MANAGERS GUIDE courtesy of NORTHWEST CALGARY RINGETTE (NWCR) and CALGARY NORTH RINGETTE BOARD UPDATED OCTOBER 6, 2012 Page 2 of 16 PURPOSE OF THIS MANUAL The Manager plays a very key role in the operation of a team. This manual was made to help provide new managers and existing managers with a general guide. ROLE OF MANAGER The role of the manager is a liaison between Parents and Coaches. Managers coordinate the team activities with all parent volunteers, communicate ice schedules of game times and practices to the parents, and other team activities throughout the season. As a general policy, a Head Coach / Co-Coach should not hold another position within the same teams staff and; that a husband/wife should avoid being a Head / Co-Coach and Manager within the same team wherever possible. General Responsibilities of a Manager: Assist the coaching staff in the organization of team activities, achieving goals and expectations of the team Communicating ice schedules and coordinating dry land training to players and parents Encourage a positive environment at all times Encourage good sportsmanship, responsibility, and respect towards others Be fair and impartial at all times Encourage team spirit Other responsibilities: Liaison between NWCR/Calgary North Board o Making sure qualifications of all coaching staff are communicated with the Registrar o Reimbursements of team expenses: training sessions, additional ice times, referee costs, social functions Complete and submit game sheets and email scores to the league division coordinator Assist the treasurer and tournament coordinators Team Budget Reimbursement of team expenses Page 3 of 16 Wind-up party Tournament registration fees Social functions Provincial registration fees, possible travel costs, etc. NEW PLAYER A new player who has never played ringette before, who has registered must provide a birth certificate. This is a one-time only requirement for new players. PARENT MEETINGS AND TEAM MEETINGS The coaching staff usually includes the manager in organizing a meeting with all parents to discuss their philosophy of ringette, and possible team goals and expectations, and to get a consensus of what the parents would like to see. This meeting may include: Words of welcome from the coaching staff The Head Coach would generally introduce the team staff o Assistant coaches and manager o Training and/or junior coaches List of player names, addresses, phone and cell numbers, emails of all parents and guardians Head Coach outlines their philosophy, and expectations (from both players and parents) of all ice times and training sessions, and suggests possible goals for the team. Player information sheets (incl. player and parent names/address/phone and cell numbers, DOB, AHC# Depending on the experience of the Head Coach, the HC could mention the tournaments the team could attend Discuss team volunteer roles and assign accordingly. [A team is successful when all parents are involved.] o Establish Treasurer o Establish Tournament Coordinator o Parent on-ice helpers (in addition to Assistant Coaches) – if needed o 2 dressing room moms each practice and game – if needed o Social Committee Coordinator o Team Jerseys (Away / Home ) = 2 or 4 Families o Scorekeepers / Timekeepers Page 4 of 16 o Shot clock operators – if applicable (U12 & up) o Casino Volunteers Discuss a dollar amount ($) for team start-up funds. Coordinate a Scorekeeping / Timekeeping / Shot clock schedule for Away and Home Ice Games and tournament Activities. SHOT CLOCKS Shot clocks are in used in U12 divisions and up. There is usually 1 or 2 training information sessions facilitated by Ringette Calgary at the beginning of the season. Each team needs to have a couple parents who know how to operate the shot clocks for league and tournament games. FUNDRAISING Consider keeping an open mind of all suggestions from team activities to fundraising possibilities. While fundraising may not interest the manager or coaching staff, it should be sent out to the team with a vote. It could help alleviate some financial burdens that others could be facing with their own circumstances. It does help out with additional costs of tournaments, team activities, clothing apparel, performance endurance, social activities, provincials, additional travel costs, etc. Some fundraising have been Spolumbos, bottle drives, pizzas, chocolates, to name a few. TEAM COMMUNICATION The Manager is responsible for disseminating all information to their team. Generally the most efficient method for doing this is by e-mail however in some cases phone calls may be necessary. At the beginning of the season the Manager should collect each families contact information including e-mail addresses for both parents and guardians, phone numbers (home and cell numbers) and addresses. Page 5 of 16 PLAYER CARDS Most teams like to have a small wallet sized card that lists the players, their numbers, and contact information. This is extremely helpful at the beginning of the season when everyone is getting to know each other, and also as the season goes on for example at a tournament when you are looking for a cell phone number for someone. The best way to get this card to survive a season is to have it laminated. Each parent should receive a card. Here is a sample card, but you must tailor this card to make it work for your team (and remember this should be fairly small for people to carry): TEAM NAME NAME PLAYER # HEAD COACH ASST. COACH ASST. COACH ASST. COACH MANAGER PARENTS PHONE Page 6 of 16 TOURNAMENTS Teams do not have to