TicketOS Help Guide How to Place a Corporate Concierge Order TicketOS Help Guide© Proprietary + Confidential Last modified February 12, 2009 Why Place a Concierge Order? Typical Usage Orders may be placed when: • The event is not part of the corporate inventory, or • The event is part of the corporate inventory but tickets are no longer available or the available corporate tickets do no sufficiently meet your needs. Concierge orders require a guest list and business justification as well as the appropriate business/managerial approval. For helpful questions and answers regarding Concierge ordering, please view the below document: 2 SplashScreen – Select Workflow Select workflow: Corporate Orders Note: Please see ‘How to Place a Personal Concierge Order’ for use of the Personal Order button above 3 Search for the Event Select Search to find the event. 4 Search for the Event To ensure you are searching for both Corporate Tickets and Concierge Tickets: Select the All Tickets radio button. 5 Search for the Event This icon indicates that tickets available are through Concierge. If there were corporate tickets available, the quantity would be listed in the # of Tickets column. All events for which the supplier has access to tickets will be listed. Select View next to the corresponding event. 6 Search for Tickets Available corporate tickets will appear here. If there are no corporate tickets available for selected event then the phrase, “No Tickets Found” will be displayed. The available concierge tickets will be listed below any corporate owned inventory. From here you can view the level , section and row, price per ticket, and quantity available. 1. Find the seat location that best meets your needs. 2. Select Request next to the corresponding choice. 7 Order Placement If at all possible, please use Corporate inventory before proceeding with a Concierge purchase. 1. If Concierge inventory is still desired over Corporate inventory give justification for order and click Continue. Note: Order will need to receive additional approval from Overall Concierge Order Approver before moving on to business approval. 2. If the chosen tickets are greater than the allowed price of $500 per ticket, you must give your reason for choosing the higher value ticket. If Concierge inventory is not needed please click Cancel and place request for Corporate tickets. 8 Proceeding with Concierge Order Placement Verify items in shopping cart are correct. Back will take you to the event listing page, Next will continue the order. 9 Order Placement 1. 2. 3. Select appropriate category for ticket usage. This will generate a temporary guest list. Supply business justification for your request. Click next to move onto the next page. 10 Select Shipping Address Order Placement 1. Select the address where the tickets will be shipped or select New Address from drop down to create a new address. 2. Click Next. 11 Confirm Order Note: The billing information will need to be completed once the order has been approved. 1. Verify the shipping information is correct. 2. Verify the event information is correct. 3. Select the shipping method. 4. Check or uncheck the upgrade option. (Please click on blue link for details of Auto Upgrade and read through the FAQ to ensure desired selection is correct.) 5. Please confirm that you have read and agree to the Terms & Conditions of the purchase by checking the box to accept. 6. Select Proceed to REPS to start the approval process for the order. 12 Upgrade Option What does upgrade mean? • By checking this option (Auto Upgrade) you are giving us permission to upgrade you to better seats for the same price if available. An upgrade could be a better row or a section closer to home plate, the center of the field or court. We highly recommend customers select this option as it allows us to, on occasion, get our clients better seats for the same price. • On rare occasions we may be unable to confirm the original tickets requested. If the Auto Upgrade option is selected, we will attempt to find comparable or better seats for you at the same price. If we are able to do so, you will automatically be upgraded at no additional charge to you. If we are unable to find an upgrade option in your price range, we will contact you with possible alternatives, if any. • If you have a specific section, row, or side of field preference, we suggest you opt out of the upgrade option. 13 Terms & Conditions The Terms & Conditions are an essential aspect of the Concierge ordering process that must be agreed to before continuing the order. Some important items to note regarding the Terms & Conditions: • • • • All sales are final. The price paid for tickets is often times above the face value that is printed on the ticket. All orders are subject to availability. Lost or stolen tickets cannot be replaced. Personal Concierge orders are subject to the RazorGator Terms and Conditions as well as our 100% Buyer Guarantee: 14 Proceed to REPS Your request must be entered into REPS in order to be submitted for approval. Select Proceed to REPS in order to submit request for approval. If you’ve received REPS approval, enter code to continue with billing information and complete ticket request. 15 Confirm Order Note: Your request must be entered into REPS in order to be submitted for approval. Select Continue. 16 Waiting For Approval The order will now appear in your “Orders Needing Attention” queue with a status of “Pending REPS Approval”. To view details of the order or the approval history, click View. 17 Complete Order Enter REPS approval ID then Select Complete Order. NOTE: Due to the live marketplace nature of these tickets they may not be available once all managerial approval has been received. Upon clicking the Complete Order button you may receive the message: ‘The requested tickets are no longer available, click here to view alternate tickets.” If you have received this message please proceed to slide 24. 18 Complete Order – Billing Details 1. Enter the credit card details 2. Select whether the billing address is the same as the shipping. If yes, check the box. If no, enter the billing address. 3. Select Next. 19 Complete Order 1. Review all the order details. If needed, you can edit the billing or shipping information by selecting Change. 2. Select Place Order. Note: This is the last point at which you will be able to change/edit the billing/shipping info of the order. 20 Order Confirmation Your order has now been sent to Razorgator for fulfillment but has not yet been confirmed. Click Continue. 21 Order Confirmation The order can now be found in your “Orders Needing Attention” queue with a status of “Pending Confirmation”. To see details of the order, click View. Once the order has been confirmed by RazorGator, it will move to your “Completed Orders” queue. Note: The Pending Confirmation status means that you have entered the necessary REPS approval ID and the order has been submitted to Razorgator for fulfillment. You will be updated via email as to the status of your order. 22 Complete Order – Tickets Not Available Due to the live marketplace nature of these tickets they may not be available once all managerial approval has been received. Upon clicking the Complete Order button you may receive the message above: ‘The requested tickets are no longer available, click here to view alternate tickets.” 23 Complete Order – Tickets Not Available Upon clicking ‘The requested tickets are no longer available, click here to view alternate tickets,” you will be taken to a page that will list all currently available tickets within your approved budget range for the desired event. If none of the options are suitable, you can cancel the order by clicking Cancel Order button. 24 Complete Order – Tickets Not Available Upon clicking Buy when having made a selection for alternate tickets you will be required to enter your credit card details and credit card billing address. Please note that only corporate credit cards can be used for corporate concierge orders. 25 Complete Order – Tickets Not Available After entering all billing information, you will be required to click ‘Place Order’. Please verify all information is correct prior to placing the order. 26 Order Confirmation Your order has now been sent to RazorGator for fulfillment but has not yet been confirmed. Click Continue.
