JOB PROFILE POSITION# 00074179 TITLE: LEGAL CLERK CLASSIFICATION: CLERK 9 MINISTRY: ATTORNEY GENERAL WORK UNIT: CRIMINAL JUSTICE BRANCH SUPERVISOR TITLE: LEGAL OFFICE MANAGER JOB OVERVIEW To perform a variety of legal support services for Crown Counsel and the public for criminal justice files and performs redaction services (entry level) for the purpose of disclosure to defense counsel. ACCOUNTABILITIES Required: Provides remand court services duties by setting up files daily, matching files to court lists and forwarding to Crown Counsel before court begins. Sorts decisions from remand court (i.e. adjourned back to remand court, fixed trial dates, disposed of cases, etc.) and forwards files to the appropriate office. Performs particulars duties by setting up legal files for new charges and attaching legal documents. Responds to general inquiries regarding new charges from court staff, police, defence lawyers, probation officers, Crown Counsel and the public and delivers particulars to defence counsel. Reviews legal documents collected by the investigating agency for the purpose of disclosure, logs materials, redacts obvious information (i.e. date of birth, names, phone numbers, addresses, etc.) and irrelevant information (final review by Crown Counsel) and prepares files for disclosure to defence counsel. Reviews legal documents and data entered into JUSTIN and confirms court dates, prints reports and identifies missing information/errors. Conducts records management functions by classifying and storing records. Exposure to sensitive and disturbing information/photographs located in criminal justice files. Performs reception and switchboard duties. Performs file clerk duties in the courtroom to support Crown Counsel. Processes accounts payable and receivable documents and enters approved invoices into the Corporate Accounting system for payment. Minimum of one year experience working in an administrative office environment including reception duties; Prefer three or more years experience. Experience working with Microsoft Office and database systems (i.e. Word, Excel, Outlook, Internet, etc.); Minimum 40 wpm keyboarding speed; Prefer one year or more experience working in a legal office environment (i.e. courts, law firm, corrections, police, etc.) Good knowledge of general office systems and procedures. Good knowledge of office equipment, switchboard, multifunction devices, photocopiers, facsimile machines, etc. Ability to use tact and discretion when dealing with sensitive situations, confidential material and demanding and difficult people. Ability to maintain confidentiality. Ability to remain flexible within a changing work environment Ability to work independently and as part of a team. Ability to organize and manage independently (one’s own) workload taking into consideration changing priorities, tight deadlines, volume of work, available resources and multiple reporting relationships. Successful completion of security screening requirements of the BC Public Service, which may include a criminal records check, and/or Criminal Records Review Act (CRRA) check, and/or enhanced security screening checks as required by the ministry (Note: It is important that you read the job posting carefully to understand the specific security screening requirements pertaining to the position).