attend any out of town tournaments but most teams will. They are a fun way of bonding the players and the parents. A list of sanctioned tournaments with application deadlines will be posted on the Ringette Alberta website. http://www.ringettealberta.com/index.php?submenu=Competitions&src=gendocs&ref=T ournaments&category=Main Apply right away as there are closing dates to consider. May want to ask parents which ones they would be interested in. When accepted, complete a Travel Authorization form http://www.ringettecalgary.ca/forms/travelauth.htm. Experienced coaches usually have preferences as to which tournaments they like, but it is always a good idea to ensure there are enough players to attend. The best way to do this is to put out a vote listing which tournaments are preferred by the team, and who is available using order of preference. Note that just because your team applies to a tournament does not guarantee their entry, so it is best to have a few selected. All teams are expected to enter the Esso Golden Ring Tournament held in Calgary in January. Details of this tournament are under a separate heading due to it's size and importance to Ringette in Calgary. ESSO GOLDEN RING (Calgary) http://www.essogoldenring.ca PROVINCIAL CHAMPIONSHIP (November 15th, 2012 deadline to Host) Select teams are eligible to participate in Provincials. Various locations around Alberta will host the different divisions. It is important to note that your team must declare well ahead of time that they intend to attend provincials should they qualify, so make a note of the dates in your calendar. Page 7 of 16 TEAM PHOTOS Photos are taken in mid-October over a two-night period. Teams are able to book their own time slot through their Manager. This year photos will be on Tuesday, Oct 16th & Wednesday, Oct 17th, 2012 in the Collingwood Room at the Triwood Community Center. TEAM SCHEDULE Generally we receive one practice and one game per week, however this is only a general guideline and schedules do vary greatly. Ice schedules are available at http://www.nwringette.com/schedules.html Ice can be distributed on short notice so it is very important that you check your e-mail and this schedule regularly. MISSING A GAME/PRACTICE It is important that the manager communicate to the team that if a player needs to miss a game or a practice they must contact the head coach (or team designated contact for this) to let them know. Even for practices, Coaches have a plan that may be thrown off if they are missing too many players. LEAGUE GAMES The League schedule may be found on the Ringette Calgary Website: http://www.ringettecalgary.ca/ All Arenas and Locations may be found on the Ringette Calgary Website: http://www.ringettecalgary.ca/arenas.htm Page 8 of 16 Game Sheets Complete and submit game sheets. Head Coach will receive a supply of game sheets as the Create roster stickers to make it easier. Cross off players who are for sure not going to be there (if you cross one off and they show up after the game starts they can't go on) Note who is goalie with a (G), Captain (C) and Assistant Captain (AC) Game sheets come in triplicate. Winner keeps yellow copy, losing team pink copy and the white copy is mailed to the league division coordinator. Winner of the game submits the score by e-mail to league division coordinator, with the hard copy in the mail immediately. Each team will receive a copy of the game sheet that they keep, the Manager may or may not keep these sheets in a binder – likely is the head coach will want to retain these themselves but it is a good idea to ask. Here is a sample of roster labels for game sheets. List this numerically by player number and not alphabetically – it is much easier for the person keeping score that way. # Player Name Page 9 of 16 TEAM WEAR Starting in the 2012/2013 Season, and based on member feedback, only pre-approved team wear will be available for purchase by players, coaches and parents. This is a policy similar to other associations in Calgary and is intended to provide a more coordinated look for NWCR and Calgary North Ringette. Additionally, this will remove the parental burden of purchasing different team wear every year. Final Goal Athletics has been awarded the exclusive contract to supply these items. Their website is www.finalgoal.ca Details are available on the NWCR website. Final Goal will be set up on team photo night with sample sizes and some product available for immediate purchase. It would be best if the Manager placed one order for the team however it is possible to place individual orders. RINGETTE PANTS Based on member feedback, NWCR and Calgary North has approved the adoption of a new style of ringette pant commencing the 2012-2013 season. The pants will are available exclusively through the Ringette Store (www.ringettestore.com). You are not required to purchase these pants, however it will give the association a more coordinated look going forward and mirrors the direction that other Calgary associations have taken. JERSEYS Include: details of equipment, pick up with coordinator, contact info, and how jersey numbers are assigned MANAGER MEETINGS Generally held 2-3 times per season, October, December and March. The Manager Liaison will meet with all managers to give more specifics about what is required from teams and answer any questions. Page 10 of 16 AFFILIATION PROCESS The Affiliation process commences with U19, then U16 and so on. Each team has 48 hours to complete their affiliation process. If a player has been asked and the response is