Our beautiful white marquee provides room for up to 200 guests seated, and up to 300 guests for a canapé style reception. The homestead lawn is the perfect spot for a twilight ceremony under the spreading boughs of a beautiful golden elm, followed by canapés while photographs are being taken. The unspoilt country and gorgeous vineyard provide a stunning backdrop for your special wedding photos. As Poachers Pantry is built around regional produce and the love of good food, we can promise a wedding meal that all will remember. Our wait staff will give you personalised and attentive service and, with the relaxed country setting, we can create an unforgettable and simply perfect day. When you choose to have your wedding at Poachers Pantry, not only will we provide you the perfect country setting, we can also help you organise your ceremony, reception, timing, seating plan, and food and wine selections. We have a list of photographers, celebrants, musicians, transport companies, bespoke cake markers, florists and stylists that we can recommend. While you enjoy planning your wedding, we will make it happen. At no extra cost you will have the opportunity to have two exclusive meetings with our wedding coordinator to help you organise the details for the night, we will set up your table decorations and arrange your seating plan as per your instructions. If required, we will provide white table cloths and access to our in-house background sound system that can accommodate an iPod or similar. You are also welcome to book in a rehearsal a few days prior to the day, just make a booking. Not only will our wedding coordinator be there to help, you will also have the opportunity to come and see a Poachers wedding at one of our wedding open nights. They are held three times a year and give you a chance to see the café dressed for a wedding, to try our canapés and wines and to meet our knowledgeable staff. The following timetable is given as a framework so you can see how the evening could unfold for a summer wedding. Canapé wedding: ideal for a contemporary style wedding that allows your guests to mingle with a glass of bubbly, fantastic food and great company. A canapé wedding has a wonderful informality where a selection of canapés are served while your guests mingle. Allowing a selection of 15 canapés for five hours will ensure that your guests have a substantial meal. The next page gives you an idea of the style of our canapés. Alternate serve dinner, two course: your reception will start with a selection of canapés served with drinks either on the homestead lawn or in front of the marquee. For one hour of pre-dinner drinks you will require three items per person, which can be chosen from the canapé menu. Once your guests are seated, the wedding meal will be served. Your guests will receive an alternate serve (50/50) entree and main course from the menu you have pre-selected for them. Please consider any specific dietary requirements that your guests may have when selecting your wedding menu. We change our menus with the seasons at Poachers Pantry, so the choices may vary from when you book to the actual date of your wedding. Please ask your wedding coordinator for available options at least one month out from your wedding. Together, you will select the entree, mains and dessert that suit your tastes and meet your guests’ dietary requirements. Listed below are our terms and conditions, please see pricing schedule for details. A tentative booking will be held for 14 days, after this time the space will be released. Confirmation of a booking is to be made in writing, together with a minimum deposit of $2000. A form is attached for this purpose. You are also required to complete and sign the wedding details form to create a confirmed booking. Event details and catering requirements are required 14 days before the event. This includes room setup, menu selection, beverage requirements, entertainment and equipment needs, estimated number of guests and wedding timing. Additional labour charges may be incurred by major last minute changes to a previously agreed room layout. Cancellation of a confirmed wedding: • With more than 8 months notice, is subject to a $500 cancellation fee. • With less than 8 months notice is subject to a cancellation fee equal to the deposit. • With less than 21 days notice is equal to the deposit plus 50% of the estimated revenue. Confirmation of guaranteed number of guests attending is required 14 days before the wedding commences. This is the minimum number of guests that you will be charged for. If no guaranteed number is received, the original number reserved will be prepared for and charged for, plus any additional numbers. Public holiday: if your wedding falls on a public holiday, you will require a public holiday wedding package. After midnight surcharge: if guests remain on the property after midnight a surcharge of $5.00 per person per hour will be charged based on the final number of guaranteed guests. Marquee hire and set up fee covers the set up of the marquee to your table plan,and all furniture and tableware. Minimum spend: a minimum spend is required for use of the marquee. The use of the grounds: you can arrange for a celebrant to conduct the wedding ceremony on the grounds and afterwards, photographs can be taken using the rural landscape and old farm buildings as a backdrop. Please refer to pricing schedule for charges. The clients are financially responsible for any damage to the company’s property or any property in its care or custody, made by the client’s guests, invitees or other persons attending the wedding. No responsibility for damages or loss to equipment or merchandise left on the premises prior, during and after the function is accepted by the company. Insurance cover for personal equipment and merchandise is recommended. Wedding decoration pick up: all decorations must be collected within 48hrs of the wedding. Goods left longer may be disposed of. Price variations: due to fluctuations in wholesale food and beverage costs, prices may change without notice, however every endeavour will be made to maintain quoted prices. Prices are reveiwed annually. Payment shall be made by the client 14 days prior to the wedding and is non refundable. To cover the cost of any charges made on the day of the function (such as additional meals or late departure fee) a credit card number must be provided at time of payment. We will hold a tentative booking for 14 days without taking a deposit. Secondly, arrange an appointment to discuss the wedding details such as number of guests, food and beverage needs and an outline of the day. You will also need to confirm your booking with a deposit. A booking confirmation sheet has been included on the previous page. Thirdly, you will need to select the menu; we prefer that the final menu is selected at least a month before the wedding. At this point we can also confirm the seating plan and layout of the event. Finally, two weeks before the wedding you will need to confirm the guaranteed number of guests and pay for the function.
