Report > Press Alt + M. 2. To Send Selected Mail > Go to > Display Menu > Reminder Alerts Report > Find New Button > F3: Primary Ledger Party > F4: Follow up Party > Select Party using < Space Key > and then Press Alt + M to send mail. Please refer Note 3 for details use of this option. Note 3: If this Option set to “YES” then you can send mail to Primary Ledger Party. If this Option set to “No” then you can send mail to Follow-up Party Selected mail screen: Using F3: Primary Party Selected mail screen: Using F4: Follow-up party Customized Mail Report You can send (Mass/Selected) mail (with In-built Customized HTML) to the parties with all relevant Software Details regarding Renewal or follow-up/reminder message. Customer would see the mail in the below format This Line Shown only if Product Name=Tally.ERP9 UserDefined Image shown in the Customer mail. Enhancements in new version You can send out the Mass Mail regarding Regular Product Update News Letter or Any Promotional Information to his party with User-defined Mail Template Configuration without Setting Product IT Details You can set defined Image Location, Browse Web Location Path. Image would see at the bottom of all Mail Template (Product Expiry, Follow-up & News Letter) Step to News Letter Mass Mail to Party Go to Gateway of Tally > Account Info > My Contact List > Select the party using key <Space> OR <Ctrl+Space> > then to Send out the mail > Use Key <Alt+M> > & Set the below Mail Template Configuration & Mailing Configuration.