No, that player cannot be asked again. Head Coaches are ultimately responsible to ensure that all of their staff is cleared, if staff fail to obtain this clearance they will be removed from the official roster and not allowed to go onto the ice. Conduct for Coaches, Players and Parents Page 12 of 16 PLAYER SECURITY To All Member of the Calgary North West Ringette Community: The purpose of this memo is to reiterate North West Ringette Society policies related to player security, and introduce the “2-Adult” rule for the 2009/10 season: 1. Males are not allowed in the change rooms of Petite teams and above, except for coaches when the players are fully dressed prior to the start of the game (coaches’ pre-game briefing) and at the end of the game (coaches’ post-game briefing). Where players require male assistance tying skates, at Petite and above, they are required to leave the locker room to secure the necessary assistance. 2. All members of the Executive, coaches, assistant coaches, team managers and other members of team’s bench staff are required to have completed a satisfactory security clearance performed by the Calgary Police Service. 3. The policy augments a coaching policy adopted October 6, 1998 and is implemented along with a system of individual pledges for coaches, parents/guardians and players. The new policy acknowledges that Northwest Ringette benefits from the volunteer efforts of a number of caring and dedicated coaches, but that concerns do arise regarding the treatment of players and coaches. All coaches are asked to review this policy with parents and players, early in the season. Players will be allowed to play in league games only after signed copies of the player and parent/guardian pledges are returned to managers. ** With regard to equitable ice time, the society recommends that coaches decide, early in the season, whether they will follow the policy regarding equitable playing time for tournaments and playoff games. That decision should be shared with parents and players early in the season and a decision to “shorten the bench” for tournaments and playoff games will not be deemed as “inequitable” given the nature of competitive play. All other aspects of the code should be followed throughout the season and at all age levels of play. Copies of this policy will be give to all players/parents registered with Northwest Calgary Ringette. Parents and players are asked to read over each section of the code, discuss the significance of adhering to a common code of conduct, sign the appropriate sections and return the sheet to the coach. S/he is asked to sign it in the player’s presence. Managers will keep the signed sheets with other team information. Parent/guardian and player pledge sheets must be signed and presented to the manager before a player participates in league play. NOTE: The code, as approved, is designed to enhance the ringette experience of all participants, players, coaches and parents/guardians. A violation of the Code of Conduct enables the NW Ringette Society, at its sole discretion, to suspend that participant from NW Calgary Ringette events and activities for a time deemed appropriate by the society’s executive committee. Grievance Procedure: 1. The Head Coach or Parent should discuss their concerns with the appropriate coach or parent. This conversation should take place under two conditions: A. If the conversation follows a particular ‘event’ of concern, it should not be initiated until 24 hours (i.e.: allow a ‘cooling off’ period) after the event occurs and B. The conversation should always include a third party, such as the manager or another member of the coaching staff. 2. If not satisfied with the Head Coach’s/Parent’s response, approach another member of the coaching staff or the team manager to discuss your concerns. The majority of concerns will be resolved at the team level. 3. If still not satisfied, contact the appropriate division coordinator with the NW Calgary Ringette Society. S/he will talk to coaching staff/parents and act as a mediator in the dispute. 4. If the issue is not yet resolved, the division coordinator, in consultation with the society president, will determine if a hearing needs to be set up. Before a hearing is considered, the Head Coach/Parent will be required to show evidence they followed the above procedures and sought a team-level solution, followed by mediation. 5. A formal hearing regarding non-resolved violation of this code enables the NW Calgary Ringette Society, at its sole discretion, to suspend a participant from NW Calgary Ringette events and activities for a time deemed appropriate by the society’s executive committee. NW Calgary Ringette Society Coach Code of Conduct 1. I will ensure that my expectations as a coach, regarding practise and game commitments and player behaviour are clearly stated to players and parents at the beginning of the season. 2. I will teach my players to play fairly and to respect the rules, officials, opponents and, most importantly, each other. 3. I will ensure that all players get instruction, support and ice time in an equitable manner and I will discuss, with players and parents, why I maintain the option to “shorten the bench” for tournament and playoff games. 4. I will not ridicule or yell at my players for making mistakes or performing badly. 5. I will remember that players play to have fun and gain confidence in themselves through encouragement. 6. I will remember that children learn best by example and witness my behaviour before, during and after games. 7.
