Basketball Operations Manager

Responsible to:
The Committee of Management
Role:
Organisation and coordination of operations and administration of the Warriors, including
development of procedures and practices to ensure the efficient organisational effectiveness.
Responsibilities:
To manage a small team of employees and volunteers to deliver administrative services to
the Warriors. This shall involve, but not be limited to:Competitions and Development programs
 Facilitation of infrastructure and support personnel
 Processing of registrations for participants
 Conduct of game day operations
 Maintaining records
 Overseeing support to representative teams
 Input results data into appropriate forums
Association Business
 Liaise with local Council on operational and maintenance matters for the Stadium
 Ensure property and information is secure
 Manage the Club database and contact list
 Manage the Club website
Customer Services
 Main point of contact for members, participants, officials and employees
 Receive and lodge enquiries and complaints to resolve or redirect
 Receive and distribute official information
Support to Committee of Management
 Provides operational and administrative updates to the Committee of Management
 Implements directives of the Committee
Skills & Abilities
The Operations/Administration Manager should be experienced in the area of sports
administration preferably with a background in the basketball environment. Key
requirements will be to:
 Demonstrate a high level of communication skills
 Good interpersonal skills
 Possess an ability to work to a plan and timetable
 Manage direct reports
 Produce succinct monthly reports
 Work within strict budget guidelines
 Meet key performance requirements
Salary
A salary package commensurate with qualifications and experience will be available with an
expense allowance.
25 hrs per week, weekend work will be required.
Both at home and the Glen Eira Sports and Aquatic Centre (GESAC)

Duties
Key result area: Maintain administrative services
1. Administrative activities

Develop and implement office policies

Establish and maintain standards and procedures, bylaws and office protocols

Manage correspondence and maintain correspondence register

Liaise with other agencies, organisations and groups
2. Supervise staff

Manage all staff timesheets

Recruit, select and supervise staff, including performance evaluations and mentoring

Provide induction, orientation and on the job and other training opportunities

Supervise volunteers
3. Maintain office records

Design filing systems, including personnel file management, ensuring that they are maintained, secure
and up to date

Define procedures for record retention, ensure protection and security of files and records

Ensure effective transfer and disposal of files and records, according to retention schedule and policies.
4. Maintain office efficiency

Plan and implement office systems, layout and equipment procurement

Maintain and replenish required inventories

Anticipate supplies, and verify receipt of supplies
Key result area: Manage Warrior Communications
1. Manage all Warrior communications, mail, email and phone.
2. Maintain compliance checks as required by Council.
Key result area: Program Administration and Support
1. Liaise with GESAC Centre Management and oversee the organisation of all contracts, bonds, keys and
insurance for the hire of courts.
2. Oversee the purchase of trophies for all competitions.
3. Manage the day to day running of the Warriors
4. Manage Tribunal Hearing notifications
5. Liaise with and assist the Head of Coach Boys and Head Coaching Girls.
6. Other duties as required.
